HOW THE HOA WORKS


First, an explanation of two important documents: The Declaration of Condominium Ownership
(Declaration) is like the communitys Constitution it lays out the guidelines for the
community. The Code of By-Laws (By-Laws) governs how the HOA operates. On the
following pages, you will find references to these documents where you can find the legal
language about certain topics. For example, Declaration 6 means that the full information
regarding the topic can be found in section 6 of the Declaration.
As an owner at Ravenswood, you own a percentage of the communitys Common Areas, which
are owned and available for use by all Ravenswood homeowners. In addition, you are granted
use of certain areas that are designated Limited Common Areas (owned by all Ravenswood
homeowners but designed for use by one or more, but not all, owners).
Examples of Ravenswood Common Areas (see Declaration 6 for complete list):
All land in the community (except that which is still under development, which belongs
to the developer); note that your yard is actually a Common Area
Foundations, roofs, and exterior wall surfaces of the buildings
Clubhouse and its furniture and fixtures, including the pool
Streets (privately owned by Ravenswood)
Examples of Ravenswood Limited Common Areas (see Declaration 7 for complete list):
Condo entryways
Patios, porches, and courtyards and fences/gates around patios or courtyards
Driveways and sidewalks serving a particular condo to which there is direct access
Air conditioning compressors for individual condos
Exteriors of doors, windows, and frames of the perimeter walls of a condo
The majority of your monthly HOA fees are used to pay the general expenses incurred in
maintaining the Common Areas and some Limited Common Areas. A portion of your fee goes
into a reserve fund intended for deferred maintenance (performed less frequently than yearly, to
maintain an assets useful life) and to purchase or replace assets that have a useful life over one
year (examples: new roofs, painting of building exteriors; see By-Laws 6.04 for complete list).

Responsibilities of the HOA


The HOA is responsible for the maintenance and repair of the exterior of all buildings as well as
all driveways, streets, lawns and landscaping (unless otherwise specified here or in the
Community Policies and Guidelines), street lighting, improvements to the community entrance,
and the clubhouse. The HOA also hires a property management company (currently Main Street
Management) to manage the day-to-day operations of the community. Basically, you control the
inside of your condominium, and the HOA maintains and manages everything else.
In addition, the HOA master insurance policy covers replacement cost of your complete condo as
purchased. So if you made improvements after you closed on your condo, or (if you are not the
original owner) if improvements were made any time after the original purchase of the unit, the
HOA policys replacement cost does not include any extra cost of those improvements.

Responsibilities of Homeowners

Any maintenance on or replacement of the air conditioning compressor for your unit.
(By-Laws 501.d)
Replacement of broken windows if just the glass, and not the frame or grille, is damaged.
(However, in the event of a natural disaster like a tornado, the HOA insurance will pay
for broken windows.)
Watering of plants and grass around your unit.
Pest control. (You can either do this yourself or hire a professional to do it. Many
residents use Reliable Exterminators, and they may offer a discounted rate if you tell
them you are a Ravenswood resident.)
Insurance coverage for any additional value added by improvements made after the
condos original purchase date, as well as your personal property such as furniture,
window and wall coverings, clothing, and personal possessions.

Companies Providing Services for the HOA


The following are the companies that we currently have contracted with to perform regular
maintenance services in our community:
Pond Maintenance
Hoosier Aquatic Care, Inc.
Services Performed: Between April 1 and October 31, survey pond every eight business days
and treat for algae and submersed weeds when necessary.
Cleaning of Clubhouse
Kevin Van Gorder
Services Performed: In addition to sweeping/vacuuming/mopping floors and emptying all trash,
the following: Foyer (clean doors/windows), Kitchen (clean and sanitize counters, sink,
microwave; clean exterior of stove, refrigerator, cabinets), Common Areas (dust all shelves,
lighting, furniture; clean table tops; clean sliding glass doors), Exercise Room (clean and sanitize
equipment), and Restrooms (clean and sanitize fixtures and partitions).
Window Washing
Window Genie
Services Performed: Wash outside of windows once or twice a year (frequency is decided by
the board, with input from residents). Residents can pay extra to have Window Genie wash the
insides of their windows when Window Genie is in our community.
Lawn Care and Snow Removal
Lawn & Shrub
Services Performed:
Lawn care: Spring clean-up (removing debris that accumulated over winter, light pruning,
cutting back ornamental grass), pre-emergent weed control, mulching, post-emergent weed
control, weekly mowing during growing season, pruning, leaf removal, and final clean-up
(removing any remaining leaves, cutting back spent perennials).

