1 Description
This specification describes the requirements for the uniform preparation of Installation, Operating
and Maintenance Manuals supplied with equipment specified in the technical specifications.
2 General
Provide a manual for installation instructions and a separate manual for operating and maintenance
instructions.
Ensure manuals are inclusive of all components of the equipment including components supplied by
Sub‐Vendors / Contractors.
Comply with specification 002576520‐0000‐40EG‐0001 Vendor Documentation for document sizing
and format.
Submit completed manuals in accordance with quantities indicated in the Vendor Data Requirements.
Provide all manuals in English.
3 Assembly of Manuals
Assemble manuals in white, plastic covered, D‐Ring type binders with a clear plastic front and spine
pocket for insertion of the manual title sheet. No other type of binder is acceptable, including the
Vendor’s standard binders.
Provide rigid plastic inserts in the binder before the first page and after the last page to assist in
pushing the pages into their proper orientation when closing the binder.
Provide coloured plastic dividers to separate each section of the manual. Mark dividers numerically
to correspond with the index.
Sub‐divide and index each section of the manual to facilitate referencing.
Fold and enclose in an 8.5” x 11” size plastic pocket, of adequate strength, all drawings and charts
larger than 8.5” x 11”.
Enclose originals of all brochures. Photocopies are not acceptable.
Where a general brochure is applicable to a range of equipment, identify the specific item, catalogue
number or model number. The same applies to lists of spare parts.
Wherever possible provide exploded views and pictorial descriptions.
Refer to Section 5.0 of this specification for details of the inserts for the front cover and spine pockets.
The font shall be Calibri and all characteristics shall be the same as that shown. Number each volume,
e.g. 1 of 1, 1 of 2, 2 of 2, etc.
Comply with Section 4.0 for the minimum content and order of assembly in the manuals. Include
detailed operating, maintenance and repairs, parts lists, test certificates, data sheets, specifications,
calculations, etc. for the plant/equipment including all parts and components.

4.1 Installation Manuals
4.1.1 Table of Contents
Provide each volume of a manual with a table of contents listing the contents of all volumes that
comprise the complete manual.
4.1.2 Section 1 ‐ Contact Personnel
Reserve this section specifically for addresses, phone numbers, fax numbers, e‐mail addresses and
contact names of technical personnel who have knowledge and expertise on the installation of the
equipment.
4.1.3 Section 2 ‐ Health and Safety Precautions
Specify the Health and Safety hazards which may be encountered and precautions to be taken during
the installation of the equipment, including the following:
Special safety precautions or health related equipment required for the installation of the
equipment.
4.1.4 Section 3 ‐ Installation Instructions
Provide complete installation instructions, including the following:
Storage requirements for components prior to installation.
Lifting points and weights of components, including crane requirements. Note critical lifting
points.
Complete details of the erection and installation sequence including the extent of shop and site
assembly.
Detailed installation drawings.
Details of specialized labour required for installation.
Details of specialized equipment required for installation (i.e.: special tools, jigs, spreader beams
etc.)
Details of corrosion protection systems used and method of repair or re‐coating.
Warnings regarding procedures or practices likely to cause damage to equipment during erection,
installation and maintenance.
Lubrication details.

4.2 Operating and Maintenance Manuals
4.2.1 Table of Contents
Provide each volume of a manual with a table of contents listing the content of all volumes which
comprise the complete manual.
4.2.2 Section 1 ‐ Contact Personnel
Reserve this section specifically for addresses, phone numbers, fax numbers, e‐mail addresses and
contact names of technical personnel closest to site, including Sub‐Vendors / Contractors, who have
knowledge and expertise on the operation and maintenance of the plant/equipment.
4.2.3 Section 2 ‐ General Description
Provide the operator a brief overview of what the equipment does, how it operates, what its main
performance characteristics are, etc. This section serves to assist with training of operators.
4.2.4 Section 3 ‐ Health and Safety Precautions
Specify in this section the health and safety hazards which may be encountered and precautions to
be taken during the operation and maintenance of the equipment, including the following:
Special safety or health related equipment required for the operation, e.g. safety goggles, ear
protection, special gloves, face shields, etc.
MSDS sheets for all materials.
4.2.5 Section 4 ‐ Operating Instructions
Provide the operator with detailed, step‐by‐step instructions of how to start up and operate the
equipment under all conditions including the following:
Pre‐commissioning and commissioning check list.
A detailed step‐by‐step, safe working procedure for the Operator.
The performance specification of the equipment, giving details of the operating parameters,
limits, capacity, settings, etc.
Pre‐operation checklist including lubrication/grease.
Fault diagnosis and instructions (at Operator level).
Emergency shut‐down procedures.
Special operating procedures for abnormal conditions e.g. after emergency shut‐down, during
stand‐by mode or manual mode.
Relevant disposal instructions for consumable items.

4.2.6 Section 5 ‐ Maintenance Instructions
Provide detailed step‐by‐step instructions to maintain the equipment under all conditions, including
the following:
Details of the operating parameters, tolerances, limits, capacity, etc.
Fault diagnosis instructions (at all levels).
Lubrication Schedule.
Also include a list of daily, weekly, monthly and yearly tasks for scheduled maintenance. Indicate
standard durations for each task.
Prepare the maintenance schedule as shown in Table 1.

Provide a hazard analysis with respect to the use of special tools or uncommon maintenance practices.
Include a lubrication schedule to give full details of lubrication points, lubrication types, filters and
intervals for lubrication of the plant or equipment. Include with the lubrication schedule a lubrication
chart or diagram showing the location of all lubrication points and filters referred to in the schedule.
Provide the lubricant schedule as shown in Table 3.

4.2.9 Section 8 ‐ Control Documents
In this section include the following documents:
Conformity certificate issued by the appropriate authority
Performance Test curves and certificates
Warranty
4.2.10 Section 9 ‐ Index of Drawings and Data Sheets
Incorporate a master reference list of all relevant drawings and data sheets, including those which are
not bound in the manual, which will be required for maintenance and operation of the equipment.
List documents included in the manual in the index.
Provide Index of Drawings and Data Sheets, as shown in Table 4.

4.2.11 Section 10 – Supplier’s Catalogues
Include in this section catalogue information, pamphlets, data or specification sheets which are
relevant to the plant/equipment. Within the documentation, clearly indicate or highlight (underline
or asterisk) specific items which are relevant to the plant/equipment.
5 Sample Binder Cover Inserts
The following notes apply to both the spine and front cover inserts:
Adjust the size of the inserts to suit the width and height of the binder;
Replace the words “EXP PROJECT NUMBER” with the relevant EXP project number.
Replace the words “OWNER” and “PROJECT NAME” with the names relevant to the project;
Replace the words “EQUIPMENT DESCRIPTION” with a suitable description of the plant
equipment;
Replace the word “VENDOR” with the Vendor’s registered name; and
A single volume manual shall be numbered Volume 1 of 1.
