Lodging Terms & Conditions 5.1.24

The Quilter’s Lodge strives to provide the best possible safe, secure, and enjoyable experience for all our guests.
To do so, The Quilter’s Lodge (hereinafter called “The Lodge”) requests your cooperation
in observing the following as an agreement between our guests and The Lodge.  

Deposit & Payments - Individual Reservations:

All reservations require a non-refundable deposit of $150.00 per room. Deposits are due at the time the
reservation is made. Deposits will be applied towards booking charges. Guests will receive a
receipt for the deposit along with a copy of The Quilter’s Lodge Terms and Conditions, which are
also posted on the website.  The remaining balance of the booking charges are due no later
than 30 days before arrival. There will be a 3-day grace period, if the remaining balance is not paid
27 days prior to arrival, the reservation will be cancelled. If you wish to reinstate the reservation
and the room is still available, you will be charged a $40.00 reinstatement fee along with your
balance due to book your room. For bookings made less than 30 days in advance of the reservation,
all fees are due at the time of the reservation. All guests will be required to have their credit card on file
when the remaining balances are paid, to take care of any incidental fees, damages, or theft.



Deposit & Payments - Group Leader Reservations:

A group leader may make the reservations for a group, reserving the date, number of days
and the total number of rooms along with making the deposit. The group leader will receive
confirmation of the reservation along with a copy of The Quilter’s Lodge Terms and Conditions
which are also posted on the website. A list of the guests, including any Day-Use guests,
with names, emails and phone numbers must be submitted by the group leader 60 days
prior to arrival. Each guest will receive an email from The Lodge a minimum of 45 days prior to
arrival with the balance due along with a copy of The Quilter’s Lodge Terms and Conditions
which are also posted on the website. The balance due must be paid no later than 30 days
before arrival. There will be a 3-day grace period, if the remaining balance is not paid 27 days
prior to arrival, the reservation will be cancelled. If you wish to reinstate the reservation and the
room is still available, you will be charged a $40.00 reinstatement fee along with your balance due to
book your room. For bookings made less than 30 days in advance of the reservation, all fees are due

Day-Use Guests:

 Day-Use guests will receive an email from The Lodge a minimum of 45 days prior to arrival
with the balance due along with a copy of The Quilter’s Lodge Terms and Conditions
which are also posted on the website. The balance due must be paid no later than 30 days before
arrival. There will be a 3-day grace period, if the remaining balance is not paid 27 days prior to
arrival, the reservation will be cancelled. If you wish to reinstate the reservation and space is
still available, you will be charged a $40.00 reinstatement fee along with your balance due to
reserve your space. For bookings made less than 30 days in advance of the reservation, all fees
are due at the time of the reservation. All guests will be required to have their credit card on
file when the remaining balances are paid, to take care of any incidental fees,
damages, or theft. Day-Use guest access times coincide with regular store hours.

 

Visitors:

Individuals who are not registered with The Lodge that enter The Lodge’s guest wing or
classrooms to see a guest of The Lodge are considered to be visitors. Visitors and visiting is
to be limited and must be approved by management prior to visiting.
Visitors are not allowed after store hours.
Visitors are not permitted to use the facilities or participate in classes and retreats.

Guests allowing visitors into The Lodge without management approval
will be asked to leave The Lodge immediately.

 

Method of Payment:

 We accept all major credit cards and cash.

 

Cancellations:

We know life happens and will try to work with you, however we are a small business
and rely on the reservations being filled. We do allow cancellations up to 60 days before the
scheduled reservation. However, the deposit is non-refundable.

If you need to change your date, we will do our best to accommodate your request
to move to another date, equal in days to the original reservation within a six month period.
Again, we will do our best, but we are not under any obligation to accommodate a date change request.

If you need to cancel your reservation and not reschedule, we will attempt to fill your reservation.
If we are able to fill your reservation, you will not be responsible for the final balances due.
We will refund payments less the deposit. If we are unable to fill your reservation
you are responsible for payment for the full amount.

 Early departures will not receive any discount or refund.

Rates:

Rates are subject to change without notice. Once a reservation is made and the
deposit paid the booking rate will not change for that stay.

Taxes:

All bookings will be charged with current sales and lodging taxes.
As of January 1, 2024, the combined rate is 12.92%.
There is no tax charged on the portion of the booking fee allocated to classroom use.

