Preface

Who Should Read this Guide


This guide is written for FRx system administrators who set up and administer the FRx®
Report Designer and/or maintain the currency translation rates database.
The purpose of this guide is to explain the security and administrative functions available
for the Report Designer, and to provide instructions for setting up and administering the
Report Designer application environment. The standard administrative information
includes all the options available from the Report Designer Admin menu.
The company information chapter discusses settings for company and accounting system
information, FRx system information, date and amount format settings, and report
building block specification sets.
The currency rate maintenance chapter gives details for setting up and maintaining
currency exchange rate tables, for users who are licensed to use the currency translation
function.

easy to pull together FRx reports with the other information end-users need to do their

consuming and manual process of producing report books containing many different
types of documents and files. Report Manager helps users present information in a
manner that is logical, organized and relevant. Finally, Report Manager allows users
to create report books with information specialized to the needs of each individual
user, then streamlines the printing and distribution of the complete presentation.
Report Manager allows:
! Multiple output types including FRx® DrillDown ViewerTM files, Microsoft Office
documents and other reports produced from diverse reporting packages to be
packaged together for posting to a network or Web site, or for delivery via email or

! Recipients to view all documents contained in a report book using an enhanced
version of the DrillDown Viewer software
! Headers, footers and consecutive page numbering throughout the entire book
! Report generation locally or via the FRx® Report Server
! On-demand reference guides–Comprehensive User Guides in a bound format are now
available on-demand as a helpful reference for common tasks and troubleshooting.

Improved in FRx 6.7

Microsoft Excel graphing via FRx® instant!OLAP®software


instant!OLAP is now included in every edition, from FRx® Desktop through FRx®
Enterprise. Additional functionality includes the ability for users to utilize the
instant!OLAP software output format and export a report directly into a pivot table for
automatic graphing in Excel.

XBRL
Remaining at the forefront of advances in Extensible Business Reporting Language
(XBRL) technology, the support of the 1.0 taxonomy has been upgraded to the 2.0
standard. FRx Software understands the need for users to transfer complex, highly
confidential corporate financial information to regulators, banks, investors and boards of
directors using a trusted standard of financial communication. Because of this, we will
continue to make advances in the XBRL compatibility of FRx, ensuring functional
compliance as XBRL is further adopted by corporations and consumers of sensitive
financial data.

FRx® Currency Translation


The Currency Translation module has been enhanced to allow for greater flexibility in the
calculation of translation rates. There are now two ways to calculate monthly average
rates. Additionally, annual average rates can be calculated, thereby streamlining the
maintenance necessary for Column Layouts when creating FRx reports. Users can now
translate individual layers that represent transactions while comparing the total amount in
the historical rates table to the appropriate general ledger total. This ensures that all
transactions have been accounted for when converting data at the appropriate historic
rates. Finally, we have addressed several software modification requests to improve the
Currency Translation product module as a whole.

FRx® WebPort
FRx® WebView has been consolidated into FRx WebPort to form a single product module
that is available to all FRx users regardless of product edition or general ledger. Users can
quickly publish Microsoft Word or Microsoft Excel documents with their FRx reports for
easy access by others on a secure Intranet site.

Stability and Performance


Improvements to FRx 6.7 allow for faster report generation and quicker export of reports
to the FRx DrillDown Viewer and printing options. Additionally, FRx has been upgraded
to support Microsoft Access 2002 and changes have been made to the database access
technology. These enhancements ensure a more stable environment. In addition,
improvements to the way the general ledger index (G32 file) is built will reduce the
likelihood of database corruption.

Understanding the Admin Menu


The Report Designer Admin menu includes the functions described in the table below.
When the Administrator password has been assigned from the Organization Information
dialog box, some Admin menu options become restricted to Administrator access, as
indicated by the notation “Requires Administrator login.”

Menu Function Description

Organization From the Organization Information dialog box, you


can define your organization in FRx, enable/disable
FRx security, enter the FRx Software registration and
authorization numbers, change the Administrator
password, and change where you store your FRx
system data files. Use this menu option when you
register FRx. (Requires Administrator login.)

Users From the User Information dialog box,


administrators can add, change, and delete users, reset
user passwords, and set the Report Designer user
editing options for users. This option is unavailable
unless FRx security is enabled. (Requires
Administrator login.)

Groups From the Group Information dialog box,


administrators can add, change, and delete FRx
security groups and group members. This option is
unavailable unless FRx security is enabled. (Requires

Security This option is unavailable unless FRx security is


enabled. (Requires Administrator login.) \

and/or group access to specific companies.

set the GL index build options, and identify the FRx
replacement character for spaces in the account
number. If currency translation is enabled, you can set
the Default DAX Currency Table location. System
preferences are shared by all users. (Requires
Administrator login.)

View OFSI Settings Use this command to view the current OFSI settings
showing features applicable to your registered GL
system(s). (Requires Administrator login.)
Note: The FRx Open Financial Systems Interface
(OFSI) provides a common interface to financial
system data regardless of the underlying financial
system.

Build Local GL Index Use this command to rebuild the local general ledger
index, which contains basic GL information, such as
chart of accounts and reporting period calendars.
(Requires Administrator login.)
Warning: Do not rebuild the index when other users
are running reports.

Change Password From the Change Password dialog box, users can
change their passwords. Users must change
passwords that have been reset by the administrator.

Edit Options From the Edit Options dialog box, users can control
the editing options available in Report Designer at the
workstation/user level.
See “Using the Edit Options Dialog Box” on page 27.

Processing Options From the Processing Options dialog box, all users
can select from the following options to control
processing at their local workstation:
! Suppress Network Name to turn off the user’s
network ID from appearing by default in the Login
ID box of the User Login window at startup.
! Exit FRx Without Warning to turn off the
confirmation message when you close Report
Designer.
! Build GL Index via FRx Report Server to
continue working while the GL index builds on
the FRx® Report Server
! Show Elapsed Time at End of Report to
generate a message at the end of report generation
that shows how long it took for the report to
generate.

Locked This option has a check mark when the displayed


building block is locked against changes.

Sign Out Admin Use this command to sign out as the FRx
Administrator when administrative tasks have been
completed.

Open FRx Rate If your GL and FRx license allow currency


Maintenance translation, use the FRx Rate Maintenance dialog
box to enter exchange rates for conversion currencies.
(Requires Administrator login.)

Defining the Organization Information


Use the Organization Information dialog box to define your company’s accounting
systems and register those systems with FRx or your accounting system vendor. You can
also assign the FRx Administrator’s password, enable the optional FRx Security
functionality, and change the storage location of your FRx system data files from the
Organization Information dialog box.

To open the Organization Information dialog box
1 On the Report Designer Admin menu, click Organization

2 Choose from the following options:


! If FRx Security is active, the Admin Login dialog box appears. Enter the password
or click View Only and click OK.

Note: Use View Only if you do not have access to FRx as the system administrator.
With this command, you can only view the dialog box.

! If FRx Security is off, the Organization Information dialog box appears.

Understanding the Organization Information Dialog Box


Use the Organization Information dialog box to register your accounting system. If you
use multiple accounting systems, a valid registration number must be entered for each of
them in the grid portion of the dialog box. After the initial FRx trial period expires, you
cannot run reports without the proper registration and authorization numbers. For more
information on registering FRx, see the FRx® Report Designer Getting Started Guide for
your accounting package.
From the Organization Information dialog box you can also perform the following
functions:
! Assign or change the Administrator Password
! Activate or deactivate optional FRx Security functionality
! Change the location of your FRx SysData directory where you store your data files for
the FRx system

Registering an Accounting System


Your accounting package vendor or FRx technical support will provide you with the
information you need to enter when you register your FRx product. The text is case
sensitive, so be sure to complete each item exactly as instructed by the technical support
representative.
To register an accounting system
1 In the Organization Information dialog box, type the requested information in the
boxes described below.
2 When you have finished filling in the registration information, click OK to accept your
changes and close the Organization Information dialog box.

Organization name
When you officially register your accounting system, the technical support representative
will instruct you to enter your official organization name.

Serial number
Obtain this number by calling your accounting package vendor or FRx technical support.

Mfg code
The Manufacturing code comes with the software. You cannot change it.

Maximum users
The default maximum number of users is 4. The actual maximum number of users is
determined by your license agreement. You can purchase the right to add more concurrent
users by calling your accounting package vendor or FRx technical support.

