Accomodation
For accommodation you have many options available like Staying in PG, in sharing, on rent.
There are some details of PG which are nearer to office premises.
You can also search for other PG and rent sharing apartments nearer to the InfoCity area
like Infocity Township, Kudasan, Sargasan, Sector – 1, 2, 3.

Office Timings
We are working 5 days a week (Monday to Friday), 40 productive hours per week.
General office timing is morning 10am to evening 7pm, including 1 hour of lunch break
(usually between 1 pm to 2 pm). All days are not the same so you will be allowed to start
your day early or late, you have to complete your 8 working hours daily excluding break time.
Lunch Break
Daily lunch break timing is 1pm to 2pm. Sometimes you're stuck for important tasks,
customer calls or meetings, in such cases you can adjust your lunch break timings
accordingly.

Salary
You will be getting the maximum last three months salary slip.
The HR Team will come back to you by email and send you a new link for salary Review.
Your salary is reviewed based on your experience, and your overall score for the year, and
the internal benchmark.

A working Month represents 22 working days. The employee salary is divided by 22 to get
the budget for one day.
The gross is reduced by this amount * the number of extra time off ( Unpaid leaves ) you
select in the configurator.
The commission is paid when the quarterly targets are achieved, else you are not entitled to
get any commissions.

Income Tax
It is the company's responsibility to deduct the tax from your salary and deposit it to the
government based on the tax slabs and rates.

Provision of equipment
NB: The loan of the laptop to third parties is not allowed. Installation and use of cracked/
pirated software are not allowed.

Vehicle Policy
Parking policy
As odoo office is located in Infocity, you have to follow parking rules as per the
guideline of info city.
For two-wheelers, there is a special parking zone in an open area which is free of cost.
And for four-wheelers, there are two parking zones.
First is available in the open area which is free of cost.
The second is underground parking. For this, you have to inform the admin by email
[email protected] as its entry is only accessible with a barcode sticker, and for that,
you also need to pay a small amount.

Expenses
Send an email to the office manager to get a book. Once you have finished reading it, bring
it back to the Odoo library for the others. It’s ok to write notes or underline sentences in
books. We like used books too! :)

Later create an expense sheet by selecting all those lines, and send to your manager for the
approval of the reimbursement.
The payment will be done by the account department through bank instruction, don’t hesitate
to contact the account team at [email protected] in case you don’t receive it in two
days.

Holidays
There are nine public holidays which are fixed & dates of which will be declared at the start
of every year.

There is no policy of giving alternative holidays In case public holidays come on weekends.

Attendance: Your attendance will be recorded and noted by connecting your device to Odoo
Wifi. Total working hours are 40 hours per week so 8 hours of working per day excluding
lunch break.
The leaves will be allocated on pro-rata based to the employees who have joined in between
the year (i.e. Joined before 15th day of April , you will be given 6 leave at the time of joining
and 12 leave by July).
For example, you have 12 legal or casual leave in your account, you can avail all 12 legal or
casual leave during the first month itself, but then for the rest of the next 6 months you don’t
have the legal or casual leave.

Legal or casual leaves will be encashed at the end of year (31st December) for the
remaining leaves available in your account.
For example: In 2022 as per policy you get 12 legal or casual leaves in the first six months
(Jan to Jun) and another 12 leaves in the next six months (July to December), so your first
12 leaves can be carried forward in the next six months till December 2022 but not in 2023
next year.
Apply leaves on the server once your manager agrees with you, your leaves are approved
as soon as leaves are approved by the manager.
If it’s unplanned, please inform your manager immediately, you have to update the leave on
the server as soon as you resume the duty.

The timing for the half day will be 10:00am to 3:00pm (morning half) or 3:00pm to 7:00pm
(evening half)
Your manager may ask you for the compensation, you can compensate by coming early to
the office or staying late to the office. You can’t compensate for your missing time in
break/lunchtime
Get the xerox copy of the treatment file, or ask your doctor to write a medical certificate
incase if you don’t have the if you don’t have the medical treatment file, when you rejoin the
office.
Apply for the sick leaves on the server, and attach all the documents related to the medical
treatment.

