extraordinarily beautiful place!

Gandhinagar is the administrative capital of Gujarat located on the western bank of


Sabarmati river. Named after the father of the Nation, Mahatma Gandhi, Gandhinagar is the
second planned city of India, after Chandigarh. The city is divided into thirty organised
sectors, each of them is pedestrian friendly and self-contained. It's more of a people-oriented
city, with all the parks, monuments, gardens and grand civic buildings.

Tourist attractions of Gandhinagar include Blackbuck National Park, Rani Roopmati Mosque,

Office Timings
We are working 5 days a week (Monday to Friday), 40 productive hours per week.

General office timing is morning 10am to evening 7pm, including 1 hour of lunch break
(usually between 1 pm to 2 pm). All days are not the same so you will be allowed to start
your day early or late, you have to complete your 8 working hours daily excluding break time.

Lunch Break
Daily lunch break timing is 1pm to 2pm. Sometimes you're stuck for important tasks,
customer calls or meetings, in such cases you can adjust your lunch break timings
accordingly.

Where should I take lunch at the office?


Cafeteria or go out for lunch, don’t spoil your desk.

Salary

Why does my effective salary differ from the one I have


signed on the salary configurator?
The net amount indicated in the offer or appointment letter may differ a little from your final
pay. As there are many different factors which affect your net pay such as Provident Fund,
Employee State Insurance Corporation (ESIC),Professional Tax,Insurance or unpaid monthly
leave if there is any.

If it differs a lot, raise a query to employee support [email protected] immediately.

When do I get paid?


Salaries are paid at the start of the month between the 1st and 5th of every month.

How will I get my salary slips?


For salary slips please drop email [email protected] between 1st and 10th of
every month, you will receive the soft copy of your salary slip.

You will be getting the maximum last three months salary slip.

When do I have my salary review?


On the basis of appraisal salary review takes place. The Appraisal takes place every year at
the anniversary date of your contract + 1month.

The HR Team will come back to you by email and send you a new link for salary Review.

Your salary is reviewed based on your experience, and your overall score for the year, and
the internal benchmark.

Are overtime hours compensated?


There is no overtime at Odoo. Working hours are flexible but over time cannot be recovered
in the form of financial compensation or leave.

How are extra leaves computed?


Extra holidays (unpaid leaves) are computed on your Monthly cost.

A working Month represents 22 working days. The employee salary is divided by 22 to get
the budget for one day.

The gross is reduced by this amount * the number of extra time off ( Unpaid leaves ) you
select in the configurator.

What is my commission plan?


As soon as you start working at Odoo as in the Sales Team, you will automatically receive a
commission plan, indicating your target and the amount of your commission based on your
team.

How is my commission paid?


Commissions are paid quarterly (January, April, July, October) in the form of separate
instruction other than payroll.

The commission is paid when the quarterly targets are achieved, else you are not entitled to
get any commissions.

Income Tax
It is the company's responsibility to deduct the tax from your salary and deposit it to the
government based on the tax slabs and rates.

How can I declare the Investments to save the tax?

When will the company deduct the tax from salary?


Income tax will be deducted from your salary in the last financial quarter (January, February
and March).

Provision of equipment

Can I use my computer for personal purposes?


Yes, you can, unless it is used with due care. Any sought of damage in company equipment
employees will be solely responsible for it.

NB: The loan of the laptop to third parties is not allowed. Installation and use of cracked/
pirated software are not allowed.

Vehicle Policy

Parking policy

As odoo office is located in Infocity, you have to follow parking rules as per the
guideline of info city.

For two-wheelers, there is a special parking zone in an open area which is free of cost.
And for four-wheelers, there are two parking zones.
First is available in the open area which is free of cost.
The second is underground parking. For this, you have to inform the admin by email
[email protected] as its entry is only accessible with a barcode sticker, and for that,
you also need to pay a small amount.

Expenses

What is considered an expense?


Any purchase made for the company or that can be used for the company, for which you
have a valid receipt.

Can I make an expense for a book related to my job?


Reading good books is a great way to learn and evolve faster. So, we encourage everyone
to do it. Our policy: you can buy any book1, and Odoo pays the bill.