Authorization
Obtain this number by calling your accounting package vendor or FRx technical support.

Accounting Systems
You can use the accounting systems box to see the available systems and select the system
that you use. FRx uses the default accounting system (general ledger) that comes
packaged on your installation CD-ROM.

Registration Number
Obtain the registration number by calling your accounting package vendor or FRx
technical support.

Deleting an Accounting System


You can delete an accounting system from the Organization Information dialog box. To
reactivate a deleted accounting system, you must reenter the accounting system and the
registration number in the grid area of the Organization Information dialog box.
To delete an accounting system
1 Click the accounting system row number.
This highlights the entire row.
2 Press the Delete key.
3 From the Delete selected row(s) message box, click OK.

Assigning the Administrator Password


You can assign and change the Administrator’s password using the Admin Password...
button on the Organization Information dialog box. If you activate the optional FRx
Security functionality, you must assign an Administrator password.

Although it is not required, assigning the Administrator password is strongly

recommended, because it protects Organization Information, System Preferences, and
other vulnerable areas in FRx from unintentional changes or user errors. It is easy to
implement, and does not require setting up FRx user and group records in FRx security.

Assigning an Administrator password without activating FRx Security restricts access to


the following Administrator functions on the Admin menu.
! Organization
! System Preferences
! View OFSI Settings
! Build Local GL Index
! Open FRx Rate Maintenance
Logging in as the Administrator is required to access these restricted menu functions, once
the Administrator password has been assigned. Other restricted Admin functions, such as
Users, Groups, Security, and Change Password, remain unavailable unless FRx
Security is active.

To assign and change the Administrator’s password


1 From the Organization Information dialog box, click Admin Password... to display
the Change Administrator Password dialog box.

2 In the Old Password box, type the existing Administrator password.

Note: The default password is blank (none assigned). Leave this box blank if you are
setting the password for the first time.

3 In the New Password box, type the new Administrator password.


The password is not case-sensitive.
4 In the Verify box, retype the new Administrator password and click OK.
If you type a different value in the New Password box, a warning message appears
and prompts you to retype the value.

Enabling FRx Security


Click the FRx Security... button to display the FRx Security Information dialog box.
Before using this function, review “Using FRx Security” on page 11. For complete
information about setting up FRx Security, see “Setting Up FRx Security” on page 12.

Changing Where You Store System Data Files


You can specify where you store the FRx system data files on your computer or the
network from the Change SYSDATA Directory dialog box. Selecting this option moves
all necessary files from the current SysData directory to the new SysData directory
location, overwriting existing *.mdb files in the new directory. If FRx security is active or
the Administrator password has been assigned, you must be logged in as the Administrator
to change the SysData directory.
After you move the SysData directory to another location, the shared FRx databases must
reside in that location, and additional path and configuration information may be required
in Company Information, Specification Sets, and report components.

Before you make this change, all other users must exit FRx.

To change the location where you store FRx system files


1 From the Organization Information dialog box, click SYSDATA.
The Change SYSDATA Directory dialog box appears. The Current Directory box
lists the current path where you store your FRx system data files.

2 In the New directory box, type or select the full path name.
The UNC path (\\Servername\Sharename\SysData) is preferred.
3 Choose from the following options:
! To apply the SysData directory change to all users, click Automatically update all
users.
! To apply the SysData directory change to yourself only, click Update current user
only.
The preferred option is to update the current user only.

Caution: Automatically update all users should only be used is select situations and
could adversely affect your FRx installation. This option re-routes users
from the original SysData path and requires that both the old SysData
location and the new SysData location remain in existence.

4 Click OK.
5 In the After changing the SysData directory path, FRx will exit message box, click
OK.
This closes FRx. When you restart FRx, the SysData directory change takes effect.

Using FRx Security


For most general ledger interfaces, FRx takes advantage of the inherent database security,
and will prompt the user for a login and password when connecting to the general ledger.
There are two additional security options that can be implemented to provide additional
security features within FRx:
! Assign an Administrator password to secure access to FRx Administrator functions on
the Admin menu. See “Assigning the Administrator Password” on page 8 for more
information.
! Enable FRx security to let you set up FRx users and groups and secure access to FRx
companies, report components, reporting trees, and generated reports.

Although it is not required, assigning the Administrator password is strongly

recommended, because it protects Organization Information, System Preferences, and
other vulnerable areas in FRx from unintentional changes or user errors. It is easy to
implement, and does not require setting up FRx user and group records in FRx security.

Beyond the general ledger database security that is a fundamental feature of FRx, you can
set up groups and users within FRx. FRx security is specific to FRx reporting, and allows
you to secure access to FRx companies and report design components, and also allows you
to secure units of reporting trees in DrillDown Viewer report files. FRx groups and users
are maintained within FRx.
Once FRx security is enabled, users will be prompted for a user login and password when
they open FRx. If this login is synchronized with the general ledger database login, then
the user will only need to enter a single login. If the FRx user credentials are different than
the database credentials, then the user will be presented with two separate login prompts.
When FRx security is activated and users and groups have been set up, the lists of users
and groups become available from the Security dialog boxes for each of the report
building blocks. Administrators can grant or deny access to any building block in FRx.
Within the reporting trees, the administrator can secure access to the reporting unit level
within any tree.
FRx security adds a layer of administrative complexity that is often not necessary or
desirable. If your FRx installation is simple with only a few FRx users, you may prefer to
use FRx without enabling FRx security. In a more complex installation with many FRx
users, you might find it beneficial to enable FRx security and set up FRx users and groups
to systematically control access to FRx design components and generated reports.

Logging in As the Administrator


If you are the Administrator or a member of the Administrator group, you can use the
Administrator Login dialog box to log in to the Report Designer as an administrator.

When you are logged in as the administrator, you have access to all Administrator
functions until you either exit FRx or choose Sign Out Admin from the Admin menu.

To log in as the Administrator


1 On the Report Designer Admin menu, click Admin Login to display the
Administrator Login dialog box.
2 Type the password in the Password box and click OK.
A message appears identifying you as the Administrator.
3 Click OK.
You are now logged into Report Designer as the Administrator and have access to all
administrative functions.

Using the Sign Out Admin Command


You can sign out as the Administrator by using the Sign Out Admin command. For
security reasons, you should sign out each time you leave your computer.
To sign out as the Administrator
On the Report Designer Admin menu, click Sign Out Admin.

Setting Up FRx Security


FRx security lets you activate an additional level of protection within Report Designer.
FRx security works in addition to any other security within your general ledger
configuration, such as network login security and database login security.
Using FRx security requires that you have an Administrator password. If you have not
established one when you select FRx Security..., FRx prompts you with the Change
Administrator Password dialog box.
When FRx security is enabled, you define users and groups and assign security based on
these to protect companies, catalogs, and report building blocks from unauthorized access.
Users will only see those companies, building blocks, and the resulting reports to which
they are granted access.
There are several steps required to set up FRx security:
! Enable FRx security
! Assign the Administrator’s password
! Add the FRx users to the FRx database
! Assign users to groups (optional)

To set up FRx security
1 On the Report Designer Admin menu, click Organization.
2 From the Organization Information dialog box, click FRx Security....

3 Select the Use FRx Security box to enable FRx security.


If you leave this box blank, FRx security is not used. With security enabled, all
commands on the Admin menu are unavailable to users who are not Administrator or
part of the Administrators group.
4 Choose from the following security options:

Adding Users to FRx Security


When you use FRx security, you must add the users to the FRx user database. You do this
from the User Information dialog box. The Administrator can set up individual user IDs
and reset passwords when using active FRx security. The User Information dialog box is
available only if you select FRx Security from the Security Information dialog box. For
more information, see “Setting Up FRx Security” on page 12.
To add users to FRx security
1 On the Report Designer Admin menu, click Users....
Note: FRx security must be active to select Users.

2 Choose from the following options:


! If you are not logged in as the Administrator, the Administrator Login dialog box
appears; type the password and click OK.
! If you are logged in as the Administrator or are part of the Administrators group,
the User Information dialog box appears.

Note: You can only open the User Information dialog box if you are logged in as the
FRx Administrator or are a member of the Administrators group.

3 In the User Information dialog box, click New.


This clears the User ID and User name boxes.

Note: By default, the user’s password is blank. If the password is left blank, the first
time new users log in to FRx, they will be prompted to change their passwords.

