◊ Check the correct parts have been delivered with respect to client’s requirement including an IPOv2 control unit with
Admin/User DVD and required cards, modules, cables and telephone sets, patch cords, documents etc.

◊ Optionally a keycode file, if client have ordered for applications such as ip endpoint, preferred edition, advanced edition,
user productivity pack etc.
◊ A flat bed screw driver to mount trunk daughter cards and base cards.
Depending upon number of station cards, the control unit would look like following. Control unit supports maximum 4
base cards.

1.5 Connect power cord to control unit and Power ON the unit.
Note: Power cord is optional and has to be ordered separately.
1.6 Connect a PC/Laptop to the LAN port of control unit using a LAN cable to access IPO.

2.1 Insert the IP Office Administrator Applications DVD. Select the option for the IP Office Administration Suit. A folder
window will display the installation files for the administration suite.
2.2 Double-click on setup.exe. And follow instructions to complete installation.
2.3 On Custom Setup screen ensure that at minimum System Monitor and Manager are selected. Click Next > and then
Install > to proceed.

2.7 Click the check the box next to the system and then click OK
2.8 The name and password request is displayed. The default name and password for full configuration settings access is
Administrator and Administrator
Note: Default LAN IP address is 192.168.42.1 and WAN IP address is 192.168.43.1. DHCP enabled on both interfaces.

3. Software Upgrade
If at all IPO is running with older version of software; you must upgrade software to the latest release (Exa: 6.0).

4. License Activation
System require license activation for applications such as IP endpoints, preferred edition, advanced edition, user productivity packs,
SCN networking etc.
4.1 Prior to installation please obtain the license file from distributor. License key is a 32 character strings unique to feature key
and applications.
4.2 Open the license file and copy Encrypted Key column containing license keys.
4.3 Paste encrypted keys as licenses under menu License right click and select “Paste”

4.4 Click on to send the configuration back to the IP Office. The menu that appears will indicate whether a reboot is
required.
Important: While using IPO Manager application always remember to click on icon “Save Configuration” to write changes in to
FLASH from DRAM. Failing to do so; may result in unsaved configuration upon system reboot.

System default configuration serves the purpose most of the times hence suggested to keep the following settings default.
Default configuration:
User Name: Administrator
Password: Administrator
LAN1: IP address – 192.168.42.1; Mask – 255.255.255.0; DHCP Server: Yes; Pool Size: 200
LAN2: IP address – 192.168.43.1; Mask – 255.255.255.0; DHCP Server: Yes; Pool Size: 200
Default Starting Extension: 201 onward
Hunt Group: 200; where first 10 users are the members
Incoming Call Route: Voice calls are routed to hunt group 200 members
Outgoing Call Route: Calls can be dialed out with out any prefix

Based upon trunk card inserted in the control unit, system would detect and setup trunk lines automatically.
6.1 Setup Analog Trunks:
6.1.1 Set system local to “Saudi Arabia (UK English)” in order to adjust system supported line parameters, using menu

6.1.3 Adjust Line Group IDs and Prefix using “Line Settings” menu under Lines Select trunk lines Line Settings
6.1.3.1 To route incoming calls to the same destination, keep Incoming Group ID as “0”.
In case of PRI/BRI trunks set the id to “1”
6.1.3.2 To call out from same group of trunk lines, keep Outgoing Group ID as “0”. In case of PRI/BRI trunks set the id to
“1”.
6.1.3.3 Set Prefix as “9” to automatically add it on incoming calls when used for callback.

If PRI trunk co-exists with PSTN trunks; then suggested to change line id to another value than “0” such as “1”.
6.2.3 Set Prefix as “9” to automatically add it on incoming calls when used for callback.

