    SUBJECT: Secure Bids and Awards Committee’s Approval through a Resolution

    Date: February 7, 2023

    The Palawan State University Intramural Meet 2023 is scheduled on February 26- March 3,
    2023. Related to this, the Finance Division would like to remind you of the need to secure the Bids and
    Awards Committee’s approval through a resolution before the purchase or availment of any service with
    fee. Nonobservance of this basic requirement of the Commission on Audit (COA) will result to inability
    to secure reimbursement of the expense/s made from our university.

    Likewise, the Finance Division will not entertain any request for reimbursement without BAC
    approval through a resolution done prior to any project/activity .

    The undersigned requested to have an additional Contract of Service (COS) Employee to


    VP for Finance and Administration ( VPFA) to be assigned at the Chief of Finance Office
    ( CFO), but since the Program of Receipts and Expenditures (PRE) had already been
    approved, VPFA advises me to just request a faculty who will render the remaining four
    hours (4) a week in the office after rendering the required thirty-six hours for instruction. This
    way, no additional expense will be incurred, instead, the service of the faculty will be
    maximized.

    Related in this, may I respectfully request Dr. Rosario del Rosario, a faculty member from
    the College of Business and Accountancy to assist me in the office.