4 Choose from the following security options:


! If you chose the Require User Login security option, in the User ID box, type a
user’s ID.
! If you chose the Use Network ID security option, in the User ID box, type the
user’s network ID.
5 In the User name box, type the user’s name. Do not use any special characters. Only
letters and numerals are valid.
6 In the E-mail address box, type the user’s e-mail address, if applicable.
This e-mail address can be used with tree security and/or for e-mailing reports from
the E-Mail Options tab in the Catalog of Reports. Refer to Chapter 7 in your FRx®
Report Designer 6.7 User’s Guide for more information on Catalog of Reports
options.
7 All of the following options are selected by default. Clear the options that you do not
want available to this user.
! Zoom buttons on worksheets to add an arrow to the far right of each box with a
zoom key. This helps users know that they have a selection box associated with the
box. If you clear this box, the users must double-click or press F3 to see the
selection box. Users can change this setting by selecting Edit options... from the
Admin menu after they login.
! Move selection after Enter to move the cursor to the right each time the user
presses Enter. If you clear this box, the cursor remains in the same spot after the
user presses Enter. Users can change this setting by selecting Edit Options... from
the Admin menu after they login.
! Confirm move of parent tree unit to prompt users for confirmation before
moving parent reporting units within a reporting tree. If you clear this command,
FRx does not confirm before moving. Users can change this setting by selecting
Edit options... from the Admin menu after they login.
! Add row codes automatically to add row codes to inserted rows automatically. If
the rows on both sides of the newly inserted row are numeric, the Report Designer
inserts a row code that is halfway between the two values of the corresponding
rows. If you clear this box, the row code remains blank until the user assigns a
code. Users can change this setting by selecting Edit options... from the Admin
menu after they login.
! Report viewer only to restrict users to view-only status. If this box is checked,
users cannot create reports or generate reports. If you clear this box, the user can
create and generate reports for their designated reporting units as defined for their
assigned user group.
! Allow web publishing to enable users to send XML or Enhanced XML format
reports to the FRx WebPort from the Catalog of Reports or the Report Launcher. If

you clear this box, the user cannot send report output to the FRx WebPort. This
option is disabled (dimmed) for FRx Desktop edition.
8 Click Save.
9 Click Close to finish, or repeat steps 3 through 8 to add other users.

Using Express User Creation


You can use the Express User Creation function to quickly add new users to the FRx
database, with the standard default options and privileges selected. The Express User
Creation dialog box does not display the list of existing FRx users. Express User Creation
allows FRx Administrators to set user options that restrict new users to view-only status or
allow Web publishing.
To add users with Express User Creation
1 In the User Information dialog box, click Express User Creation to display the
Express User Creation dialog box.

2 In the User ID box, type the user’s FRx User ID.


3 In the User name box, type the user’s name.
4 In the E-mail address box, type the user’s e-mail address, if applicable.
5 Select either of the following options, as appropriate:
! Report viewer only to restrict users to view-only status. If this box is checked,
users cannot create reports, generate reports or publish reports to the FRx WebPort.
If you clear this box, the user can create reports and generate reports for their
designated reporting units as defined for their assigned user group.
! Allow web publishing to enable users to send XML or Enhanced XML format
reports to the FRx WebPort from the Catalog of Reports or the Report Launcher. If
you clear this box, the user cannot send report output to the FRx WebPort. This
option is disabled (dimmed) for FRx Desktop edition.
6 Click Create User.
7 Click Cancel to finish, or repeat steps 2 through 6 to add another user.

Resetting User Passwords


If a user forgets the password, the Administrator can reset it. When users log in after the
password has been reset, they must leave the Password box blank (the default), and

Report Designer prompts them to change it. To change an existing (non-blank) password,
the user selects Change password from the Admin menu.
This feature is only available if the administrator selects the Require User Login option
on the FRx Security Information dialog box. If the administrator selects the Use
Network ID option, the user password cannot be reset from the FRx User Information
dialog box.
To reset a user’s password
1 From the User Information dialog box, select the User ID - User Name from the list
of FRx users to display the User ID record.

2 Click Reset password.


3 Click Save.
4 Click Close to close the User Information dialog box.
The user you selected can now log in to FRx by leaving the Password box blank. FRx
prompts the user to change the password.
To delete a user
1 From the User Information dialog box, select the User ID - User Name from the list
of FRx users to display the User ID record.
2 Click Delete.
3 The Delete Current User Record message box appears; click Yes.

Note: You cannot delete the Administrator user ID.

Assigning Users to Groups


From the Group Information dialog box, the Administrator creates user groups and then
can assign each group permission to access specific companies, catalogs, and report
building blocks. Groups are not required, but assigning users to groups makes it easier for
Administrators to manage access for multiple users who have the same permissions. The
Group Information dialog box is available only if you select FRx security from the

To open the Group Information dialog box
1 On the Report Designer Admin menu, click Groups....
Note: FRx security must be active to select Groups.

2 Choose from the following options:


! If you are not logged in as the Administrator, the Administrator Login dialog box
appears; type the password and click OK.
! If are logged in as the Administrator or are part of the Administrators group, the
Group Information dialog box appears.

Note: You can only open the Group Information dialog box if you are logged in as
the FRx Administrator or are a member of the Administrators group.

To create or change a group


1 From the Group Information dialog box, click New.
This clears the Group code and Group name boxes.
2 In the Group code box, type a code for the group.
3 In the Group name box, type a group name. Do not use special characters in group
names.
4 Choose one of the following options:
! To automatically include new users in this group, click the Automatically include
new users option.
! To automatically exclude new users from this group, click the Automatically
exclude new users option.
5 Choose from the following options:
! To add a user to the group, select the user and click Add.
! To remove a user from the group, select the user and click Remove.
! To move all users to the group, click Add All.
! To remove all users from the group, click Remove All.

6 Click Save.
7 Click Close to finish, or repeat steps 1 through 6 to add another group.
To delete a group
1 From the Group Information dialog box, select the Group Code - Group Name entry
from the list of user groups to display the Group Information record.
2 Click Delete.
3 The Delete Current Group Record message box appears; click Yes.
4 Click Save.
5 Click Close.

Note: You cannot delete the Administrators group.

Using the FRx Security Options


The Administrator can set FRx security by company, catalog ID, row format, column
layout, or by unit of the reporting tree. These security options are available only if you
select FRx Security from the Security Information dialog box. For more information, see
“Setting Up FRx Security” on page 12.

Securing Companies
You can specify a different security setup for each company.
To set company security for users and groups
1 On the Report Designer Admin menu, point to Security and then click Secure
Companies.

the top portion of the screen.

3 Select the company that you want to secure.


4 Choose one of the following options:
! To automatically grant new users and groups access to this company, click the
Automatically grant access to new users/groups option.
! To automatically deny new users and groups access to this company, click the
Automatically deny access to new users/groups option.
5 Choose from the following options:
! To add a user or group to Access Granted, select the user or group and click Add.
! To remove a user or group from Access Granted, select the user or group and
click Remove.
! To move all users and groups to Access Granted, click Add All.
! To remove all users and groups from Access Granted, click Remove All.
6 To change the user or group settings, select the user or group name that you wish to
change and click Properties.
This opens the User Information or Group Information dialog box.
7 Make your changes to the User Information or Group Information dialog box.
8 Click OK to accept your changes and close the Company Security dialog box.

Securing Catalogs, Rows, Columns, and Trees


You can set security for catalog IDs, rows, columns, and trees for both users and groups.
Using security lets you grant or deny access to these objects. The procedure for securing
building blocks works the same way for all of the building blocks. Reporting trees have an
additional level of security available from the Reporting Tree window to secure trees at
the reporting unit level. For more information, see “Securing Reporting Tree Units” in
Chapter 6 of your FRx® Report Designer 6.7 User’s Guide.
To set catalog, row, column, and tree security
1 On the Report Designer Admin menu, click Security and select one of the following:
! Secure Catalogs to grant or deny catalog ID access to users or groups of users
! Secure Rows to grant or deny row access to users or groups of users
! Secure Columns to grant or deny column access to users or groups of users
! Secure Trees to grant or deny tree access to users or groups of users

Note: FRx security must be active to select Security.

2 Choose from the following options:


! If you are not logged in as the Administrator, the Administrator Login dialog box
appears; type the password and click OK.
! If you are logged in as the Administrator or are part of the Administrators group,
the (Component) Security dialog box appears. (For this example, Catalog
Security was selected.)

