At De Gruyter we are sometimes asked similar questions about access, technical requirements, and orders, payments and fulfilment. Here are the answers to some of the most frequently asked questions.

I have a new online subscription to a journal or recently purchased an eBook - how do I get access?

If you placed an order without a De Gruyter account, we will have set up an account for you. Please go to degruyter.com and click on ‘Log in’ in the top right-hand corner.

You can set your password using the ‘Forgot your password?’ link. Use the email address you used when placing your order and follow the instructions in the email you receive. This will enable you to set your password and log in.

When you have logged in, go to your account on the top right-hand corner of the page.

Click on ‘My publications’ to see links to titles you have ordered.

If you already have a De Gruyter account please log in to see new orders, or use the ‘Forgot your password?’ function to reset your password.

What is a passcode, and who can use them?

Passcodes are usually made available for society members or editors of journals. They are not available for general access.

I have received a passcode. How do I use this to log in?

Go to https://www.degruyter.com/login. On the next page, you will be given the option to add a passcode using the grey button on the right hand side labelled:

Click this button and you can enter your passcode. Once you have logged in you will find your accessible resources in the menu in the top right-hand corner under ‘My publications’.

Why am I not seeing the “Download book” button for a certain title, even though I have licensed the eBook?

The reason could be that the title was published by one of our publisher partners.

Due to security concerns most of our partners have requested us to remove the complete PDF for download from the platform, since our eBooks are all DRM free.

Those titles can be read and downloaded chapterwise only.

Please send all orders, inquiries and claims to Customer Service De Gruyter. You will receive a confirmation email with a ticket number.

Important: Please quote this ticket number on any further inquiries about your order.

When can I expect a reply?

Orders are processed within 24 hours. Inquiries are responded to within 72 hours.

How much is shipping?

Outside Germany per 5 kg:

  • Printed papers international economy: € 0.47 per shipment plus € 3.90 per kg (not available within the EU)
  • Printed papers international priority: € 0.78 per shipment plus € 5.82 per kg

Shipment fees apply worldwide. If no shipping method is specified, the cheapest method will automatically be selected.

What are the usual delivery times?

Handling usually takes a maximum of 2 days after order processing. Afterwards the following terms apply:

DHL – Economy

Collection: Daily.
Tracking system: available via HGV on request.

Countries: Germany, Europe outside EU, worldwide.
Customers: All.

Delivery Times:

EU: not applicable.
Europe outside EU: 6–12 days.
Middle East: 8–15 days.
Asia: 8–15 days.
Oceania: 10–15 days.
Africa: 10–15 days.

DHL – Priority

Collection: Daily.
Tracking system: available via HGV on request.
Countries: Germany, EU, worldwide.
Customers: All.

Delivery Times:

EU: 2–5 days.
Europe outside EU: 3–9 days premium.
Middle East: 3–9 days.
Asia: 6–12 days.
Oceania: 8–10 days.
Africa: 6–12 days.

Collection by IBS

Collection: Monday and Thursday.
Tracking system: accessible via HGV.
Countries: United Kingdom, France, Netherlands, Belgium, and Switzerland.

Customers:

  • Contract customers in Netherlans, Belgium and Switzerland.

  • Wholesalers and institutional clients in the United Kingdom only.

  • Shipping companies in United Kindom, France and Netherlands only.

Delivery Times:

Monday collection:

  • Delivery to shipper in United Kingdom Thursday, shipment departs United Kingdom between Friday and Sunday. depending on flight schedule.

  • Delivery to United Kingdom customer Friday, latest Monday.

Thursday Collection:

  • Delivery to shipper in United Kingdom for consolidation on Monday, departure from United Kingdom is then usually Wednesday.

  • Delivery to United Kingdom customers Tuesday or Wednesday.

When will online access be provided?

As soon as the order has been processed by our invoicing system the ordered item will be transferred to the online account of the end user and notification will be sent out to the email-address specified in the order. The activation may take up to 24 hours after receipt of the confirmation. After access has been activated the purchased content will be marked with a Licensed Access icon and can be used on Degruyter.com.

How can I see my order details?

As a De Gruyter trade customer you can register for our customer portal at https://hasso.hgv-online.de/ha... and enjoy the following benefits:

  • Access a clear overview of your order details.

  • Check your order status and track your orders.

The email address you entered will be used as your contact address for the customer portal.

What information do I need to place an order?

Books, eBooks and Standing Orders for Book Series:

  • Title

  • ISBN (please select the ISBN for the chosen format)

  • Quantity

  • Billing address

  • Shipping details (if different from above)

  • Full shipper address if using freight

  • Email address should you wish to receive invoices, credit notes and other notifications electronically


Journals, Yearbooks, Databases:

  • Title

  • ISBN (please select the ISBN for the chosen format)

  • Quantity

  • Billing address

  • Shipping details (if different from above)

How can I receive monthly statements by email?

To receive monthly statements electronically please send your email address to our accounting team.

When are payments due?

  • Two days after an account has become due the first payment reminder will be sent.
  • If there is no response from the customer within 14 days a second reminder will be sent.

  • If there is no response from the customer within a further 14 days a third reminder will be sent and a block will be placed on new deliveries.

  • After a further 14 days without a response a fourth reminder will be sent and an attempt will be made to collect payment by telephone.

  • If an invoice remains unpaid after the fourth reminder payment, a collection process will be initiated.