Snow removal: Removal of snow from street, driveways, clubhouse parking lot, and sidewalks,
when two inches of snow have fallen.
Pool
Crystal Clear Pools
Services Performed: In addition to some specific tasks related to opening and closing the pool,
daily visits to remove any debris, testing chemical balance and adjusting as necessary, adding
water if necessary, and completing paperwork required by county health department.

HOA Board of Directors


According to the Ravenswood By-Laws, the Board of Directors must include a President, Vice
President, Secretary, and Treasurer. Other officer positions can be added at the boards
discretion. (By-Laws 4.01) One person can hold two board positions simultaneously, but the
same person cannot act as both President and Secretary. (By-Laws 4.01) The board can also
appoint officers who sit on the board but do not have voting privileges. On an annual basis,
Ravenswood residents elect who they want on the board. The board members themselves elect
the specific officers. (By-Laws 4.02) In January 2014, our first board consisting of only residents
(no longer involving the developer) was formed. Two officers (Assistant Vice President and
Treasurer) in this first board will serve one-year terms and three officers (President, Vice
President, and Secretary) will serve two-year terms. (By-Laws 3.04) After this first year, all
officers will serve two-year terms so that two board members will be elected at each annual
meeting. (By-Laws 3.04)

Formal Meetings
We have an annual meeting, for the purpose of electing board members, and we also hold a
meeting to approve the annual budget. All owners will be notified of any formal meeting by mail
at least ten days before the meeting is to be held. A quorum must be present to hold the meeting.
A quorum is a majority of owners. (By-Laws 2.05f)
Annual Meetings
An annual meeting must be held within six months of close of the fiscal year. (By-Laws 2.02)
Our fiscal year is January 1December 31, so we have to hold an annual meeting sometime
between January 1 and June 30. Since we have residents who leave for the winter, we try to hold
the annual meeting in June, when most seasonal residents have returned. The main purpose of
the annual meeting is to elect the board.

COMMUNITY POLICIES AND GUIDELINES


The Ravenswood policies and guidelines are designed to maintain an attractive and relatively
uniform look to our community, to keep our common areas safe for use and in good repair, and
to maintain our property values. Please familiarize yourself with the policies and guidelines,
which are included below. There are extra copies of the guidelines in a folder on the wall in the
clubhouse near the calendar.

These guidelines have been set forth to expand upon and detail the information found in the
Condominium Declaration and By-Laws under which Ravenswood at Hickory Ridge
Condominium Association operates. All residents are asked to support these guidelines in order
that the community will be a more attractive and harmonious place to live.

I. Personal Property
All personal property, such as lawn chairs, bicycles, tables, etc., must be kept inside the patio or
porch area or the garage. Personal property maintained within the patio area may not be visible
above the patio fence, with the exception of patio furniture that was constructed and sold for
outdoor use (not temporary or folding furniture), patio umbrellas, and grills.
Abbey and Canterbury homes may place patio furniture in black, white, or verde (dark green)
(that was constructed and sold for outdoor use, not temporary or folding style or made of plastic)
on the concrete pad outside the front door in front of the veranda (a maximum of one table and
two chairs or a stationary bench) with approval from the HOA.
Nothing may be hung or displayed, nor may signs, awnings, canopies, shutters, antennae or
satellite dishes, or any other device or ornament be affixed to or placed upon the exterior walls,
doors, fences, or roof without prior written approval of the Condominium Association Board of
Directors. Garden hoses may not be left out over winter.