The catalog IDs, rows, columns, or trees created for the default company appear in the
top portion of the screen.

Note: You must be logged in as the FRx Administrator or are a member of the
Administrators group to open any of the (Component) Security dialog boxes.

3 Select the building block that you want to secure.

! To add a user or group to Access Granted, select the user or group and click Add.
! To remove a user or group from Access Granted, select the user or group and
click Remove.
! To move all users and groups to Access Granted, click Add All.
! To remove all users and groups from Access Granted, click Remove All.
6 To change the user or group settings, select the user or group name that you wish to
change and click Properties.
This opens the User Information or Group Information dialog box.
7 Make your changes to the User Information or Group Information dialog box.
8 Click OK to accept your changes and close the dialog box.

Locking the Report Designer Components


Locking a building block against changes adds a level of security to the report component
without securing the entire system. This can protect building block information that is
critical to your month end reporting process.
Any FRx user can lock any building block. A locked component is always accessible to
users in a read-only capacity. Users can open, change, and save the locked component
with a new name.
The locking function can be used from any report building block by clicking the Lock/
Unlock icon in the toolbar, or select Locked from the Admin menu.
This is the Lock/Unlock icon.

To lock a component
1 Open the building block that you want to lock.
2 Click the Lock/Unlock icon or select Locked from the Admin menu.
The Password dialog box appears.

3 Enter the password that you want to apply to the protected building block, verify it,
and click OK.
4 Save the component.
The building block is now locked and cannot be changed until the correct password is
entered.
A report component can still be opened and saved with a new name without altering the
original locked information. When you encounter a locked component, a dialog box
identifies the component as locked and prompts for its password. If you do not know the
password, you can click the Read Only button to gain access. You can then make changes
and save the building block with a different name.

Setting Up System Preferences


The functions in the System Preferences dialog box are reserved for FRx Administrator
use only. If you are logged in as the Administrator or belong to the Administrators group,
you can open this dialog box.
To open the System Preferences dialog box
On the Report Designer Admin menu, click System Preferences... to display the
System Preferences dialog box.

Automatic GL Index Rebuild


FRx creates local index files to some of your general ledger data to make accessing the
data faster in FRx. With the Automatic GL Index Rebuild option checked, FRx rebuilds
these indexes once daily before any of the following activities:
! Generating a report
! Building a row format from the chart of accounts
! Building a reporting tree from the chart of accounts

Turn Off Component Passwords


This option turns off locked protection and makes the Lock/Unlock icon unavailable.
When you select this option, all building blocks will be unlocked, and users cannot lock
building blocks. For more information, see “Locking the Report Designer Components”
on page 22.

Rebuild Local GL Index Option


You can select from the following GL index rebuild options:
! FRx Administrator Only to allow only the FRx Administrator or Administrators
group to rebuild the local GL index
! All Users to allow any FRx user to rebuild the local GL index
The general ledger index is a file with a .g32 file extension. GL index files are created and
maintained by FRx. There is one .g32 file maintained per FRx company and it is located in

the SysData directory. This file contains basic information about a company, such as the
account mask, account segmentation, and calendar setup. It also may contain selected
account information and unposted transactions depending on the accounting system and
company setup.
If you suspect a problem with the .g32 (due to an error message, for instance), use this
command to force FRx to rebuild the index. Another way to force the rebuild is to delete
the .g32 file and restart Report Designer. FRx will detect the missing .g32 and rebuild it
with the current company configuration.
Rebuilding the local GL index takes time and you may want to limit this function based on
the size of your chart of accounts and the number of FRx users.
For more information on rebuilding the local GL index, see “Building the Local General
Ledger Index” on page 26.

Login Time Out


You can change the amount of time allowed for login by changing the number of seconds
in this box. The default setting is 20 seconds. Altering this setting may cause time-out
errors to occur. Contact your technical support representative before changing this setting.

Query Time Out


You can change the amount of time allowed for queries by changing the number of
seconds in this box. The default setting is 0 seconds, which means no limit is set. Altering
this setting may cause time-out errors to occur. Contact your technical support
representative before changing this setting.

Use Space Character


If your accounting system includes spaces in the account number, you can select the
character that you want FRx to use to indicate that space. The FRx default character is an
underscore (_).

Default DAX Currency Table Location


If FRx® Currency Translation is available and licensed for your general ledger, type or
select the path to the DAX currency rates table where you will store all of your conversion
rate information (FRxRates.DAX).

Viewing the OFSI Settings


FRx uses an OLE server to provide standard interfaces from FRx to financial system data.
The FRx Open Financial Systems Interface (OFSI) provides a common interface to
financial system data regardless of the underlying financial system.

If you are logged in as the Administrator or belong to the Administrators group, you can
select View OFSI Settings from the Admin menu to view the current OFSI settings for
your FRx product.

Building the Local General Ledger Index


The Build Local GL Index command rebuilds the local FRx general ledger index. The use
of this option depends on the selections made in the System Preferences dialog box. For
more information, see “Setting Up System Preferences” on page 24.
To build the local GL index
1 On the Report Designer Admin menu, click Build Local GL Index.
2 Choose from the following options:
! If the GL index rebuild option is set to FRx Administrator Only, only the FRx
Administrator or Administrators group can select this option.
! If the GL index rebuild option is set to All Users, anyone can rebuild the local GL
index.
3 A message box appears: Building the GL index will take time. Do you want to build
the GL index now?; click Yes.
The GL index builds. This takes some time depending on the size and structure of
your database.

Changing Passwords
If you use FRx security, you can use the Change Password command to change user
passwords. This command is available only if the FRx Administrator selects Require
User Login in the Security Information dialog box. For more information, see “Setting
Up FRx Security” on page 12.

To change your FRx password


1 On the Report Designer Admin menu, click Change Password.

2 In the Old Password box, type your existing password.


3 In the New Password box, type a new password.
Passwords are not case-sensitive.
4 In the Verify box, retype the new password and click OK.
If you do not type the same value as you typed in the New Password box, FRx
displays a warning message and prompts you to type it again.

Using the Edit Options Dialog Box


From the Edit Options dialog box, all users can individually change their editing options
within FRx.
To change the FRx editing options
1 On the Report Designer Admin menu, click Edit Options.

2 Click the option boxes that you want to change and click OK to accept your changes.

Zoom Buttons on Worksheets


If you select this box, you see an arrow in the far right of each box with a zoom key. This
helps by identifying that a selection list is associated with the box. If you do not select this
box, you must double-click the box or press F3 to see the selections.

Move Selection after Enter


If you select this box, the cursor moves to the right each time you press the Enter key. If
you do not select this box, the cursor remains in the same spot after you press Enter.

Add Row Codes Automatically


If you select this box, FRx automatically assigns row codes to inserted rows (this occurs if
the rows on either side of the newly inserted row are numeric). FRx inserts a value that is
halfway between the two values of the corresponding rows.

If you do not select this box, when you insert rows, the row code remains blank until you
manually assign the code.

Move of Parent Tree Unit


If you select this box, FRx asks for confirmation before moving the parent level units

Changing the Processing Options


From the Processing Options dialog box you can select to build your general ledger
index on the Report Server and set up an optional work drive. The remaining options in
this dialog box are reserved for technical support use only. All processing options affect
processing on the client workstation only. Making changes in this screen will not affect
other client workstation setups.

Understanding the Processing Options

Suppress Network Name


When this option is deselected, the user Network ID shows automatically as the FRx
Login ID. If this is not the correct login ID, then select this option.

Exit FRx Without Warning


Select this option if you do not want to see the warning message “Do you really want to
exit FRx?” when you close Report Designer.

Build GL Index via FRx Report Server


Select this option to build the GL index on the Report Server instead of the your
workstation. This option is only available if the Report Server component is licensed and
installed.See “Building the GL Index on the FRx Report Server” on page 29 for
information about using this option.

Show Elapsed Time at End of Report


Select this option to display a message stating the elapsed time after each report completes
processing.

Number of accts to process at a time for SQL


Do not change this number unless customer support advises you to do so.

Default Accounting System


Select the accounting system to use as the default in Report Designer. The default is not
normally changed except when you set up a new FRx company in the Company
Information dialog box.

