Explain the importance of Business communication


for an organization using a case study.
Business Communication
Communication plays a crucially important role in all aspects of
a business. Business communications may be in-house or
external. With internal communication, you are dealing with
staff in meetings or via such written messages as emails and
text messages. With external communicating, you are dealing
with suppliers, clients or other businesses.
Effective business communication helps build a good
relationship between the employer and the staff, which can
help increase productivity and the company's bottom line. Poor
communication in business can result in a number of
unforeseen problems, including disgruntled customers, delayed
projects, and diminishing productivity and more. Therefore, in
the following part, we'd show you the importance of business
communication.

Increased Productivity
The success of any project is dependent upon the ability of staff
members to collaborate, and effective business communication
is the key to successful teamwork. This promotes understanding
and builds trust between the employers and the staffs. That's one
importance of business communication.

Improve Business Partnership


Another importance of effective communication in business is
improved partnership. Communication is crucial when dealing
with suppliers and other external business contacts. Sometimes
suppliers need to be regularly updated on all the products so
they can determine areas that they need to improve. Also, you
may need to form an alliance with other businesses at some
point. How effective you relate with these businesses will help
determine whether or not you will succeed in these areas. If your
company develops a reputation as an entity that's easy to form a
partnership with, you can significantly increase your chances of
forming business relationships with other entities.

Facilitate Business Innovations


The final importance of effective business communication is that
with it help facilitate business innovation. As the world is
becoming globalized, you will need to take advantage of this
fact and grow your audience and customer base. If both the
employers and staff oversee communicate well, the advantages
are twofold. Business innovation happens when staff feels
comfortable to convey opinions and ideas. For instance, if you
are considering launching a new product, effective
communicating can play an integral role in how fast you
introduce the new product to the market, how well your sales
team performs and how it is received by your market.
Organizations can communicate to target public through public
relations and advertising, through newsletters, videos, crisis
management with the media, special event planning, creating.

 Managing of corporate publications for employees and
partners.

 Organizing events for internal staff.

 Information sharing with employees, building employee


pride, etc.

ensure compliance with the guidelines of the corporate
brand.

effectively communicate the essence of the company.

Basic Objectives and Goals of Business


Communication:
1. Effective Work Distribution: To perform and work on
the right path, it is essential that good information
goes at a good time with good people. Examples: – to
convey instructions, management distributes a memo;
– to distribute the agreed work meeting, a report is
given to participants; – to describe the processes, a
procedure file is established.
2. Prepare for Decision Making: To properly prepare a
decision, it must have all the existing information required.
Example: for an economic decision, it is important to know
all the figures, balance sheets, statistics, and human
decision tables which highlight different needs and
requirements. They will rely in effect on the information
from staffs, media, etc. The choice the media (email, mail,
display, etc.) for the information is critical because it
promotes the flow of transmission and the effectiveness of
decision making according to the objective to be achieved.
It is important to anticipate that to overcome the various
problems which may impede the flow of information, such
as retention or wealth of information, transmission delays,
truthfulness, and clarity.

3. Promote in Social interviews: Good communication


within a group promotes good agreement, prevents
conflicts and enables it to function well. The individual
then feels good about the group: he can easily express
positiveness and promote company in social discussions
and conversations.
Methods of business communication
 Web-based communication;
 Video conferencing: allows people in different locations to
hold interactive meetings;
 Reports: important in documenting the activities of any
department;
 Presentations: popular method of communication in all types
of organizations, usually involving audiovisual material, like
copies of reports, or material prepared in Microsoft PowerPoint
or Adobe Flash;
 Telephone meetings: which allow for long distance speech;
 Forum boards: which allow people to instantly post
information at a centralized location;
 Face-to-face meetings: which are personal and should have a
written follow-up;
 Suggestion box: primarily for upward communication,
because some people may hesitate to communicate with
management directly, so they can give suggestions by drafting
one and putting it in the suggestion box.
 Memos: letters to members of a company or organization