II. Decorative Items


Until such time as the Condominium Board of Directors has been elected and minimum
guidelines for decorative items are established, display of any of the following is not allowed:
Bird feeders or bird baths (tree-hanging or freestanding)
Flower/plant pots
Garden hose hangers
Ground/landscape lights or stepping stones
Wall plaques
Windsocks/wind chimes/decorative flags
Window sun catchers

The rules committee has decided and received Board approval for:

Hummingbird feeders may be placed on the inside of the patio areathe height of the
feeder cannot exceed the height of the patio fence.
Planters between garage doors with Architectural Request approval

A. Holiday Decorations
Christmas lights and decorations are permitted to be placed in the limited common areas and/or
on building exteriors provided the decorations do not damage limited common area, building,
gutters, or siding. They may not be displayed before Thanksgiving Day, and must be removed no
later than January 7th of the following year. Other holiday decorations are permitted under the
same guidelines, and may not be displayed more than one week before or one week after the
holiday.
B. The American Flag
The American flag may be flown or displayed at any time following normal flag protocol.
C. Wreaths
Decorative wreaths may be hung on the front door only. All wreaths are to be no larger than 30
inches in diameter. Wreaths are prohibited on walls and on the outside of patio fences.
D. House Numbers
House numbers (in addition to the house number plaque at the front door) are only allowed if
purchased and installed by the Association-approved provider (Blumling Design Group). Sign
information and pricing is available in the Sales Office.

III. Flowers/Landscape Plants


A. Lawns
It is the responsibility of the Homeowner to keep the lawn area and plantings around your home
watered during dry periods.
B. Flowers
Flowers may be planted inside the patio fence or directly outside the patio fence or screened
porch in the existing mulched area. Flowers are not permitted around any tree. Only annuals
which will not exceed the height of the patio fence shall be used. Maintenance of the flowers is
the responsibility of the Homeowner, and dead flowers are to be removed at the end of the
season. Annuals which are not maintained during the growing season will be removed by the
grounds keepers and the cost for removal will be billed to the resident.

C. Landscape Plants
Any planting of new shrubs outside the patio area must receive advance approval. Variance
request forms are available from the Management Company or the Sales Office.
1. Additional landscape plants which may be considered will be of a species already in use in the
community and which, at maturity, will not exceed the height of the patio fence.
2. Any new planting beds will be limited in size by the Board.
3. New beds must be mulched with matching hardwood.
4. New plants will become the property of the Condominium Association, who will provide
future mulching, pruning, and fertilization. However, should any one of the plants die, the
resident is responsible for replacement or removal.
D. Landscape Lights
Low-voltage lights may be added in the landscaped area on the inside of the walk in the mulched
bed between the sidewalk and the home only. A total of eight (8) eight are permissible and
Malibu 11-Watt Low-Voltage Three-Tier Light in black, model #CL191 (available at Lowes) is
the only approved light that will be allowed. Specific information may be obtained from the
Property Manager or Sales office.

IV. Other Items


A. Prohibited Items
The following items will be strictly prohibited in any common area of the community: any type
of yard sign, statue, statuette, yard or lawn ornament, artificial flowers, ornamental rocks or
stones, cypress mulch, swing sets, mounted hose reels, laundry poles or clotheslines, or other
such items. Laundry may not be hung over any patio fence (swim suits, towels, rugs, etc.
included). Sun catchers may not be hung in any windows.

V. Exterior Alterations
No alterations, additions, fences, walls, patios, decks, etc. may be made to the exterior surface of
the building, nor may any trees or shrubs be planted, transplanted, or removed without prior
written approval of the Board.
A. Patio Gates
Patio gates may be installed at the residents expense using only the approved design and
specifications. Copies of the design and specifications are available at the Management
Company.

B. Storm Doors
Storm doors may be added at the residents expense using only the approved design and color.
Specific information about approved storm doors may be obtained from the Sales Office.

VI. Windows and Window Coverings


All window coverings, whether draperies, blinds (vertical or horizontal), or valances must be
white, off-white, light beige, or light gray on the exterior side.
One (1) small security system decal will be allowed in a windowone (1) per each major side of
the house.

VII. Signs
Nothing may be hung or displayed from inside the windows except professionally prepared For
Sale and For Rent signs or security system decals, which shall be limited in size and number,
and only one (1) sign per unit shall be permitted. One real estate sign will be permitted on the
exterior of a unit next to the units limited common area. The yard sign shall not exceed 32 x
42.

VIII. Animals
A. No pet which is kept for commercial breeding purposes shall be kept in any unit at any time.
For such pets that comply with the requirements of the Declaration of Condominium, up to two
(2) pets may be kept by the owners.
B. All animals, when outdoors, shall be maintained on a leash not more than eight (8) feet in
length. They shall be supervised by a responsible individual at all times. Such individuals shall
be responsible for the immediate clean-up of all pet litter.
C. No pet shall be tethered outside in the lawn or common area, nor shall any pet be tied to any
patio fence.
D. Pet owners may be fined for violation of these policies, at a rate of $10.00 for the first offense
and $25.00 for each additional offense. If pets become a nuisance, they may be ejected at the
discretion of the Board of Trustees.

