Install the Document Converter for SharePoint Online app

1.1

Prerequisites before deployment

Before deploying the Nutrient SharePoint Framework Extension, ensure you have the following:

Set the execution policy for external scripts:
Set-ExecutionPolicy -ExecutionPolicy RemoteSigned -Scope Process -Force.

To enable custom scripts, you need either the SharePoint Online Management Shell or the Microsoft.Online.SharePoint.PowerShell module (not both). This script requires the Microsoft.Online.SharePoint.PowerShell module.

Windows Administrator Privileges — You need administrator privileges on your Windows machine to run the installer (EXE).

Global Administrator Privileges — Ensure you have global administrator (or tenant administrator) privileges in your SharePoint Online tenant.

App Catalog — Confirm your tenant has an app catalog. If you don’t have one, follow this guide to create an app catalog.

Download Document Converter

Installing

To install Document Converter for SharePoint Online, follow the instructions outlined in the next sections:

Download the installation archive and unarchive it to the folder of your choice

In that folder, find and run the PDF Converter for SharePoint Online deployment script.Ps1 file and the muhimbi-pdf-converter-spfx-app.sppkg file.

In the PowerShell window, press 1 to perform a fresh installation.

In the next step, the installer will ask where you want to upload the app.

Press 2 to upload the app in a site app catalog.

  • Select the appropriate option based on your deployment needs, and provide the corresponding URL to proceed. To follow along with this guide, press 1.
  • You’ll then be prompted to authenticate to your Microsoft 365 tenant and grant consent on behalf of your organization to run PnP PowerShell. If you already have PnP PowerShell installed, you won’t receive the consent prompt.
  • Note: If the admin presses Accept without granting consent on behalf of your organization, the installation will still complete without a problem.

Once you’ve provided consent, the script will automatically upload the SPFx app to the tenant app catalog. You’ll then be prompted with the question Do you want to deploy the app to all sites in the tenant?

  • To follow along with this guide, choose [Y] Yes to make the app available to all sites in the tenant.

The error message you’ll see in the PowerShell prompt is a known issue.

  • Navigate to webApiPermissionManagement and grant the necessary permissions.
  • Navigate to the following URL and approve the permissions:

You’ll then be prompted with the question Do you want to create a page and add the Muhimbi Features web part to all site collections?

  • Select [Y] Yes and it’ll add the web part to all the site collections.

Note: If you encounter the Failed to create web part page: Object reference not set to an instance of an object error message on some site collections, there’s no need to worry. This simply indicates that the web part cannot be added to a classic site collection.

You’ll now have the Convert to PDF action available in your site collection.

  • Select a document and click the Convert to PDF button in the list view command set or in the content menu.You’ll be prompted to provide consent on behalf of your organization. Press Accept.

Once the permission is successfully granted, you’ll be prompted to sign up for the trial. After signing up, you’ll receive a confirmation email in your inbox to activate the trial.

FAQ

What is the difference between the Document Converter for SharePoint on-premises and online versions?

Our aim has always been to support all current and future SharePoint versions. SharePoint versions from 2007 to 2019 largely share the same architecture, resulting in mainly small tweaks (and some not-so-small ones) to make the same product work on all SharePoint versions. To us, on-premises means a SharePoint 2007–2019 installation you’ve installed yourself or someone (other than Microsoft) is maintaining on your behalf.

Over the last few years, Microsoft has been pushing the cloud, popularizing a product known as SharePoint Online, or Office 365. Depending on who you talk to, these terms are used interchangeably, but we call it SharePoint Online. Although the SharePoint Online user interface resembles SharePoint 2019, it’s a different beast under the hood, especially when it comes to third-party extensibility. Our core conversion service is largely the same, but the entire front end (SharePoint User Interface, Workflow Actions) has had to be redeveloped from scratch.

Although this process has been very challenging, we have now achieved full feature parity, at least where feasible. For an overview of the key similarities as well as the key differences see this article.

What is the difference between free and trial subscriptions?