Send an email to the office manager to get a book. Once you have finished reading it, bring
it back to the Odoo library for the others. It’s ok to write notes or underline sentences in
books. We like used books too! :)

Can I get reimbursement for fuel?


Yes, If you use your personal vehicle for office work/purpose with the valid reason then you
can ask for reimbursement of fuel expenses.

How do I apply for reimbursement?


Create a reimbursement line from the Expense application, you should create one line per
bill in case you have multiple bills. Select the correct expense category, description and
amount.

Later create an expense sheet by selecting all those lines, and send to your manager for the
approval of the reimbursement.

Who will approve my reimbursement?


Your immediate manager will review and approve the reimbursement. Manager may reject
the request if they don’t find the valid reason for the purchase.

When can I get the reimbursement?


You can expect to get the reimbursement in two working days once your manager approves
the reimbursement.

The payment will be done by the account department through bank instruction, don’t hesitate
to contact the account team at [email protected] in case you don’t receive it in two
days.

What if my reimbursement gets rejected?


Normally we never reject any reimbursement if there is a valid reason, next time ask your
manager if you are not clear whether it will be reimbursed or not.

What is the number of leaves I get per year?

What are the public holidays?


A public holiday, a national holiday, or a legal holiday is a holiday generally established by
law and is usually a non-working day during the year.

There are nine public holidays which are fixed & dates of which will be declared at the start
of every year.

There is no policy of giving alternative holidays In case public holidays come on weekends.

What are the flexi festival holidays?


India is a country that has many festivals depending on the states, we don’t want to restrict
the festival leaves based on Gujarat state only. You can avail flexi leave on any of the indian
festivals.

There will be 2 flexi festivals you have every year.

Attendance: Your attendance will be recorded and noted by connecting your device to Odoo
Wifi. Total working hours are 40 hours per week so 8 hours of working per day excluding
lunch break.

What is legal leave or casual leave?


These legal or casual leave are the leaves granted for a certain number of paid leaves per
year (January to December) so that you can go for a certain unforeseen situation & vacation.
The salary will not be deducted when you apply for casual leaves.

How many legal leave or casual leaves do I get?


All the employees will get the 24 legal or casual leave per year. The year counts from
January to December. The leaves will be allocated at the beginning of every year in January
as below.

Why can't I see 24 leaves in my account?


The leave will be allocated at the beginning of every year in January. The allocation of
leaves will be based on the number of years of experience you have at Odoo.

5 or more years of experience


All 24 leaves will be allocated in January.

Less than 5 years of experience


12 leaves will be allocated in January and rest 12 will be allocated in the month of July.

The leaves will be allocated on pro-rata based to the employees who have joined in between
the year (i.e. Joined before 15th day of April , you will be given 6 leave at the time of joining
and 12 leave by July).

How many legal or casual leave can I apply for?


There is no restriction on the number of leaves. You can apply for a number of leaves, you
have in your account at any time.

For example, you have 12 legal or casual leave in your account, you can avail all 12 legal or
casual leave during the first month itself, but then for the rest of the next 6 months you don’t
have the legal or casual leave.

Will my leaves carry-forward to the next year?


No, all types of leaves will be left by the end of the year (31st December).

Legal or casual leaves will be encashed at the end of year (31st December) for the
remaining leaves available in your account.

For example: In 2022 as per policy you get 12 legal or casual leaves in the first six months
(Jan to Jun) and another 12 leaves in the next six months (July to December), so your first
12 leaves can be carried forward in the next six months till December 2022 but not in 2023
next year.

Can I encash my leaves?


Yes, legal or casual leaves available in your account will be encashed at the end of the year
(31st December).

How many sick leaves do I get?


The sick leave will be availed depending on the number of years of experience at Odoo. All
the Odoo India employees will get 6 sick leaves.

How can I apply for the leaves?


Don’t give a surprise to your manager3, if your leaves are planned, please inform your
manager before applying to the server.

Apply leaves on the server once your manager agrees with you, your leaves are approved
as soon as leaves are approved by the manager.

What are unpaid leaves?


Unpaid leave is leave without pay. No limits for unpaid leaves, when you have a proper

Your manager may ask you for the compensation, you can compensate by coming early to
the office or staying late to the office. You can’t compensate for your missing time in
break/lunchtime

Is there a Sandwich leave policy?