IX. Parking/Vehicles
No boats, trailers, motor homes, trucks (larger than a ton pickup), travel trailers, or any vehicle
with commercial advertising may be parked on any street or driveway overnight. Other vehicles
used for recreation (van conversions/RVs) not garage-able, will be permitted to park in the
limited common area (in front of garage) for forty-eight (48) hours to allow for loading and

unloading. Such vehicles must not exceed twenty (20) feet in length and must not block normal
access of other residents. Commercial moving vans, when conducting contract business, and
commercial trucks when in the area to perform service or repair work are an authorized
exception.
All parking by residents or guests must be: (a) within the garage, (b) in the limited common area
in front of the garage door, (c) in the parking spaces at the Clubhouse area, or (d) on the side
drive in such a manner so as not to block any other residents access to the garage or street.
PARKING IS PROHIBITED IN THE TURN-AROUND AREAS AT THE END OF THE
DRIVEWAY. No vehicle may be parked in the Clubhouse parking areas for more than fortyeight (48) hours. Any such vehicles in violation are subject to being towed.
Inoperable vehicles (with flat tires, expired license tags, etc.), or vehicles which cannot be
identified as belonging to a resident, which are parked in any common or limited common area
for more than 48 consecutive hours may be towed off the premises at the vehicle owners
expense. No repair work is permitted on vehicles in limited common or common areas except for
short-term emergency work (flat tire, battery charge, etc.).
No vehicle shall be parked in any manner which blocks any street or driveway, or the
ingress/egress to any garage other than the owners. The speed limit within the community is 14
mph. Reckless operation, excessive speed, and parking or driving on the lawn areas is prohibited.

X. Swimming Pool
The pool is for the exclusive use of the residents and their guests. Any person who cannot be
identified as a resident, or who is not accompanied by a resident, will be asked to leave the pool
area. The pool rules are:
A. All persons using the pool and pool facilities do so at their own risk and sole responsibility.
There is no lifeguard.
B. All children under the age of eighteen (18) must be accompanied by an adult resident age
eighteen (18) or older.
C. Guests are limited to three (3) per household, and must be accompanied by a resident at all
times. Guests will be asked to leave if the resident is not present. Pool passes may be required.
D. The following are prohibited in the pool area:
Animals
Glass or other breakable items
Running, diving, or disruptive behavior
Excessive noise, splashing, or radios without headphones
Private pool parties
All rafts and body floats
Electrical devices

E. Swimming is permitted only in garments sold as swim wear. Infants must wear water diapers
the entire time they are in the pool.
F. Lounge chairs or tables may not be reserved and must be repositioned in the order intended
(orderly fashion) after use.
G. The pool will be open daily during swimming season until 10:00 p.m.
H. Wet swim wear is not permitted in the Clubhouse lounge area.
I. The gas grill is to be operated by adult residents only and cleaned up after use.

XI. Community Center (Clubhouse)


The Community Center is for the private use of the residents. It is available for rental to residents
only for non-profit parties or meetings. The following policy applies:
A. A $175.00 refundable deposit and a $25.00 rental fee are required.
B. Childrens or teenage birthday parties or gatherings are prohibited at the Clubhouse.
C. The renting Homeowner will have exclusive use of the party room only; the guests may not
use the pool or exercise equipment, and the pool may not be reserved for any party. No party
items will be furnished by the Association.
D. The renting Homeowner is responsible for all clean-up and trash removal. Clean-up must be
done (completely) the day of the party.

Damages to the Community Center or equipment and any follow-up cleaning done by the
Association will be deducted from the deposit. If the deposit is an insufficient amount,
the renting resident will be billed for the difference.

The renting resident, if not a Homeowner, must have written consent from the
condominium owner to reserve the Clubhouse.

All reservations of the Clubhouse require that a Clubhouse Reservation Request be


filled in completely and submitted to the Sales Office, the Social Committee Chair, or the
Management Company.

XII. Trash Collection


No waste receptacles shall be set out prior to 5:00 p.m. the day preceding collection, and the
containers must be stored away by 9:00 p.m. the day of collection. Trash containers, when not set
out for collection, must be kept inside the garage. Residents will be responsible for clean-up of
trash spillage from the containers.

