Daves Tip 30 Using P6 EPPM 8.

2 Capacity Planning Module

Overview P6 EPPM 8.2 is a really useful feature to analyze role allocation and cost over time. Multiple chart formats display role allocation for the projects and roles you select, enabling you to quickly identify areas of under or over allocation. Using this page, you can perform what-if analysis, graphically change project forecast dates, and apply waterline analysis techniques to assist with critical, executive-level decision making. During your analysis, you can create and update scenarios that provide varying snapshots of project and role allocation data. After conducting your analysis, you can create portfolios containing only the projects that meet your planning criteria. How to Find The Capacity Planning Page From the Portfolios tab, click on the sub-tab for Capacity Planning

You are presented with the following page

How to Use The Capacity Planning Page From this screen you now have the capability to create and manage scenarios. For example, you may want to create a scenario whereby you want to exclude a project (or projects) from the current portfolio. You simply clear the tick box next to the project name and the selected chart will be instantly re-drawn for you to analyse the immediate impact.

In a similar vein, you can also clear next to the tick role name to analyze role usage.

You can also customize the columns that are displayed in this view by clicking the

link.

This customize page also allows you to change the grouping, create a waterline (more about that in the next tip) and chart settings. By dragging the forecast bar (the orange one) you can immediately see the impact of delaying or moving a project to a different timescale.

In the example above, the Claims Processing Upgrade project has been forecasted to start Q2 in 2012. The selected chart will then display the usage based on this scenario. Note that the plan itself is NOT changed. If this scenario was to be actioned then the plan must be opened and rescheduled accordingly. Capacity Planning Chart work area The Capacity Planning chart displays historical scenario data or the latest summarized data according to the type of chart you choose to view, the roles and projects you select, the customize options you choose, and global preference settings for calculating role limits. Whichever chart type you choose, when you hover over a color-coded section of the chart, the application displays the data pertaining to that section.

Top Tip To display the Financial Period timescale, projects must be summarized by financial period and financial periods must be properly configured. To display a calendar timescale (for example, Month/Week), projects must be summarized by calendar intervals. Once the different scenarios have been examined, these can be saved and compared sideby-side in the portfolio analysis module.more of this and waterline analysis in the next tip.