Check-In & Out:

 You may check in any time after 3pm. If you need to check in before 3pm or after 6pm
special arrangements need to be made with the manager. Additional fees will apply for early check-in.

 You may check-out any time before 3pm. If you need to check out later than 3pm
special arrangements need to be made with the manager. Additional fees will apply for late check-out.

Lodging guests will have 24-hour access to The Lodge through the key-pad door off the Main Kitchen.
Canvas wagons are available for the use of our guests to transport belongings to and from the guest’s vehicle.

 

Parking for Retreat Guests:

After unloading your belongings, please move your vehicle to one of the designated Retreat parking spaces.
Please be respectful and leave the remaining parking spaces empty for daily store and quilting customers.
If needed, use the ADA parking in the parking lot on the South side of the building.
Due to limited space, we cannot accommodate motor homes, RVs or trailers.

 
  

  

Classroom Access:

You may rearrange the tables in the classroom to fit the needs of your group.
Please return the tables to their original location at the completion of your stay.

The power outlets for your sewing machines are located in the floor.  
For safety reasons: If you relocate the tables, make sure that the new location of the tables
cover the power outlets so that the power cords do not extend into any walkways. If there are any
power outlets not used make sure the power outlet covers are closed and locked down with a screwdriver.
Screwdriver is located in the top drawer of the buffet table and must be returned to that location.
There are 16 power strips with surge suppression protection in the main classroom and
4 in the Attic Hideaway to be used to power your sewing machines and other devices needing power.

 The Lodge provides three cutting stations with three 6 ½” x 24 1/2” rulers with handles in the
main classroom and one cutting station with one 6 ½” x 24 1/2” ruler with handle in the Attic Hideaway.
Do not remove ruler handles – They are for safety.

 The Lodge provides three ironing boards and three irons in the main classroom and one ironing board
and one iron in the Attic Hideaway. Do not add water to the irons, use the water spray bottles provided
by The Lodge. Unplug irons when you leave The Lodge and when you retire for the evening.

Wool Pressing Mats are an excellent tool for piecing; however, they are very porous and cause damage
to furniture. If you bring a wool mat for pressing your fabric you must

 1-     use your wool mat on the ironing boards

or

2-    use a Quilter’s Lodge approved, Heat Resistant Silicone Protector Mat under your wool
pressing mat. The Heat Resistant Silicone Protector Mat with a minimum thickness
of 1/16" - 1.5mm, and heat resistant between - 40 and 446 degrees.

The Lodge has Heat Resistant Silicone Protector Mats available for purchase at our cost plus $6.00
for handling. We recommend purchasing one not only to protect The Lodge’s furniture but also
to protect your own furniture at home, then bring it back with you for use during your next retreat. 
Any damage to The Lodge’s furniture using a wool pressing mat without a heat resistant silicone
protector mat will be automatically charged to the card on file.

At this time there is no additional charge for a cleaning deposit for most groups.  However,
excess fabric debris and trash on the floor, not returning the furniture to the original locations,
at checkout may be a cause for your group to be charged a cleaning surcharge
and implementation of a cleaning deposit for future retreats.

Be courteous to others using the facilities.

Retreat guests staying at The Lodge receive a 10% discount on regular price merchandise
during their stay. Day use guests are not eligible for the discount. All guests are allowed to run a
tab during their stay. If you are leaving on a Sunday, please settle your tab before 5:30pm on
Saturday. You may visit the store anytime during regular business hours. We understand the
relaxed attire in the guest wing and classrooms during retreats, we do ask that you slip on
a pair of shoes for safety before coming into the store.

 

Kitchen Access:

 There is a full kitchen on the main level and kitchenette in the Attic Hideaway for guests to
use in food preparation. Be courteous to others using the facilities. At checkout, kitchen appliances
areto be put away where they were stored. All dirty dishes are to be in the dishwasher, with it
running. Remove all food, food waste and food containers from the refrigerator and the building.
The trash cans in the south parking lot are for food waste and other garbage. The dumpster in
the south parking lot is for cardboard only recycling. Any garbage put into the recycle bin that
results in fees from the recycling company will be passed along. If excess food, food waste or
other garbage is left in the kitchen areas at checkout a cleaning surcharge will
be automatically charged to the card on file.

Dining in Guest Rooms:

We do not prohibit food in the guest rooms, but we encourage guests to eat meals in one of our several sitting areas.
We ask that you dispose of all food wrappers and containers in the kitchen garbage cans.