6.2.4 Optional: If client is going to use 10 channels instead of 30 channels on the PRI trunk; then change the number of

Incoming call routes are used to match call received that to with destination. Routes can be based on the incoming line group, the
type of call, incoming digits or the caller's ICLID.
7.1 By default all the trunk lines are assigned to Incoming Group ID “0”.
You may change the route for another set of trunks with respective group id using menu Incoming Call Route “0”

System uses short codes are used to match the number dialed to an action. Action can consist of call out, call barring, enable/disable
feature, speed dial etc. Short codes can be created under Users, System and Lines.
Exa: To use “9” as prefix; system short code must be created. If particular user must be restricted from international dialing; then
short code must be created under that particular user.
8.1 Remove default short code that allows dialing out without any prefix. Use menu Short Code New Short Code

Outgoing call routes are used to redirect calls through respective trunks based upon short codes defined.
It is possible to route local calls through PSTN trunks and international calls through PRI/BRI trunks using ARS (Automatic Route
Selection).
Default ARS allows all outgoing calls to dial out through lines having group id “0” such as PSTN trunks.
9.1 Enable second dial tone for prefix “9” using menu ARS Main ARS Check “Second Dial Tone” and select
“System Tone”
9.2 Default ARS short code allows dialing out any unmatched dialed digit as it is through trunks having group id “0” such as
PSTN lines. You may edit default ARS short code using menu ARS Main Add

Embedded voicemail allows to store up to 15 hours of voicemails on the SD Card memory. User mailboxes can be created from day
one without any add-on licenses. System automatically creates mailboxes for the users.
10.1 Select voicemail type as “Embedded Voicemail” using menu System Voicemail Voicemail Type
10.2 Check “Message Button Goes To Visual Voice” option to control voicemail option using phone buttons
10.3 Optionally add “DTMF Breakout” parameters. Once voicemail answer the call, Callers can be redirected to another
destinations such as operator extension, supervisor number and cell number by dialing *0, *2 and *3 respectively.

Method-2: Alternatively, using standard short code “*17” user can access voicemails as well.
Voicemails are deleted upon checking it unless manually chosen to save it using voicemail menu.

Auto Attendant is the standard feature in IPO that supports up to 40 auto attendant tables. Each table supports several actions
described as follows:
• Blind Transfer:
Callers are transferred to the selected destination. This action is used with the key Fax so that when a fax tone is detected
the call is transferred to the specified extension.
• Dial by Name IP Office:
Callers can dial the name of the user they require. A list of matching names is then played to them to make a selection.

• Dial by Number:
Callers can dial the required extension number. There is no prompt associated with the action. If a prompt is required it as
part of the menu prompt.
• Normal Transfer:
Transfers the caller to a specified number. This is a supervised transfer, that is, if busy or unanswered the call will follow
the settings of the target user or hunt group.
• Not Defined:
Take no action.
• Replay Greeting:
Repeat the menu greeting.
• Transfer to Attendant:
Used to access one auto attendant from another.

11.1 Add a new Auto Attendant table using menu Auto Attendant Create a New Record add following changes

To specify action edit keys using menu Auto Attendant Actions select key 0 and click “Edit”

programmed and Dial-by-Number option must be checked.

By default system would recognize digital ports on the cards/modules and create extensions automatically along with respective
user. Therefore once digital phones are plugged in, users are ready to dial in/out.
User is a person who is going to use a particular extension. Exa: Extn201, Extn202 etc.
Programming related to user such as profile, voicemail, forwarding, button programming, directory etc configured under User
menu. A user may or may not have an Extension Number that physical exists - this is useful if users do not require a physical
extension but wish to use system features, for example voicemail, forwarding etc.
12.1 Make sure that required number of extension appears under Extension menu based upon card/module inserted.

In order to register IP phones with IPO, system require IP endpoint license (229444). Hence make sure that enough IP licenses are
in place (using menu License).
13.1 Add “TFTP server IP Address” as system’s ip address using menu Systems System

Once IP phone is registered, extension number is stored in the phone as well as IPO memory. Hence in case of extension
renumbering; do not forget to clear phone’s configuration and reconfigure it with new extension.

Avaya digital and IP phones comes with dedicated function keys such as mailbox, call log, conference, directory etc. Hence button
programming is not really required. In few instances client may ask for following button programming.
