POSITION INFORMATION:

ORGANIZATIONAL CONTEXT:
Under the overall guidance of the Operations Manager and direct supervision of the Human Resources Officer, the HR Assistant provides HR services ensuring high quality, accuracy and consistency of work. The HR Assistant promotes a client-oriented and consistent with rules and regulations approach in the Unit. The HR Assistant works in close collaboration with the operations, programme and projects staff in the CO to exchange information and ensure consistent service delivery.

DUTIES & RESPONSIBILITIES: Summary of Key Functions :


Assisting in HR services Assisting in staff performance management and career development. Provide support in CO staff training and development. Support knowledge building and knowledge sharing. 1. Assisting in HR services focusing on achievement of the following results: Full compliance of HR processes and records with UN/UNFPA rules, regulations, policies and strategies. Preparation of draft job descriptions, vacancy announcements, compiling matrixes, performing functions of Secretary in interview panels. Maintains local consultant roster and assist in their recruitment and maintain proper documentation of their performance evaluation. Maintenance of proper filing system for HR records and documents. Assist HR officer in maintenance of the CO staffing table. Maintain and setting up vendor relating to HR activities. Assist HR officer with the CO recruitment, in preparation of necessary notes and monitoring of probation period and contract duration of project staff/consultants. 2. Assisting in staff performance management and career development focusing on achievement of the following results: Assist CO HR officer with staff members performance management and maintaining related data. Assisting in drafting CO Office Learning plan and individual learning plans.

3. Provides support in CO staff training and development: Assist HR officer in preparing annual training need assessment report for both FT and SC staff members in CO. Keep record of training attended by CO staff members and prepare quarterly report on that. Maintaining staff member travel reports and updates HQ as per the set guidelines. 4. Supports knowledge building and knowledge sharing in the CO focusing on achievement of the following results: Assist CO in better practices of knowledge sharing among staff and takes measures to create more synchronization and dissemination of lessons learnt. Contribution to knowledge networks and communities of practice. 5. Others: Any other tasks the supervisor and/or management assigns from time to time.

QUALIFICATIONS AND EXPERIENCE REQUIRED:


Education Experience: Bachelors degree in business administration, public administration, finance, economics or related field. 1 to 2 years of relevant experience in public or private sector in the relevant field. Experience in the usage of computers and office software packages (MS Word, Excel, etc) and experience in handling of web based management systems. Fluency in Bangla & English is a must. Excellent written and spoken communication skills.