Optional Work Drive


The optional work drive is a file area where reports are temporarily stored during report
generation. Completed reports are then saved in the location specified in the Output File
Name box in the Catalog of Reports window. See “Setting Up an Optional Work Drive”
on page 29 for more information about using this option.

Building the GL Index on the FRx Report Server


This feature is only available to users who have purchased and installed the optional
Report Server component. You can build the GL index using the FRx Report Server by
selecting the Build GL Index via FRx Report Server processing option. When you select
this option, you can continue working on your workstation while the GL index builds on
the FRx Report Server. This can also speed up the GL index build process.
To build your GL index using the FRx Report Server
1 On the Report Designer Admin menu, click Processing Options.

2 Click the Build GL Index via FRx Report Server option.


3 Click OK.
The next time that the GL index builds, it does so on the Report Server.

Setting Up an Optional Work Drive


Setting up an optional work drive lets you specify a location for building the .frd report
files. The files will be stored here temporarily during report generation, and then
automatically exported to the default output location or the file location specified in the
Output File Name box of the Catalog of Reports window.

1 On the Report Designer Admin menu, click Processing Options.

If you contact customer support to help resolve a problem with FRx, they may ask you to
open the Processing Options dialog box and change the debug settings. Do not change
these settings unless you are instructed to do so by a support representative. Enabling any
of the debug options will lower performance on the client workstation.

Entering and Editing Company Information


To use FRx, you must provide information that is specific to your individual GL company
or companies.

FRx Company Information

FRx company code


When you create a new (or cloned) company, enter a unique code in this box to describe
this company. This code is an abbreviation of the company name and is frequently the
same code (or company key) in the general ledger. You can enter a maximum of 16
characters.
Do not use any of the following special characters in the company code:
/[];=\:,“!’()*&^#@$%?+{}|<>.~

Company name
Enter the company name as you want it to appear on reports. You can enter a maximum of
50 characters.

Accounting system
Select the accounting system from the list that is associated with this company.

FRx System Information

Specification set
A specification set is a database that stores row formats, column layouts, reporting trees,
and catalog IDs. Each FRx company can have its own specification set or several FRx
companies can share the same specification set. Accept the default specification set or
select one from the listed sets. For more information on creating specification sets, see
“Creating Specification Sets” on page 42.

Import and export path


Accept the default IO_Data subdirectory or enter a new path for imported or exported
files. This path identifies where FRx stores and searches for the FRx® DrillDown
ViewerTM (.frd), Microsoft® Excel (.xls), and Lotus 1-2-3 (.wk1) files. You can override the
default path by selecting a specific path in the Row Format, Reporting Tree, or Catalog of
Reports window.

Amount and date format


Select the international format that you want to apply to this company’s amounts and
dates. When you select a format, it becomes the default format for this company and every
report generated for this company uses this format. If a different format is entered in the
reporting tree, that format overrides the company default format. For more information

page 36.

If you do not select a format as the default setting for the company, FRx defaults to US

Functional currency
The default setting is blank. Select the functional currency from the list. Conventionally,
you should set the functional currency to the base currency for your general ledger. This is
the currency that will be the starting point for all currency conversions. If your company
does not use currency translation, then leave this field blank.

Rates database path


Enter or browse to the unique Rates.DAX file and path for this company. You can select
the same currency translation rate table and location for more than one company, if those
companies share currency rate information. If your company does not use currency
translation, then leave this field blank. For more information on FRx® Currency
Translation, see “Administering FRx Currency Translation” on page 46.

Period description
Enter the period description that you want to appear in this company’s report headers for
describing a single report period. For example, if you enter “Month Ending” in the Period
description box, the report header for January 2004 would be “For the Month Ending
January 31, 2004.”
If you enter the description in capital letters, this capitalizes the entire date line.

(Plural Description)
The Plural Description box to the right of the Period description is not labeled. Enter
the plural period description that you want to appear in this company’s report headers for
describing multiple report periods. For example, if you enter “Months Ending” in the
Plural Description box, the report header for March 2004 would be “For the Three
Months Ending March 31, 2004.”

System Specific Information


A customized Getting Started Guide guide is shipped with every copy of FRx. This guide
contains information specific to your accounting system. See the FRx® Report Designer
Getting Started Guide for more information about completing the System Specific
Information tab.

Note: If FRx Security is active and a valid company does not appear in this list, it
could be due to security settings. To see if the company is secured, on the
Admin menu, point to Security and click Secure Companies to display the
Secure Companies dialog box.

You define international amount and date formats in the International Formats dialog
box. Once established, these formats are available for use by any company in the FRx
system.
Use the Amount and date format box in the Company Information dialog box to select
the company’s format. See “Entering and Editing Company Information” on page 32 for
more information. You can also specify a different format in the reporting tree; that format
overrides the company default format. For more information about specifying
international formats in the reporting tree, see “Building a Tree Manually” in Chapter 6,

Amount Formatting
You can apply special formats to amounts in many places throughout FRx (for example, in
a column layout you can apply a Special Format Mask; in a row calculation you can
include an amount format, and so on). The following technique for entering a format mask
is always the same.
When you assign amounts a format, such as #,###,##0.00, the pound character (#) places
the digits and commas while the zero (0) guarantees numeric placement. For example, to
format amounts with a comma separator for the thousands and millions, use the
#,###,##0.00 format. This formats an amount such as 1700 as 1,700.00 (with a comma,
and two decimal places but without leading zeros).
When you create an amount format, always include cents (.00), regardless of how you
want the amounts presented in reports. Do not consider rounding when entering the format
in the International Formats dialog box. FRx automatically adjusts the default amount
format to the level of rounding that you specify in the Catalog of Reports.
When you create special formats (in the column layout or row format), enter the format
exactly as you want it to appear in the report. You can use a rounding amount format in the
column layout or row format. For example, a format mask of #,###, will round to
thousands.

Formatting Decimals
When formatting a currency that separates the decimal place with a comma, enter the
decimal and comma placement in the international format. For example, Deutsche Marks
separate decimals with a comma and the thousands place with a decimal. The following
example displays placement of the decimal and thousands separator in German Deutsche
Marks and American dollars.

Negative Amounts
To define a different format for negative numbers, type a semicolon after the first (positive
amount) format, and then type the negative format. For example, to show negative
numbers with parentheses ( ), see the following example.

The first format applies to positive numbers. The second format applies to negative
numbers. The third format applies to zero-amounts.

Zero Amounts
If you do not enter a format for zero amounts, FRx uses the positive amount format for
zero balances. To display text for zero amounts, type the text in quotation marks. For
example, type “zero” to show the text zero instead of 0 for zero amounts.

Suppress Printing of Amounts


If you enter semicolons with nothing between them, the missing format prevents that type
of amount from appearing. For example, this format prints positive numbers and the text
zero for zero amounts, but it does not print negative numbers:
$#,##0;;”Zero”

Adding Text to Amount Formats


If you want to print the letters DR next to positive amounts and CR next to negative
amounts, place these letters in quotes at the beginning or end of the format:

Creating Specification Sets


An FRx Specification Set is a database that contains a group of row formats, column
layouts, reporting trees, and catalog IDs. Each FRx company can have its own
specification set or several FRx companies can share the same specification set.

Sharing Report Building Blocks (Specification Sets)


After creating row formats, column layouts, reporting trees, and catalog IDs, you can
share them with other clients or users in your organization. You can:
! Clone complete specification sets
! Import specific row formats, column layouts, reporting trees, and catalog IDs into
another specification set
! Export specific row formats, column layouts, reporting trees, and catalog IDs from
one specification set and import into another

Cloning a Specification Set


You can clone a specification set and then copy it to a different location on the shared
network drive. This way other FRx users can access it without accessing all the
specification sets in your local SysData directory.

FRx must be registered before you can use cloned specification sets.

To clone a specification set


1 On the Report Designer Company menu, click Specification Set.
2 Select the specification that you want to clone from the list displayed in the left pane
of the window.
3 Click Clone.
4 In the Name box, type a new name for the cloned specification set.
5 In the Location box type or select the location for the cloned specification set.
The file must use an .f32 extension. If you use the same .f32 file name, remember to
change the path.
6 Click Save.
7 In the Verification message box, click Yes.
FRx copies all the row formats, column layouts, reporting trees, and catalog IDs from
this specification set in to a new specification set.
8 Repeat steps 1 through 7 to clone additional specification sets.
You can save them in individual .f32 files or in a single .f32 file.
9 Close the Specification Sets dialog box.