XIII. Solicitation and Garage Sales


Solicitation by commercial enterprises is not authorized within the community. In a like manner
and due to restricted parking availability, garage sales and tag sales are specifically prohibited,
unless approved by the Condominium Association as a planned community activity.

XIV. Utilities
Residents are responsible for maintenance and payment of their own gas, electric, water/sewer,
cable television, and telephone and for calling to initiate service on the date of possession.

XV. Condominium Sales


Any owner who sells his or her condominium is responsible for:
A. Making certain the Association Management Company is aware of ownership changes at the
time a closing date is established.
B. Making certain all condominium dues are current.
C. Making certain new owners receive the Condominium Declaration, By-Laws, and Community
Policies and Guidelines.

XVI. Amendments
These policies and guidelines may be subject to change from time to time at the discretion, and
by a majority vote of, the Board of Directors.
XVII. Courtyard Series Homes: (This section relates to the Courtyard Series plans ONLY
rules related to the other floor plans will remain in full force and in effect.)
Courtyard Homes (attached and detached) have an appurtenant outside living area that is
enclosed by a fence. This courtyard is limited common area per the Act for the exclusive use
of the attached unit.
The interior of the courtyard shall be maintained by and at the expense of the unit owner.
Plantings and decorative items shall be permitted to be attached to the interior of the fence as
long as there is no penetration to the exterior of the fence.
Trees may be planted by the unit owner within the courtyard as long as they are of the size and
variety so as not to interfere with the fence, the concrete, or the building.
Outdoor furniture, umbrellas, barbeque grills, patio heaters, chimineas, and fire pits are
permitted. Any tall objects are to be placed behind the taller section of fence. Other than
umbrellas, no covering or tents or gazebos will be permitted.

Typical outdoor furnishings in black, white, verde (dark green), or neutral colors are allowed on
the covered front porches.

XVIII. Other
Any exterior improvements to be added to any unit must be approved prior to doing so by the
Board of Directors.
Violations of the Policy and Guidelines or Condominium By-Laws will result in a written
request for correction by the Board or Management Company. Failure to comply with such
requested correction can result in a $100.00 fine per each further notification.

ACTIVITIES & FUN STUFF


The following activities are available at Ravenswood and are a great way to have fun and get to
know your neighbors:

Saturday Morning Coffee Hour Every Saturday from 9:00am to 10:00am at the
clubhouse (many people come early... around 8:308:45am). $1 buys you coffee and a
donut. Conversation and laughter are free.
Game/Card Night Every Wednesday at 6:30pm at the clubhouse (check the calendar
to see what game will be played). Typical games are dominos, bingo, cards. No need to
sign up ahead of time just show up.
Bowling Every Wednesday at 10:30am at Arrowhead Lanes. The group plays two
games, then goes to lunch afterward. You cover your own costs.
Golf In spring, summer, and fall, Friday mornings (usually a 10:30am tee time at
Coyote Crossing); sometimes another morning at one of the Purdue courses. Tom
Kawsky is the contact person.
Monthly Hors doeuvres Second Tuesday of each month at 6:00pm at the clubhouse.
No need to sign up ahead of time. Just bring a snack food to share and whatever beverage
you want for yourself (or you can purchase water or soda for 50 cents from the clubhouse
refrigerator).
Monthly Dinners Held during any month when someone volunteers to host one. These
usually have a theme, cost $5 per person (usually the main dish and beverage are
provided and everyone attending brings something else), and are held at the clubhouse.
Thursday Night Dinners Every Thursday (usually at 5:30pm) at various local
restaurants.
St. Anns Soup Kitchen Donation Collection First Saturday of the month at the
morning coffee at the clubhouse
Annual Yard Sale Our annual Ravenswood yard sale is usually held in September.
Anyone who wants to participate pays $10 for use of a long table. Residents keep their
profits.
Water Aerobics During the summer, every Monday and Friday (weather permitting) at
3:00pm at the pool.

