PD-Trak Implementation

For companies that have an existing stage/phase-gate process, PD-Trak can be installed and configured within a few days. More involved implementations may take several weeks. Implementation efforts and times vary based on the size of the company, the number of system users, whether the company has a sound stage/phase-gate process (with buy-in from functional managers) and whether the internal leader(s) want to take a hands-on approach or have extensive assistance from our consultants and trainers.

The time and support services required for each step outline below will vary depending on the scale of the implementation and existence of a sound stage/phase-gate process. For example, if you are working on a docker registry (like https://www.mirantis.com/software/docker/image-registry/ highlights) then this could fall under a few different implementation timeframes. Speak with us about the specifics of your needs if you have any questions. Generally, however, the time frames are as thus:

Phase 1 – System Set Up (1-2 days)

The details of this step depend on the hosting option selected as follows:

Cloud SaaS Option – your system is set up on our cloud based platform. Time required to initialize a new system is <4 hours.
Dedicated Cloud Server – we set up a dedicated server to host your system. Time required to initialize a new system is 1 business day.
Client Hosted – with this option, your IT group sets up the server and we connect remotely to install the PD-Trak system. Time required to install is <4 hours.

Phase 2 – System Configuration (1-5 days)

The client gathers configuration data needed as outline in system configuration guide (provided by PD-Trak Solutions)
Either the client configures the system with support from us, or we configure the system for the client based on configuration data provided to us
If customization is needed, the requirements are defined in a statement of work and we develop the solution. If this is critical to the initial implementation, this will be the pacing item in this phase (time not included in the 1-5 days duration estimate above)

Phase 3 – Project Level User Training (2-12 hours)

Project managers and team leaders are trained either in onsite workshops or via web meeting sessions. This training includes the setup of the first batch of projects in the system, providing hands-on experience with real project data.

Phase 4 – Migration of Existing Projects into PD-Trak (1-4 weeks)

Project managers continue the process of setting up the existing projects in the PD-Trak system.

Phase 5 – Portfolio Level User Training (2-4 hours)

Once the existing projects have been captured in the system, we provide web based training for functional and executive managers on the use of the portfolio management tools
Training may also be provided on how to use the system to support gate reviews

Phase 6 – Optional Refinements

Once the basic system is up and running, there are several follow up activities which are optional:

Configure and implement the idea capture and management system
Project management principles training, with or without MS Project
Portfolio management principles training
Facilitation of gate reviews and/or portfolio planning sessions