No, there is no sandwich leave policy. We want to invest our time in productive things rather
than computing complex rules that decrease an employee's on-hand salary.

If I get sick, what should I do?


It would be good if you or anyone else on behalf of you informs the manager so that they will
be in a position to arrange your replacement until you rejoin the office.

Get the xerox copy of the treatment file, or ask your doctor to write a medical certificate
incase if you don’t have the if you don’t have the medical treatment file, when you rejoin the
office.

Apply for the sick leaves on the server, and attach all the documents related to the medical
treatment.

How to apply for leaves?

Click on the Time Off application, you will see all your leave requests. Click on the NEW
TIME OFF button to apply for the leave, you will see a popup window to apply for the leave.

Select the leave type you want to apply for from the Type Off Type.

Select the dates you want to apply for the leaves, the number of days will be computed
automatically. Click on save, it will automatically send your manager for the approval, the
second approval will be done by the Payroll team.

In which order do I have to take my leaves?


Use your Legal first - all your legal leaves then Unpaid leaves, you can avail sick leaves
incase if you are sick, do not forget to submit the authorised medical documents.

Leaves during notice period


As soon as you place resignation, all the leaves in your account will be set to 0, then any
leave applied during the notice period will be leave without pay.

Is there a maternity leave benefit?


Yes, you can avail of maternity leave, when you have a present for 80 working days at Odoo.

When you reach 3 months of pregnancy, you can send the official pregnancy certificate to
your manager + HR Manager at [email protected] (no obligation to warn, but it gives
you legal protection).

26 weeks of maternity leave

You can bifurcate the leave as post and pre-delivery. 8 weeks of leave can opt before the
delivery and remaining post-childbirth.

When should I inform, about my maternity leave?


26 weeks is a long time. It is difficult for your manager to find an alternative for you, it would
be good if you inform your manager one month before you plan to go for your maternity
leave.

What is the leave process?


Once you checked with your team leader to approve your leave, please encode your
request* in Odoo. The request has to be made at least 3 open days before they leave.

NB: You are directly responsible for your requests. A mistake can not be imputed to HR and
may not be modified if already confirmed by Manager and HR. Please check the dates and
the number of days when encoding!

Who confirms my leaves?


There are two levels of approvals of the leaves, please check with payroll manager or
immediate manager to verify your manager on your employee record.

The first level of approval is always done by your immediate manager, payroll team will do
the second level of approval at the end of the month while computing the salary.

You can consider your leave to be approved when your leave is approved by your manager.

Is there a work from home policy?


The Odoo policy is based on team cohesion and peer support. It does not normally avoid
working from home. However, work from home is acceptable exceptionally with the
agreement of the manager.

If you want to work from home, please request your manager with a valid reason. When your
manager agrees to allow you to work from home, sign the agreement. Send a copy of the
agreement in an email to the payroll team at [email protected], keep your manager
in cc.

What if I am out of office due to an Odoo Tour/client visit?


In case of an Odoo Tour/client visit, please inform the payroll department by dropping an
email to your team leader, encode a leave in Odoo with a leave type “Odoo Tour”.

Appraisal
Appraisals are essential to ensure everyone evolves in their skills. This is where we need to
define the action plan to make you become a leader, a better expert, or anything you want
from your career.

Appraisals are organised once in a year. However, feel free to request a one to one
discussion with your manager at any time, if you need it.

Please go through the example below that shows how the appraisal process works in Odoo,
in case this is your first appraisal.

What is appraisal at Odoo?


Appraisal at Odoo is not only involves salary revision, the salary will be revised once a year
through the appraisal process for all the employees, but still you can ask for the appraisal if
you think that your skills are not utilised competently or you want to accept a new
challenge, you can raise an appraisal request manually.

Note
Appraisal requests raised before 12 months from the last appraisal are not considered for
the salary revision, It is specific to evolve your skills or only to assign new challenges.

Who can raise an appraisal request?


Below are the list of cases where employees can ask for appraisal:

● Who have completed the probationary period and are going to join as a permanent
employee.
● A permanent employee at Odoo

What is the time duration to raise an appraisal request?


A permanent employee at Odoo can raise an appraisal request minimum 6 months after the
last appraisal or during the regular appraisal cycle (salary revision) or after 12 months from
the last appraisal.