In addition to a 30-day fully functional trial version, a completely free version of Document Converter for SharePoint Online is available as well. The trial should be used when evaluating the product with the intention of purchasing a full subscription. This version provides a large number of operations for 30 days, with the ability to use all functionality provided by the product. However, generated documents include an evaluation watermark.

The free version is aimed at users who only need very basic functionality and a modest number of operations per month. Documents generated using the free subscription do not include an evaluation watermark.

What do you mean by maximum operation size and operations per month?

Each subscription level comes with a different maximum operation size and operations per month allowance.

The maximum size decides the size, in bytes, for a single operation. This includes the total size of all source files in a single merge operation, as well as the size of a single conversion.

The number of operations per month is the number of individual operations carried out. Some examples of a single operation include converting a file, watermarking a file, securing a file, and carrying out OCR on a single page.

What happens when I run out of monthly operations?

Each subscription level comes with a different operations per month allowance. When a subscription has reached 75 percent of the allowance, you’ll receive an automated email requesting you contact the Nutrient team to make arrangements. When reaching 100 percent of the allowance, without making any arrangements, the software will cease to work for the rest of the month.

If 75 percent isn’t the correct trigger for your organization, please contact Support to change this figure.

Where can I download the license key?

Navigate to the orders screen, (you may be asked to log in first), click Get License Key for the relevant order, and click Download link. After downloading the license key, you can forward it to someone else by attaching it to an email.

Is there an upgrade path from the Document Converter for SharePoint On-Premises to SharePoint Online?

Although they look the same, SharePoint Online and SharePoint On-Premises (2007–2019) are completely different and incompatible products. As a result, there’s no way to install our on-premises software in the cloud.

I have a feature request. Who should I talk to?

All our historical releases have been driven by real-world customer requests. If you require a generic feature to be implemented, then please contact us.

I need help with my project. Does Nutrient do custom development?

Our support desk typically provides information, advice, and guidance for no additional fee. However, if you need us to carry out (part of) the implementation of your project, please contact us. We may pick it up internally or put you in contact with a third-party familiar with our products and services.

How well does the Document Converter scale with a high load?

It depends on the number of cores in your server, the number of servers, the kind of documents you’re converting, the complexity of the documents you’re converting, the number of concurrent users, etc. You can read more about scalability and performance here.

What are the supported file formats?

With Document Converter, you can easily convert 100+ file types to PDF and there are some cross-conversion capabilities as well. Check out the complete list of supported file formats.

How can I upgrade to the latest version?

You’ll need to uninstall the old version and install the new one. Additionally, depending on the version you have, there are some things you need to have in mind. Learn more here about upgrading to the latest version of Document Converter.

Should I worry about the security of my files?

No, you don’t need to worry about the security of your files, as they don’t leave SharePoint. Additionally, you can automatically secure Word, Excel, PowerPoint, and PDF files by applying watermarks or using SharePoint Designer Workflows and Nintex workflows.

Is OCR technology included in Document Converter for SharePoint?

With Document Converter, you can make your scanned PDFs fully searchable and indexable. You can find examples of the most common use cases of OCR technology here and learn about PDF/A support here.

Where can I find details about watermarking?

Why aren’t my watermarks visible?

The most common reason for this is that, by default, watermarks are displayed in the background, behind the document’s content. In most cases, this isn’t a problem, as the content of most documents is largely transparent. However, this isn’t the case for PowerPoint presentations or scanned content. Learn more here.

How can I use Document Converter in combination with the Nintex workflow?

How does Document Converter deal with InfoPath attachments?

Document Converter for SharePoint automatically converts (and merges) all files attached to an InfoPath form as long as they’re part of the views being converted. The conversion of attachments is enabled by default but can be disabled globally using the conversion service’s config file, or on a call-by-call basis when using the web services interface. For more details, read this article.

How can I specify which InfoPath view(s) to convert?

To determine which view or views to export, Document Converter uses the prioritization rules. The first rule is that regardless of how a view or views are selected for export, if the selected view has a print view specified, then that view is given priority. Check out other view prioritization rules and the example of how to use a special view for exporting to PDF.