Exporting a Specification Set


You can export entire specification sets or specific report building blocks within a
specification set so that other users can import and use them. FRx includes the referenced
font styles and account sets with the specification set.

Importing a Specification Set


You can import a specification set into an existing specification set or create a new
specification set for the data. All imported specification sets retain their original font
styles and company references, and include the relevant account sets.

FRx must be registered before you can import specification sets. You cannot import

reports or specification sets from an earlier release version of FRx using the Import/
Export feature. Refer to your FRx installation documentation for information about
converting specification sets when you install an upgrade the product.

FRx Currency Translation: Overview


While many host general ledgers provide for some type of currency conversion, very few
provide the sophisticated currency rate translation and reporting capabilities needed by
enterprises. FRx provides a completely new method of performing currency rate
translations automatically and dynamically across one or more entities, currencies, and
general ledger systems. This new method is named DAX (Dynamic, Automatic Currency
Translation System).
DAX works with a variety of host systems, all with varying degrees of sophistication.
While some accounting systems may store currency exchange rates that should be used by
FRx, other systems make no conversion rates available, thus requiring rates to be stored
within FRx tables. DAX can pull information from the general ledger (via OFSI) if the GL
supports currency rates, or from tables maintained within FRx.

FRx uses an OLE server to provide standard interfaces from FRx to financial system

data. The FRx Open Financial Systems Interface (OFSI) provides a common interface
to financial system data regardless of the underlying financial system.

The primary purposes for currency conversion in FRx are:


! Consolidation of Foreign Subsidiary – If a company has a subsidiary that maintains its
financial records in a currency other than the primary currency of the parent, then the
subsidiary’s financial data must be converted to the parent’s currency before the
amounts can be consolidated. Therefore, if a parent unit in an FRx tree uses a different
currency than one of its children, every amount in the child’s report must be converted
to the parent's currency before the amounts are rolled up to the parent.
! Restatement to a Different Currency – If a financial statement is required in a different
currency than the primary currency of a reporting unit, the amounts must be converted
to the alternate currency.
FRx ships a currency definition table that is fully populated with every currency defined
by the ISO standard (4217:1995). This table contains the numeric precision and formatting
for each currency. These values are used by default for calculations. The default ISO code
list is dated 9/10/2003. Check your FRx product release notes for information about
current updates to this table.
Users can maintain currency exchange rates in the FRx Rate Maintenance tables if the
appropriate information is not contained in the accounting system for a company. The
Rate Maintenance tables contain the exchange rates between an unlimited number of
currencies and a single base/foundation currency. This base/foundation currency is the
currency in which all other currencies are stated. For U.S. based companies, this will be
the US Dollar, but European companies will probably use the EURO. Many companies
may want to maintain two rate tables if they use the EURO as the basis for all European
conversions and the US Dollar for non-European conversions.
You need to set up the FRx system before you can use Currency Translation to build
reports.
Once you have prepared the system settings, you can activate DAX Currency Translation
and then use the Currency Translation codes in your row formats and column layouts to
build FRx reports. In the Catalog of Reports, you select these row formats and column

layouts as building blocks for currency translation reports, select which DAX tables to
use, and set the method for calculating currency rate averages.

Setting Up the FRx System for Currency Translation


The FRx System Administrator needs to set up some system parameters for Currency
Translation. Ensure that the following preparations are in place before you use Currency
Translation to build FRx reports:
! Set the Functional Currency in the Company Information dialog box.
! Set the path to the DAX Currency Translation file in the Company Information
dialog box.
! Set the path to the DAX Currency Translation file in the System Preferences dialog
box.
! Enter currency exchange rates in the FRx Currency Translation Maintenance
window.

If your FRx license includes Currency Translation, both the Company Information

Setting the Functional Currency


Set your company’s functional currency to the base currency used in your general ledger.
This currency will be used as the starting point for all currency conversions. In the
following Fabrikam Works example, the base currency is US Dollars (USD).

To set the base currency


1 From the FRx Control Panel Company menu, select Information to display the
Company Information dialog box.

2 In the Functional Currency box, select the three-letter code for your functional
currency.
3 Click Save.
4 Click Set as Default.
5 Click Close.

Setting the Currency Exchange Rate Table Location


Currency exchange rate information is stored in the DAX rate table. To set this table as the
default, specify and save its location as a system preference.
To set the location of the currency exchange rate table
1 From the FRx Control Panel Admin menu, select System Preferences to display the
System Preferences dialog box.

Setting up Currency Rate Sets by Company


In addition to the default DAX Currency Table Location (FRxRates.DAX) that you
specify in the FRx System Preferences dialog box, you can specify a unique currency
rate table for each FRx company in the Company Information dialog box. You can select
the same currency translation rate table and location for more than one company, if those
companies share currency rate information. Not all accounting systems support this
feature.
To specify the currency rate table and location by company
1 From the Report Designer Company menu, select Information to display the
Company Information dialog box.

Defining the Currency Translation Maintenance Window


The FRx Currency Translation Maintenance window displays the rate tables in a two-
panel view, similar to Microsoft Windows Explorer. The navigation panel on the left side
of the window shows a tree view with folder and file icons. Use the tree structure on the
left panel to navigate to specific rate tables and folders. The right side of the window
shows the contents of items you select on the left side. For example, when you select a
folder in the navigation panel, FRx displays the contents of the folder (including
subfolders and currency rate tables) on the right side of the window. When you select a
currency rate table icon on the navigation panel, FRx displays the rate table detail in the
right panel.
From the navigation panel on the left, click the plus sign (+) to expand a folder and display
the subfolders and rate tables it contains. Click the minus sign (-) to collapse a folder.

Defining the Currency Translation Maintenance Toolbar


The FRx Currency Translation Maintenance window displays a toolbar below the menu
bar. The following toolbar buttons are used in the FRx Currency Translation Maintenance
window.

Toolbar Description
Button

Open Database lets you open any of the available FRx Rates
Databases in the FRx SYSDATA folder. The default location
of the FRx Rates Database is in the FRx SYSDATA folder.
The filename is FRxRates.DAX. This has the same effect as
selecting Open Database from the File menu.

Print sends the selected FRx rate table to the default printer.
This option is only active when an exchange rate table is
selected. This has the same effect as selecting Print from the
File menu.

Refresh updates the FRxRates.DAX file with exchange rate


data you enter into the rate tables. This option is only active
when exchange rate data is added or changed.

Large Icon View displays items on the right pane of the


Currency Translation Maintenance window as large icons.
This has the same effect as selecting Large from the View
menu.

Small Icon View displays items on the right pane of the


Currency Translation Maintenance window as small icons.
This has the same effect as selecting Small from the View
menu.

List View displays items on the right pane of the Currency


Translation Maintenance window as a list. This has the same
effect as selecting List from the View menu.

Detail View displays items on the right pane of the Currency


Translation Maintenance window as a list with details. This
has the same effect as selecting Details from the View menu.

Select this option (or press Ctrl+I) to edit the ISO Code list or to add a new three-letter
code to the list of international currency codes.

The Worksheet menu replaces the Edit menu when a currency conversion rate table is
displayed in the right side of the FRx Currency Translation Maintenance window.

Delete Date
Select this item to delete the entry for a selected (highlighted) date. FRx removes blank

Maintenance window.

Edit Date
Select this option to change the date in the selected row. FRx displays the Insert Date
dialog box. Select a new date from the calendar.

Insert Blank Row

Use the FRx Rate Maintenance function to record currency exchange rates in the Dynamic
Automatic Currency Translation (DAX) system. You can enter multiple daily “spot” rates
and historic exchange rates. You can also designate triangulation currencies.

Maintaining Rates in the Daily Rates Folder


Daily rates, also called spot rates, are daily exchange rates from a single conversion
currency to a base currency. You can store multiple currency conversion tables in the Daily
Rates folder. Each conversion rate table is identified by the base currency and conversion
currency, such as USD To EUR. Once you add a daily conversion table to the Daily Rates
folder, you can enter dates and exchange rates into the table. FRx can then retrieve the
exchange rates from the table to perform conversion calculations.
To add a new daily conversion table
1 Select the Daily Rates folder from the navigation panel on the left side of the FRx
Currency Translation Maintenance window.

2 Do one of the following to open the New Daily Conversion dialog box to display the
New Daily Conversion dialog box:
! From the File menu, select New Daily Conversion.
! Double-click Add Daily Conversion on the right panel of the FRx Currency
Translation Maintenance window.