Committees
Want to get more involved? We have a number of committees in our community that help us run
the various activities and make our community a great place to live. The following are the
current committees and their responsibilities:
Financial Committee
(2014 committee members: Jon Gallipo, Judi Austin, Carol Czomak, Joe Emig, Tom Kawsky)
Review monthly financial reports and question anything that seems out of the ordinary.
Prepare a reserve study (to determine what funds are needed for maintenance costs two to
thirty years out) and keep the study updated going forward.
Act as an advisory committee to the board in creating annual budget and setting annual
HOA fees.

Social Committee:
(2014 committee members: Mardel Stoops - chairwoman, Marilyn Cioni - backup chairwoman,
Cindy Warren, Karen Gascho, Ann Beauchamp, Keith Merrion - newsletter and calendar, Paul
& Marilyn Ziemer- clubhouse rental)
Maintain supplies at the clubhouse (trash bags, toilet paper, paper towels, dish/hand soap,
dishwasher soap, napkins, plates, coffee, creamer, hand wipes for workout room).
Maintain sign-up sheets for Saturday coffee, monthly dinners, and Thursday night
dinners.
Buy and send cards (and sign them from the Ravenswood family) for serious illnesses or
death when someone in the immediate Ravenswood family is affected.
Contact new residents, give them a current copy of the Ravenswood directory and
community guidelines, gather information about them and a picture to put in the
newsletter/directory.
Create and send out monthly newsletter and calendar of Ravenswood info and activities.
Send emails to residents when there is news to communicate that cannot wait for the
newsletter.
Provide decorations for the clubhouse when desired.
Handle clubhouse reservations.
Put clubhouse trash out on Thursdays and bring trashcan back in when collected.
Post yearly calendar at clubhouse and fill in events for the year.
Grounds Committee:

Buy and plant annuals where desired in Common Areas.
Water plants and grass in Common Areas when necessary.

Make sure pool and pool area are ready for the swimming season (clean and set up pool
furniture).

If you dont want to be on a committee but still want to get involved, you can always sign up to
host any of the following activities:

Saturday Morning Coffee Host sets up tables and chairs, makes coffee (regular and
decaf), sets out toaster and items like bagels and spreads, buys donuts, records the
number of residents attending, collects the money, and cleans up afterward. If you are
new to this, someone else is always willing to co-host and help you learn the procedure.
Thursday Night Dinners Host chooses a restaurant for each Thursday of the month
theyve signed up to host, then sends out email to residents and makes reservations once
those who want to attend have replied.
Monthly Dinner Host chooses a theme and the main dish and any other items to be
provided, decorates (if desired), often plans some light entertainment (such as simple
games), collects money from those who attend (usually $5 per person), assigns side
dishes for attendees to bring (if necessary), and cleans up. If host wants to take pictures
for the newsletter, they can do that too.

CLUBHOUSE
Every resident should have received a list of the numerical codes used to unlock the front door. If
you do not have one, contact any board member to receive one. The code changes each month,
but each months code is the same each year. (For example, if Januarys code is 12121, it will be
the same in January of 2014 and also January of 2015.) Rick Stoops is currently in charge of
changing the code each month.
Soda and bottled water are available in the clubhouse refrigerator. If you take one, please deposit
50 cents per bottle or can so we can replenish the supply.

Workout Room
If you use the fitness room, please turn off the TV and any fans and lights before you leave.

Storage Room by Kitchen


The door to the storage room by the kitchen is locked because we had some trouble with supplies
going missing. But any resident is welcome to use the key if they need to access the storage
room. The following people in our community have keys to the storage room: Jon Gallipo, Keith
Merrion, Paul Ziemer, and Jack Coward. There is also a key that stays in the Saturday coffee
money container at all times.

How to Reserve the Clubhouse


Remember: You must be present at the clubhouse when you have it rented. It cannot be rented
for someone else to use.
1. Check the calendar at the clubhouse to see if the date is open (calendar is located by the
bulletin board in the area where the model of the community is).
2. Fill out the form in the clubhouse (located by the bulletin board).
3. Place the form and the following two checks in envelope:
$25 to Ravenswood HOA for rental fee
$175 to Ravenswood HOA for deposit
4. Place the envelope back where you got it. Envelopes are picked up every Saturday morning.

