STEPS TO SET EMAIL TO DELETE AUTOMATICALLY MAILS:

To enable filtered auto delete in Microsoft Outlook, we will create a rule. This rule will check all
the incoming email messages and see the email address the emails are originating from. If the
email address matches the one we have set in the rule, Outlook will delete that message instead
of moving it into the Junk folder. To delete the message, MS Outlook will move it to Deleted
Items folder.

1. Open Microsoft Outlook


2. In the Inbox or Junk folder, locate the email message from the sender (email address) that
you want MS Outlook to delete automatically.
3. Click on Rules to open the drop-down menu (Outlook 2007 and Outlook 2010).
4. Click on the first option that says “Always Move Messages From: xyz”.
5. In the dialog box that appears, you will find the list of folders in the PST file of the
account that contains the email message to be deleted automatically. Select Deleted
Items.
6. Click OK

STEPS TO DELETE PERMANENTLY JUNK MAILS:
1. Open the Junk E-mail Options dialog box.
 Outlook 2010 and later versions:
On the Home tab on the Ribbon, click Junk, and then click Junk E-mail Options.
 Outlook 2007 or Outlook 2003
On the Tools menu click Options, and then click Junk E-mail.
2. On the Options tab, click to clear the permanently delete suspected junk e-mail instead of
moving it to the Junk E-mail folder option.
3. Click OK.

STEPS TO NOT TO MARK EMAIL AS JUNK IN FUTURE:

1. To ensure they are put in your Inbox, click on your Junk Email folder. Then right-click
the message labeled as Junk and select Junk >> Not Junk from the context menu.
2. The Mark as Not Junk box comes up. Check Always Trust email From [email protected]
and check your email address below that.
3. Click OK.
4. The message will be moved to your Inbox and won’t be blocked as Junk again.

STEPS TO ALLOW HIGH PRIORITY MAILS FROM PROFESSOR TO AN
IMPORTANT FOLDER

To send messages from a particular sender to a designated folder:

1. Open an email from the sender whose messages you want to filter.
2. Go to Message and select Rules > Create Rule.
3. In the Create Rule dialog box, select the From [sender] check box.
4. In the Do the following section, select the Move the item to folder check box.
5. In the Rules and Alerts dialog box, choose the folder where incoming messages from the
sender will be moved.
6. Select OK when you're done. New emails you receive from the specified sender are
stored in the folder you selected.

STEPS TO FLAG MAILS FOR FOLLOW-UP:

1. Before you select Send, on the Message tab, in the Tags group, select Follow Up, and


then select Custom.

2. Select Flag for Recipients.

3. Under Flag for Recipients, select a flag in the Flag to list.

4. By default, a reminder accompanies the task. To send a flag without a reminder alert,
clear the Reminder check box.

STEPS TO SET AN ALERT ON DESKTOP WHENEVER AN EMAIL ARRIVES:

1. In Outlook, select the “File” menu.


2. Select “Options“.
3. Choose the “Mail” option in the left pane.
4. Scroll down to the “Message arrival” section. Check the “Display a Desktop Alert” box if
you want a notification box to appear when you receive an email.