3 In the New Daily Conversion dialog box, click the Base Currency arrow and select
the three-letter code for your base currency from the list.
4 Click the Operator arrow and select one of the following operator symbols:
! To multiply the base currency amount by the exchange rate, select asterisk (*).
! To divide the base currency amount by the exchange rate, select slash (/).
5 Click the Conversion Currency arrow and select the three-letter code for the
conversion currency from the list.

Note: FRx displays a warning message if you try to create a daily conversion when
the opposite conversion already exists. For example, if you have a daily
conversion USD To EUR, you cannot create a conversion EUR To USD. If you
rely on this conversion, the conversion operator will automatically be reversed
during processing. You can run a report to get EUR to USD; if the USD to EUR
conversion exists, the default operator will reverse to produce the correctly
computed results.

To display a Daily Conversion rate table


1 Select the Daily Conversion icon in the navigation panel, such as USD To EUR in the
Daily Rates folder.
FRx displays the selected exchange rate table in the right panel of the window.

USD * Rate = EUR


is the conversion formula
for USD To EUR.

Note: You will normally add new date rows to the end of the rate table. The table
displays dates in chronological order when you open it.

To add new rates at the end of the table


1 Scroll to the blank row at the end of the table. (The last row is always blank.)
2 Click the Date cell of the last row and do one of the following to display the Insert
Date dialog box:

Note: Instead of selecting a date from the popup calendar, you can type the date
directly into the cell in the format MMDDYYYY. FRx inserts slash (/) separators
to format the date as
MM/DD/YYYY.

The date format is based on your international format settings. Your date format
may be DD/MM/YYYY.

! From the Worksheet menu, select Insert Date.

to select the correct month and year for the ending date in the range, if it is other than

7 On the Date Range To This Date calendar, click the ending date.

FRx inserts a new dated row for each date in the date range above the selected row.

Selecting the Method for Average Rate Calculation


FRx calculates Average exchange rates based on currency exchange rate and date
information entered in the Daily Rates Folder.
In the report row format, when you select Average rate, using the CCAVG row format
code, you must also specify AVGDAILY, AVGWEEKLY, or AVGMONTHLY for the related
rate type. For detailed information about using average rates in the row format, see
Chapter 9, “Using Currency Translation” in your FRx® Report Designer 6.7 User’s Guide.
FRx provides two methods for calculating monthly rate averages.
! The default method uses an exchange rate entered into the Daily rates table for all
subsequent days until another rate is entered, thereby creating a rate for each day. The
daily exchange rates are added together and divided by the number of days in the

To use this method of calculating monthly average rates, clear the Use (Sum of Rates

box on the Currency Translation sub-tab of the Report Options tab in the Catalog of
Reports window.
! The alternate method uses an exchange rate only for the date entered, and therefore
calculates a more accurate average for a smaller set of rates. All exchange rates are
then added together and divided by the number of actual rates entered for the month.

To select this method of calculating monthly average rates, select the Use (Sum of
Rates / Number of Rates Entered * Balance) for monthly average calculations
check box on the Currency Translation sub-tab of the Report Options tab in the
Catalog of Reports window.
If there are no rates available for a month, FRx looks for the last prior rate entered and
uses that for the monthly average. If there is no rate entered prior to the report date, FRx
displays an error stating “No rate was found to convert amounts. Please update the
translation rate tables to include a rate on or before the report date.”
To select the method for calculating average rates
1 From the Report Designer Control Panel, click the Catalog of Reports icon.
A list of available Catalog IDs and descriptions appears in the Select Catalog for
Display dialog box.
2 Double-click a Catalog ID to display the selected Catalog ID in the Catalog of Reports
window.

3 Click the Report Options tab, and then click the Currency Translation sub-tab.
4 Select one of the following methods for calculating average rates:
! To use the number of rates as the denominator for calculating averages, select the
Use (Sum of Rates / Number of Rates Entered * Balance) for monthly average
calculations check box.
! To use the number of days as the denominator for calculating averages, clear the
Use (Sum of Rates / Number of Rates Entered * Balance) for monthly average
calculations check box.
5 On the File menu, click Save to save changes to the current catalog specification, or
click Save As to save the modified catalog specification with a new name.

Entering Monthly Exchange Rates


In addition to daily (spot) exchange rates, FRx allows you to enter monthly exchange rates
in the FRxRates.DAX tables. The monthly rate you use in your reports can be a single
month-end rate or an average monthly rate. You can calculate the average monthly rate
using a spreadsheet program such as Microsoft Excel, then enter the calculated average
into the FRx Monthly table in the DAX file. You can create multiple DAX rate tables to
use for different purposes. A single DAX rate table can contain either daily rates or
monthly rates, but not both.
To create a monthly exchange rates database
1 On the Report Designer Admin menu, click Open FRx Rate Maintenance and select
the .DAX file to to display the Currency Translation Maintenance window.

2 On the Currency Translation Maintenance File menu, click New Database to display
the Create New FRx Rates Database dialog box.

3 Click Browse and select the path to the database from the displayed directory
structure.

Note: Locate the rates database in the SysData directory.

4 In the Create New FRx Rates Database dialog box, type the filename for the
database at the end of the selected path.

Note: For example,


\\Computer\Program Files\FRx Software\FRx 6.7\
SysData\NewFRxRatesDatabase.DAX.
The file extension must be .DAX.

5 Select one of the following options:


! Enter one end of month rate and one monthly average rate for each month.
! Enter daily rates data, and have FRx generate average rates on the fly.

Note: A single DAX file can support monthly or daily rates, but not both at the same
time.

6 Click Finish to create the database or click Cancel to exit without creating a new
database.
To add a monthly conversion table to the rates database
1 With the Monthly Rates Table selected, on the FRx Currency Translation Maintenance
File menu, click New Monthly Conversion to display the New Monthly Conversion
dialog box.

2 Click the Base Currency arrow and select the base currency code from the list.

To add monthly average rates to the monthly rate table
1 From the FRx Currency Translation Maintenance tree panel, click the Expansion icon
(+) to expand the Monthly Rates folder.
2 Click to select the conversion currency item (such as USD To EUR).
The Monthly Rates table appears on the right side of the Currency Translation
Maintenance window.

3 On the first blank line in the table, type the date in the Month End Date cell or select
the date from the popup calendar tool.
4 Type the currency exchange rate for the last business day of the month in the Month
End Rate cell.

Note: The DAX table will support only one month end date, month end rate, and
monthly average rate per month. You can enter multiple monthly averages in
each table.

5 Type the monthly average exchange rate in the Monthly Avg Rate cell.

Note: You can use a spreadsheet application to calculate the average exchange rate,
then enter the calculated value in the monthly exchange rate table.

Maintaining Rates in the Historic Rates Folder


The Historic Rates folder contains Historic folders that identify sets of historic rates.
Historic folders contain Historic Conversion folders for specific conversion currencies.
The historic rate is the exchange rate that was in effect when the activity in an account
(such as the purchase of an asset) actually took place. Historic rates typically apply to non-
monetary assets, such as inventory, fixed assets, long-term liabilities, or equity.

The Historic folder name is the unique identifier that distinguishes one historic rate from
any others. Historic rate identifiers can indicate the purpose of the historic rate, for
example, Fixed Assets, Inventory, or Capital Stock.
When you use historic rates in the row format by selecting the CCHIST format code, you
indicate which historic rate to use in the Related Rates/Rows/Unit column.

Adding A New Historic Folder


To add a new Historic folder
1 From the navigation panel of the Currency Translation Maintenance window, select
the Historic Rates folder.

The name of the folder serves as the Historic Identifier when you use the historic rate
in your row formats.
4 Click the Base Currency arrow and select the three-letter code for your base currency
from the list.
5 Click the Operator arrow and select one of the following operator symbols:
! To multiply the base currency amount by the exchange rate, select * (asterisk).
! To divide the base currency amount by the exchange rate, select / (slash).
6 Click the Conversion Currency arrow and select the three-letter code for the
conversion currency from the list.
7 Click OK.
FRx adds the new Historic folder and its initial Historic Conversion table to the
Historic Rates folder.

Historic Conversion Folders


Within the Historic folder are one or more Historic Conversion folders that indicate the
base and conversion currencies (e.g. USD to EUR). FRx creates the initial Historic
Conversion folder when you add the Historic folder.