Fines:
If any costs for correcting items are incurred through the use of the clubhouse, it will be
deducted from your deposit. You will be charged the replacement cost for any damages
done to the clubhouse (which may exceed the deposit).

back in once it has been emptied (on the Thursday after your event).
Other examples of individual items resulting in a $20 fine:

FREQUENTLY ASKED QUESTIONS

General Questions about the HOA


Who determines what the HOA fees are? Who raises them?
The board determines the fees each year, based upon input from the owners, the Finance
Committee, and the property management company.
How are owners represented when a vote is taken?
Each condominium (detached home or unit in a quad) has one vote. So if you are the sole owner
of your unit, you have one vote. If you co-own your home with someone else, you still have one
vote. (By-Laws 2.05a)
What if Im out of town when the meeting is scheduled and I want to vote?
With any written notice of a formal HOA meeting, you will also receive a proxy form. You can
fill it out to give someone else the power to represent you for voting purposes.
Are board meetings open to all residents?
This is up to the board members to decide. The current board has decided to hold closed
meetings. However, if a homeowner has specific questions or concerns, they can ask (at least one
week in advance) to attend the next board meeting and be included on the meeting agenda so
they can be heard.
When does the board meet?
The board meets on the third Monday of each month at 6:00pm in the clubhouse.

Questions about Maintenance/Repair Issues


I have something that needs repair or attention that is covered by the HOA. Who do I call?
If you have access to a computer, go to Main Street Managements website at
www.mainstreetmanagementllc.com. Scroll down to the bottom of the home page and select
Service Request and complete the service request form. IMPORTANT: Fill in the
Community Name space as Ravenswood Condos. This sets up the paper trail so your request
can be complete. If you call them to submit the request, they have to complete the request form,
which just delays things.
If you do not have access to a computer, call Main Street Management at 742-6390. Tell them
you are at Ravenswood condos and have a service request.
If you have an emergency after hours, Main Street Managements after-hours number is
420-1630.
My trashcan is cracked or broken. Who do I call?
Call Republic at 477-9138 and they will replace it.

Questions about Community Policies and Guidelines


I have someone who is going to be living with me temporarily. Do I need to get permission or
notify someone?
No, unless it is a rental situation.
I want to plant something. Do I need approval first?
You can plant flowers and small perennials in the mulched areas around your condo without
requesting any prior approval. If you want to plant a new tree, bush, or shrub (the cost of which
you must cover yourself), you need to fill out an Architectural Control Approval Request
(available in a folder on the wall in the clubhouse near the calendar) and submit it to the Rules
Committee. They will handle it from there and respond to you.
I want to add something to the exterior of my unit (storm door, patio, awning, satellite dish).

I see something in someone elses area that is a violation of our community policies and
guidelines.
If you feel comfortable approaching the person, you can certainly let them know (politely) that
they are violating a rule. They may simply not be aware that they are in violation. If you do not
feel comfortable approaching them, report the violation to someone on the Rules Committee.
I have guests visiting who want to use the pool. What do I need to know?
Guests are limited to three per household and must be accompanied by a resident at all times. All
children (guests or residents) under the age of eighteen must be accompanied by an adult resident
age eighteen or older.
I would like to propose a new rule or ask that an existing rule be reconsidered.
Submit your request in writing to the chairman of the Rules Committee. The committee will
discuss your request at their next meeting and then submit the request, along with the
committees advice, to the board for a final decision.

Questions Regarding the Developer (Kalan Homes)


Now that the residents control the HOA, what are the developers rights and responsibilities?
The developer (Kalan Homes) has the right to maintain a sales office and/or sales area in any
Common Area facility (such as the clubhouse) (Declaration 13 and By-Laws 7.01a.) Currently,
the developer is using an office space and a room to house samples of upgrades and options. The
developer is also currently paying for the phone line used by the office. The developer owns the
furniture and equipment that are in those rooms.

Questions about Services Provided by the HOA


Is recycling service available?
In June 2014, we learned that recycling pickup every two weeks is available through our current
trash pickup company, Allied Waste Services, for an additional $15 per month per unit.
However, individual owners cannot opt for this service it has to be for the entire community,
so the board decided against it for right now.
I leave for the winter (or several months). Do I need to tell anyone?
If you are a seasonal resident, please let the HOA Recording Secretary, Amy Ratcliffe, know
what months you will be gone and she will contact Republic Services, our trash-collection
company. You can reach Amy at 765-838-8262 or [email protected]. We are charged by
the trashcan for trash collection. If you are gone for an extended time and we notify Republic,
they will not charge the HOA for collecting your trash during that time.