How to apply for leaves?
Click on the Time Off application, you will see all your leave requests. Click on the NEW
TIME OFF button to apply for the leave, you will see a popup window to apply for the leave.
Select the leave type you want to apply for from the Type Off Type.

Select the dates you want to apply for the leaves, the number of days will be computed
automatically. Click on save, it will automatically send your manager for the approval, the
second approval will be done by the Payroll team.
When you reach 3 months of pregnancy, you can send the official pregnancy certificate to
your manager + HR Manager at [email protected] (no obligation to warn, but it gives
you legal protection).
You can bifurcate the leave as post and pre-delivery. 8 weeks of leave can opt before the
delivery and remaining post-childbirth.

NB: You are directly responsible for your requests. A mistake can not be imputed to HR and
may not be modified if already confirmed by Manager and HR. Please check the dates and
the number of days when encoding!
The first level of approval is always done by your immediate manager, payroll team will do
the second level of approval at the end of the month while computing the salary.
You can consider your leave to be approved when your leave is approved by your manager.
If you want to work from home, please request your manager with a valid reason. When your
manager agrees to allow you to work from home, sign the agreement. Send a copy of the
agreement in an email to the payroll team at [email protected], keep your manager
in cc.

Appraisal
Appraisals are essential to ensure everyone evolves in their skills. This is where we need to
define the action plan to make you become a leader, a better expert, or anything you want
from your career.
Appraisals are organised once in a year. However, feel free to request a one to one
discussion with your manager at any time, if you need it.
Please go through the example below that shows how the appraisal process works in Odoo,
in case this is your first appraisal.
Note
Appraisal requests raised before 12 months from the last appraisal are not considered for
the salary revision, It is specific to evolve your skills or only to assign new challenges.
● Who have completed the probationary period and are going to join as a permanent
employee.

As explained before, appraisal can be raised to revise the salary once a year or if you want
to accept a new challenge during the year.

Go to My Profile
Click on the Request Appraisal button, please select HR manager (Pragya Joshi
<[email protected]>) on the appraisal request, and keep a minimum 30 days time for the
appraisal deadline.

Click the Confirm Appraisal and Send Form button on the appraisal request. It will create
two activities, one for employees and one for managers.

Employees will get the appraisal details by email.

Download the appropriate appraisal form, fill it and send it to your manager, also keep the
HR Manager informed about the same.

Manager Part
Once a manager receives the appraisal form filled by an employee, he will schedule a
meeting with the employee. Use the Meeting smart button on the appraisal request in Odoo.
When you schedule a meeting, please do not forget me (Pragya Joshi <[email protected]>) in
that meeting, I will be there in the appraisal meeting along with the employee and team
leader.

Once the manager completes the meeting, please mark it as done for your scheduled
activity and meetings.
The form has to be updated by the manager and sent back to the HR manager through the
chatter on appraisal requests.

What happens if I forget to request an appraisal after 12
month?
If an employee has not made the manual request for the performance appraisals, we will do
automatic appraisal every 18 months.
The appraisal request will be created automatically, the process for the appraisal remains
the same.
End of Appraisal
Once the result is declared for the appraisal the appraisal will be marked as done in Odoo.
The HR Manager will declare the appraisal either its evolution plan for an employee or
salary revision.

Exit Process and Policy
Once your manager agrees with your resignation, send an official resignation letter by email
to your team leader and HR Manager.
The employees who are on probation period will have 1 month of probation period, once you
have completed 3 months of probation period, or else there is no probation period.

What if I don’t want to serve the notice period?
It is not a best practice to leave within one working day, everyone at Odoo is specialised in
their jobs and we require some time to replace you, we need some working days to transfer
your knowledge or running projects or ongoing tasks.
Still, we can allow you to leave early for some of the specific job positions, when your
manager agrees to relieve you, of course in that case you have to pay early relieving pay to
the company.
It is vise-versa, if you as an employee want to leave early you have to pay the notice period
amount, if your manager wants you to leave early then the company will pay you the notice
period salary.

are not feeling well or need some pain relief medicines, you can contact our HR, they will

If you are not comfortable with some things like tasks we assigned to you, your office, your
team,… speak with your manager or any other person who could help you to fix your issue
(hr, colleagues, …). You can contact our internal prevention advisor, Prgya Joshi (prj) to get
advice on what to do in case of issues.