You can create multiple Historic Conversion folders to support multiple conversion
currencies within the same Historic folder. For example, if you purchase inventory in the
local currency from suppliers in Malaysia and Japan, you can create Historic Conversion
folders such as MYR To USD and JPY To USD within the Inventory Historic folder. Each
Historic Conversion folder can contain multiple valuation dates to record transactions
and currency rates during a period of time.
To add an Historic Conversion folder to the Historic folder
1 Select the Historic Conversion folder in the navigation panel of the Currency
Translation Maintenance window.
2 Do one of the following to display the New Historic Conversion dialog box:
! From the File menu, select New Historic Conversion.
! Double-click Add Historic Conversion on the right panel of the FRx Currency
Translation Maintenance window.

3 Click the Base Currency arrow and select the three-letter code for your base currency
from the list.
4 Click the Operator arrow and select one of the following operator symbols:
! To multiply the base currency amount by the exchange rate, select * (asterisk).
! To divide the base currency amount by the exchange rate, select / (slash).
5 Click the Conversion Currency arrow and select the three-letter code for the
conversion currency from the list.
6 Click OK.
FRx adds the new Historic Conversion folder to the Historic folder.

Valuation Dates
Historic Conversion folders contain Valuation Dates, with the exchange rate for
transactions that occurred on each date.
For example, you could purchase inventory several times during the month from a foreign
supplier, using the supplier’s local currency. The table can show the valuation date,
exchange rate, and amount of each purchase. The total purchases for the month would be
the total for the valuation date for this historic conversion.
The Amount cell in each row must contain the specific monetary amount (in the base
currency) to which the conversion rate is to be applied. The total for a set of valuation
amounts must tie to the general ledger links entered in the row format. FRx compares the
GL balances for each period and generates out of balance errors unless they match the
valuation totals in the conversion tables.
FRx adds the valuation amount to the total for the valuation dates. The total amount for the
valuation dates must balance with the general ledger. Both the valuation amounts and the
GL amounts must be entered in the base currency. The reporting period for your FRx

reports determines which valuation dates FRx uses to calculate historic rate conversions in
your reports.
When you use Historic exchange rates in the Row Format, FRx matches valuation amount
sums in the Historic Conversion tables to the corresponding general ledger data, and
displays an “Out of Balance” error if the amounts do not match when generating a report.
Correct the transaction amounts in the Historic Conversion table to resolve the imbalance.

Limitations and Solutions


Amounts stored in the Historic Conversion folders are not matched to specific accounts
in the general ledger. Because individual rows in the row format can support only one
related historical rate source, but could link to multiple GL accounts, FRx cannot
determine which historical rate and amount belong to which account in the row format.
Therefore, historical rates are applied only at the financial level, and amounts will not be
displayed in the account or transaction detail levels.
Likewise, because historic amounts stored in the DAX rate tables are not tied to specific
GL accounts, there is a limitation with the use of reporting trees in conjunction with
historical rates. Consolidated trees must be specifically designed to compensate for this
limitation.
! Only one unit in the tree is allowed for each company in the consolidated tree.
! Each company must specify a separate DAX database in that company’s FRx
Company Information window.
To add rates and transaction amounts to the Historic Conversion folder
1 Select the Historic Conversion folder in the navigation panel on the left side of the
Currency Translation Maintenance window, then double-click the Historic
Conversion icon on the right panel of the Currency Translation Maintenance window
to display the Historic Conversion folder on the right side of the window.

2 Scroll to a blank row in table. (The last row of the table is always blank.)

3 Click the Valuation Date cell of the blank row and do one of the following to display
the Insert Date dialog box:

Note: Instead of selecting a date from the popup calendar, you can type the date
directly into the cell in the format MMDDYYYY. FRx inserts slash (/) separators
to format the date as
MM/DD/YYYY.

The date format is based on your international format settings. Your date format
may be DD/MM/YYYY.

! From the Worksheet menu, select Insert Date.

! Right-click to display the shortcut menu and select Insert Date.

4 Use the Next or Previous month arrows to select the correct month and year, if it is
other than the current month that is displayed.
5 Click the date numeral on the displayed calendar.
6 Click OK.
FRx inserts the date into the Valuation Date cell of the rate table.
7 In the Rate cell, type the exchange rate for the currency conversion.

Note: If you add a date range, enter the exchange rate for each date in the range.

8 In the Amount cell of the row, enter the valuation amount in the base currency to
match the transaction amount in the general ledger.

Note: FRx adds the valuation amount to the total for the valuation dates. The total
amount for the valuation dates must balance with the general ledger. Both the
valuation amounts and the GL amounts must be entered in the base currency.
When you use Historic exchange rates in the Row Format, FRx matches
transaction amount entries or sums in the Historic Conversion tables to the
corresponding general ledger data for the account, and displays an Out of
Balance error if the amounts do not match when generating a report. Adjust the
transaction amounts in the Historic Conversion table to resolve the imbalance.

9 On the File menu, click Save.


FRx saves the new entries when you close the FRx Currency Translation Maintenance
window.

Maintaining Rates in the Triangulation Rates Folder


The Triangulation Rates folder contains triangulation sets that identify a base currency, a
conversion currency, and a triangulation currency. FRx can use the triangulation currency
when the exchange rates are not maintained between the base currency and a particular
conversion currency. FRx converts the conversion currency to the triangulation currency,
and then converts amounts from the triangulation currency to the base currency.
To use triangulation rates, you must maintain Monthly or Daily Rate tables for the base
currency and triangulation currency and for the triangulation currency and the conversion
currency. When converting between European Monetary Union (EMU) countries, the
EURO must always be used as the triangulation currency.

When you select the Triangulation Rates folder in the navigation panel, FRx displays the
list of triangulation sets. When you select a specific triangulation set, such as USD->ETB-
>GMD, FRx displays selection boxes for Base Currency, Triangulation Currency, and
Conversion Currency on the right side of the window, as shown in Figure 3-9.

To add a set of triangulation currencies


1 Select the Triangulation Rates folder from navigation panel on the left side of the
FRx Currency Translation Maintenance window.
2 Do one of the following to display the New Triangulation dialog box:
! From the File menu, select New Triangulation.
! Double-click Add Triangulation on the right panel of the FRx Currency
Translation Maintenance window.

3 From the New Triangulation dialog box, click the Base Currency arrow and select
the code for your base currency from the list.
4 Click the Triangulation Currency arrow and select the code for the triangulation
currency from the list.
5 Click the Conversion Currency arrow and select the code for the conversion
currency from the list.
6 Click OK.

Using the ISO Currency Code List


The FRx Currency Translation module includes a list of international currency codes.
Authorized FRx users and administrators can add, edit, or delete ISO codes in the list, if
necessary. When an ISO code is added, it becomes available in all lists within Currency
Translation as well as in the column layout under the Currency Display detail row, when
Currency Translation is active.
Editing codes is limited to changing the description for an existing ISO code, if needed,
since established code designations cannot be altered. You can, however, delete ISO code
entries from the list.

Adding ISO Codes to the List


To add ISO codes to the list of international currency codes
1 From the Edit menu, select Edit ISO Codes to display the ISO Currency Codes
dialog box.

2 Click New to clear the Currency Code boxes for a new entry.
3 In the Code box, type the new three-letter code.
4 In the Description box, type a description of the new currency code (up to 30
characters).

Note: If you enter an ISO code that is already being used, FRx displays a message that
“ISO Code (xxx) is already in use. Please select another.” Click OK to close the
error message, and type a different three-letter code in the ISO Code box.

5 Click Save to add the code to the database.

Editing ISO Code Entries


To edit an ISO in the list of international currency codes
1 From the Edit menu, select Edit ISO Codes to display the ISO Currency Codes
dialog box.

2 Scroll in the list of codes and select the code you want to edit.
3 Change the Description, as needed.
4 Click Save.
5 Click Close.

Deleting ISO Codes from the List


To delete an ISO from the list of international currency codes
1 From the Edit menu, select Edit ISO Codes to display the ISO Currency Codes
dialog box.

2 Scroll in the list of codes and select the code you want to delete.
3 Click Delete.
4 FRx displays a confirmation message box: “Are you sure want to delete the currency
code: XYZ?”
5 Click Yes to delete the code or click No to cancel without deleting.
6 Click Save.
7 Click Close.