Can I batch print InfoPath forms using Document Converter for SharePoint?

Yes. You need to create a simple SharePoint Designer workflow to automatically convert any new or updated document in a library to PDF format. Then you need to periodically copy a batch of converted PDF files from SharePoint to your local drive using a Library’s Actions / Open with Windows Explorer menu. Finally, you need to select the batch of PDF files on your local system, right-click one of the files, and select the Print option.

Can I merge and split files with Document Converter for SharePoint?

Yes, Document Converter has a range of merging options available, as well as the SharePoint workflow for splitting PDF files.

How do I secure the server that runs the conversion service?

How do I determine my SharePoint Online tenant ID?

The tenancy ID can usually be found at the bottom of the trial subscription box. If the trial has already been installed on the destination SharePoint environment, the easiest way to retrieve the tenancy ID is to try and convert a file using Document Converter’s SharePoint user interface.

How can I elevate app privileges to access advanced features?

Some of the features provided by Document Converter for SharePoint require a level of privileges slightly higher than what out-of-the-box SharePoint App Store apps are allowed to have. Rather than bypassing the App Store completely, making deployment more difficult, we provide the option to elevate the App Permissions manually, but only when certain functionality is needed. You can centrally elevate the app on all site collections and also elevate the app on a single site collection.

Can I, as an administrator, install Document Editor for SharePoint Online, OneDrive, and Teams for particular users or user groups?

Unfortunately, Microsoft doesn’t allow administrators to install applications specifically for selected users or user groups. Nevertheless, you have two installation options. You can install it for your account and all users in your tenant by checking the Consent on behalf of your organization checkbox in the Microsoft permissions dialog box. Alternatively, you can install the application for your account only by unchecking the Consent on behalf of your organization checkbox.

Can I install the application to my account as an individual user?

Yes. As an individual user, you can install the app to your account directly from AppSource.

Is it possible to limit the availability or deployment of the solution to specific SharePoint sites?

No. Unfortunately, Document Editor cannot be restricted to specific sites. To achieve such restrictions, you’ll need to opt for the Extension or Web Part standalone installation options.

Is support available for external/guest users in PDF Editor for SharePoint Online?

No. Unfortunately, Document Editor is only available for internal users. If you want to enable external/guest users to use Document Editor, you’ll need the Extension or Web Part standalone installation options.

What is the duration of the trial period? What occurs after the trial expires?

The trial version remains fully functional for a period of 14 days from the initial installation date. Once the trial expires, Document Editor will be accessible in view-only mode, and a trial watermark will be shown.

If a user in your tenant has already evaluated Document Editor and the trial has expired, any new user from the same tenant who installs the product won’t be able to use the trial. If you need a trial extension, please contact our Sales team.

Are we able to select the specific features we want to use?

Yes. Our pricing model is bespoke, allowing you to choose the features that best suit your organization’s needs. You’ll only be charged for the features you use.

What is the process for removing or uninstalling the product?

Comprehensive instructions, along with a video, can be found here. Note: The complete uninstallation of Document Editor from the tenant may take between 24 and 48 hours.

What is the reason behind the 24–48 hour delay when installing or removing Document Editor for SharePoint?

The installation or removal of the application may be delayed due to Microsoft’s caching infrastructure. Nevertheless, you can follow the provided instructions to expedite the process.

The application is visible in SharePoint and OneDrive but doesn’t appear in the recent files section. Why is that?

At the moment, Microsoft’s file handler framework doesn’t support the Document Editor for SharePoint, Teams, and OneDrive applications appearing on the recent files page.

Is the editor compatible with users who have MFA enabled?

If a user has MFA enabled and has successfully registered their authentication methods, Document Editor should function without any problems.

Can Document Editor for SharePoint be used on mobile devices?

Document Editor for SharePoint can be accessed on mobile devices only via mobile browsers. It doesn’t work on the SharePoint mobile app.
