2 INTRODUCTION

2.1 OVERVIEW

This procedure defines the data backup for computers (desktops, laptops) and configuration
backup for devices (servers, network devices) and applications (codes and configurations) within
the organization which are expected to have their data backed up.

RECOM CONSULTING LIMITED has a responsibility to ensure that information and data, which has
been backed up, can be restored in the event of deletion, loss, corruption, damage or made
unavailable due to unforeseen circumstances.

2.2 OBJECTIVE

The purpose is to identify and establish processes, procedures and good working practices for the
backup and timely recovery of the RECOM CONSULTING LIMITED information and data existing in
both electronic and physical form. It is designed to protect data in the organization to be sure it is
not lost and can be recovered in the event of an equipment failure, intentional destruction of
business data/application code, or disaster.

2.3 PROCEDURE

The following steps will help ensure the RECOM CONSULTING LIMITED’s information and data are
backed up and restored securely in the most efficient manner possible.

2.3.1 Data Backup

• IT Team is responsible for providing system support and data backup tasks and must
ensure that adequate backup and system recovery practices, processes and procedures are
followed,
• All backup and recovery procedures must be documented and regularly reviewed,
• The latest build of project / application data is backed up at the Shared Drive at a regular
interval.
• Access to the shared Drive must be restricted to authorized personnel only,
• The extent (e.g. full or incremental backup) and frequency of backups will reflect the
business requirements and the security requirement of the information involved for the
continued operation of the concerned process.
• Each user will store the data in the respective location in the centralized file server.
• Restoration will be carried out to check integrity of the backed up data once in every six
months.

Data to be backed up include the following information:


• User data stored on the networked file server hard drive.
• Application code and Databases

2.3.2 Data Restore

RECOM CONSULTING LIMITED has well established backup and restore routines in place.
These activities are normally carried out by the IT team

• Users requesting a restore/s are required to provide as much information about the data
(file/s) as necessary – this will include:
o The reason for the restore
o The name of file/s and/or folder/s to be restored
o Original location of file/s and/or folder/s - the IT Team will provide guidance to the
User on how to find this out

o The last date, day or time which the User recalls the data (files) being intact and
accessed/used successfully

• Specific technical information regarding the detail of backup and restore procedures is
held by the IT Team,

3 SCOPE

The scope of this procedure extends to the back-up of all important information and data
regardless of the form it takes - including the recovery of IT systems and supporting infrastructure.
It applies to all equipment and data owned and operated by the organization.

4 ROLES & RESPONSIBILITIES

RECOM CONSULTING LIMITED users comply with this procedure, follow its guidelines, and
understand, the ramifications of all activities related to email communications.

IT team is responsible for ensuring that the users are trained on the procedure.
The team will be responsible for providing all the data backup facility and restore the data in case
of any emergencies / data loss.

5 ENFORCEMENT

All users of RECOM CONSULTING LIMITED who violate this policy may be subject to appropriate
corrective action, including disciplinary measures.