 

Accessibility:

There is an elevator that goes from the main level to the lower level. The second level (The Attic Hide Away)
is only accessible by stairs. We have specifically designed two rooms on the main level to be ADA accessible.
The two rooms on the lower level are ADA friendly.
If you require an ADA accessible room, please let us know at the time of booking.

 

Technology:

We take pride in our state-of-the-art facilities and free Wi-Fi. However, we do request that you avoid
downloading large files as this could disrupt other guests’ access.
We are not responsible for service outages or incompatibility with your device.

 

No Smoking Policy:

To protect our guests and the facilities, we do not allow smoking anywhere on the premises.
This policy is strictly enforced, and anyone found violating it will be fined $500.00, automatically
charged to the guest’s card on file. Any costs for repairs or cleaning resulting from violating
this policy will also be automatically charged to the guest’s card on file.

 

Alcohol:

We do not serve alcohol at The Lodge however you may bring your own. We do request that you always
drink legally and responsibly, and we reserve the right to revoke the use of alcohol at our sole discretion.

 

Illegal Substances:

Illegal substances are strictly prohibited from the premises. Violation of this policy will be immediately
reported to the authorities. Violators will be banned from the premises permanently.

 

Children:

Children are welcome to stay at the Lodge. Guest rates are the same, regardless of age.
Our facility and grounds are not child proofed, direct adult supervision is required at all times.

 

Pets:

We do not allow pets to stay in The Lodge. Certified Service Animals are always welcome.

 

Quiet Hours:

To ensure an enjoyable stay for all guests, we observe quiet hours between 10pm and 8am.

 

Open Flame:

No open flame allowed on The Lodge premises. This includes, but is not limited to candles, incense, etc.  
The only exception is the propane gas fireplace on the deck, available for use by the guests.

Laundry Access:

We have two laundry stations in The Lodge. Guests are welcome to use them at any time.
You are free to wash clothing or even pre-shrink fabric.
However, we do not permit the use of the washing machines for dyeing fabric.

Special Services:

We strive to make every guest’s experience special. If you have any special requests or services,
please let us know in advance. We try to accommodate every reasonable request.
Please note that some special services may require extra fees.

 

Tours:

Tours of the Lodge are available anytime during our regular business hours,
if the Lodge is not currently occupied by guests.

 

Damages:

Any damages to Lodge facilities caused by guests will be automatically charged to the card on file.
Please promptly report any accidents and/or damages to management, no matter how minor.
Damages also include any excess cleaning due to guest negligence. At this time there is no additional
charge for a cleaning deposit for most groups. However, excess use of The Lodges supplies,
removal of The Lodge’s supplies at checkout may be a cause for your group to be charged
a cleaning surcharge and implementation of a cleaning deposit for future retreats.

 

Theft:

Guests are requested to lock the door of their rooms and vehicles when leaving the room/vehicle
and when going to bed. The Lodge does not take responsibility for any loss or damage to the
guest’s belongings or any other guest property.

The Lodge property is documented with room photos. Missing furnishings, décor and any other
property belonging to The Lodge will be automatically charged to the guest’s card on file.

 

Conduct:

It is agreed that all guests will conduct themselves in a respectable manner and will not
cause any nuisance or annoyance to other guests and/or employees of The Lodge. Guests are
required to observe, abide by, and be bound by all laws and Government rules and regulations.
The Lodge has the right to request any guest to vacate their room or other areas of The Lodge
without previous notice and without assigning any reason whatsoever.
The guest shall be bound to vacate when requested to do so.

Relation between Management and Guest:

Nothing hereinabove shall continue or be deemed to constitute, or create any tenancy or sub-tenancy,
or any other right to interact in The Lodge’s premises or any part of portion thereof, in favor of any
guest or resident or visitor, and The Lodge shall always be deemed to be in full and
absolute possession of the whole of The Lodge’s premises and property

Liability Disclaimer:

We take safety matters very seriously. However, The Lodge and its staff are not responsible
for any bodily injury, loss/theft, or damages to you or your property. By participating in any
activity or event at the Lodge, you agree to not assert or make any claims against The Lodge.

 

Impossible Performance:

In the event that The Lodge cannot fulfill a reservation for any reason, your full booking expenses
will be returned to you. By accepting these terms, you agree to hold The Lodge harmless for the termination.