Raise appraisal request manually


You can request for the appraisal minimum after the 6 months from your previous appraisal.

As explained before, appraisal can be raised to revise the salary once a year or if you want
to accept a new challenge during the year.

Click on the Request Appraisal button, please select HR manager (Pragya Joshi
<[email protected]>) on the appraisal request, and keep a minimum 30 days time for the
appraisal deadline.

The appraisal request has been created and ready to launch.

Click the Confirm Appraisal and Send Form button on the appraisal request. It will create
two activities, one for employees and one for managers.

Employee Part
Employees will get the appraisal details by email.

Download the appropriate appraisal form, fill it and send it to your manager, also keep the
HR Manager informed about the same.

Use chatter on the appraisal request to send the filled form.


Mark as done, once the employee part is done, mark your activity as done on your
appraisal form.

Manager Part
Once a manager receives the appraisal form filled by an employee, he will schedule a
meeting with the employee. Use the Meeting smart button on the appraisal request in Odoo.

When you schedule a meeting, please do not forget me (Pragya Joshi <[email protected]>) in
that meeting, I will be there in the appraisal meeting along with the employee and team
leader.

Once the manager completes the meeting, please mark it as done for your scheduled
activity and meetings.

The form has to be updated by the manager and sent back to the HR manager through the
chatter on appraisal requests.

What happens if I forget to request an appraisal after 12
month?
If an employee has not made the manual request for the performance appraisals, we will do
automatic appraisal every 18 months.

The appraisal request will be created automatically, the process for the appraisal remains
the same.

End of Appraisal
Once the result is declared for the appraisal the appraisal will be marked as done in Odoo.
The HR Manager will declare the appraisal either its evolution plan for an employee or
salary revision.

Exit Process and Policy

I want to resign, what should I do?


Don’t worry if you find an opportunity outside the company, nothing wrong in that. The first
step before you resign is to speak with your team leader or HR manager, explain clearly why
you want to resign.

Once your manager agrees with your resignation, send an official resignation letter by email
to your team leader and HR Manager.

I have sent my resignation letter by email, what is next?


Soon you will get the meeting request from your manager to discuss the terms for the
resignation and after the meeting you should receive a confirmation email about the
acceptance of the resignation with important information listed below:
● notice period
● last working day
● Notice period amount payable by company or by you

What is my notice period?


The notice period for permanent employees will be 2 months from the date of your
resignation once it is accepted by your team leader.

The employees who are on probation period will have 1 month of probation period, once you
have completed 3 months of probation period, or else there is no probation period.

If you are working as an Interns there is no notice period.

What if I don’t want to serve the notice period?
It is not a best practice to leave within one working day, everyone at Odoo is specialised in
their jobs and we require some time to replace you, we need some working days to transfer
your knowledge or running projects or ongoing tasks.

Still, we can allow you to leave early for some of the specific job positions, when your
manager agrees to relieve you, of course in that case you have to pay early relieving pay to
the company.

It is vise-versa, if you as an employee want to leave early you have to pay the notice period
amount, if your manager wants you to leave early then the company will pay you the notice
period salary.

What amount should I have to pay, when I am leaving early?


The salary for the notice period + 18.00% GST. For example your take home salary is
37,500 and notice period is of 2 months then you have to pay (37500×2)×1.18 = 88500.

What if my manager terminates me?


Managers never terminate anyone except the situation is not the worst. The exit process will
remain the same even in case of termination.

Do I get paid in case of termination?


Yes, you will be getting paid for the full notice period.

When should I submit the company resources?


You have to submit the company resources by the end of the last working day. Make sure
you have taken backup of your important data if there is any before you submit it to the
company.

When do I get my relieving documents?


Your relieving document will be issued to you once the full and final settlement is prepared
and confirmed with you, the full and final settlement will be done on the last working day. You
will get your relieving documents on the last working day.

Why have I not received an experience letter?


You should receive all the documents on the last working day, you may not receive the
experience letter only in case you have resigned before the compilation your probation
period.

How many training days do I have ?


Odoo offers 12 training days/year. It gives you the possibility to increase your knowledge
and skills. A training can either be training given by colleagues 4, online videos5 or Cefora
