OJT Coordinator, Civil Engineering Department University of Cebu Main Campus Specific Objectives OJT or Practicum is an off-classroom learning environment. This gives the students exposure to actual technical and managerial aspects of the engineering practice. It enables them to gain experience; provide insight of various operations, processes, and techniques used in industry; instill a positive attitude, self-confidence and self-motivation required of a responsible professional in handling tasks; and impress on them the importance of human relations in the working environment. Pre-requisites and Requisites a) The College of Engineering defines there requisite(s) of the BS in Civil Engineering program for the course. The Practicum program shall be exclusive to students enrolled in a 5-year engineering program. b) Students enrolled in the BSCE program will undergo the OJT/Practicum Program. c) A student must meet the required minimum exposure of 240 hours. d) For every class of 40 students or less there will be an OJT adviser assigned. Pre-requisites and Requisites d) A student is required to attach in this workbook the following compiled documents: Prelim and Midterm Periods: • A photocopy of the approved Recommendation Letter or the OJT/Acceptance/Confirmation slip. • A photocopy of the Practicum Waiver signed by the Manager of the host company • A photocopy of the Practicum Schedule signed by the Manager of the host company • Company profile • Practicum Diary that accounts everyday/schedule of Duty • Midterm Practicum Performance Evaluation to be conducted by the OJT adviser during the site visit in coordination with the company representative. Pre-requisites and Requisites Semifinal and Final Periods: • A photocopy of the Daily Time Record (DTR) or Task-in Task-out Form. • Practicum Diary that accounts everyday/schedule of Duty • Final Practicum Performance Evaluation to be accomplished and signed by the Manager of the host company. • Pictures during Duty f) Additionally, students' attendance during meetings set by the OJT adviser shall be required. Procedures and Guidelines a) Orientation. The OJT advisers will gather the students who belong in the short list of possible student- trainees. b) List of Companies. Every term, the College of Engineering and/or the University of Cebu Linkages Office will provide a list of host companies where students can choose from and have their OJT/Practicum. These lists will be posted in the bulletin boards and/or the college website. Procedures and Guidelines c) A term before a student plans to enroll for OJT/Practicum, he or she must consult the list and/or looks for a possible company for his or her OJT/Practicum. d) If the student wishes to take an OJT/Practicum in a company not listed, the student shall be responsible in looking for an industry-related host company and must submit a proposal to the OJT adviser for host company review. e) Recommendation Letter. The student must secure a recommendation letter from the college duly signed by the adviser and Dean. Procedures and Guidelines f) Application Letter. The student hand-delivers or mails this letter together with his/her resume and recommendation letter to the company and waits for acceptance. The student is responsible for follow-up his or her application with the host company. g) Acceptance/Confirmation Slip. The slip is found at the bottom portion of the recommendation letter for the company's necessary response. Should the company prepare its own acceptance letter, the student should submit both the slip (filled out or not) and said letter to the adviser. Procedures and Guidelines h) The adviser must in turn coordinate and confirm with said company regarding the student's acceptance to undergo practicum with them. The adviser and the company's representative should agree on the period and schedule of the student's OJT/Practicum. i) The student then submits the WAIVER FORM, signed by his or her parent or guardian to his or her adviser duly notarized. j) The student can then enroll for the OJT/Practicum subject and starts his or her OJT/Practicum on the recommended date/schedule. Procedures and Guidelines k) From the start of OJT/Practicum, the student must accomplish the PRACTICUM DIARY that reports the attendance and activities one on a daily basis. l) The student is required to attend regular meetings, as scheduled or disseminated, for the adviser to monitor concerns and check PRACTICUM DIARIES. m) The student should at all times keep all documents pertaining to his or her OJT/Practicum aside from this workbook. He or she complies all these documents for his or her final report. Procedures and Guidelines n) The student must comply with the general guidelines of the company regarding their own OJT/Practicum program policy. o) The student must complete at least 240 hours in one company. If for any valid reason, he or she cannot comply with the 240 hours in one company, he or she has to look for another company and complete the remaining hours or weeks there. This has to be done upon the approval of the adviser and the Dean of the College. Procedures and Guidelines p) Upon completion, the student is required to obtain from the company the following documents: (a) a Certificate of Completion and (b) the OJT/Practicum Performance Evaluation Form. q) The student is then required to prepare a Summary of Immersion as outlined in Appendix: General Written Report Format, and submits this to the Program Adviser one (1) week before the final grades are submitted. r) Flowchart. Duties and Responsibilities of the College • Ensures that the student is assigned a practicum program that fits his ability and meets the objectives of the College • Inks partnership with related industries for the students' practicum program • Assists the students in the entire process of the practicum program • Monitors the student performance and progress during the practicum program • Evaluates regularly the college practicum program Duties and Responsibilities of the On-Site Practicum Company Trainer • Ensures that the student-trainee are immersed in tasks related to the objectives and guidelines of the practicum program • Encourages good work habits by clearly stating expectations at the beginning of the internship and modelling that behavior • Provides specific directions, clear expectations, and daily communication • Provides a safe and conducive working environment fit for a student-trainee Duties and Responsibilities of the On-Site Practicum Company Trainer • Coordinates regularly with the OJT adviser • Guides and assists the student-trainees in the actual performance of the assigned task • Complies with the deliverable/requirements as agreed by the University and the Company • Evaluates the performance of the student-trainee at the end of the practicum program. Duties and Responsibilities of the OJT adviser • Ensures that the student-trainees are immersed in companies which meet the objectives and guidelines of the practicum program • Coordinates and updates regularly with the company representtive any activity related to the student's training • Meets student-trainees regularly for follow-ups and updates • Conducts company visits and follow-up calls for each student-trainee Duties and Responsibilities of the OJT adviser • Initiates partnerships and linkages with prospective companies • Evaluates the performance of the student-trainees during his/her on-site visits in coordination with the company trainer Duties and Responsibilities of the Student-Trainee •Reads and understands thoroughly the practicum handbook •Complies with the requirements set by the college for the entire practicum program •Abides with the rules and regulations of the company where the practicum program is conducted •Attends in meetings regularly as set by the OJT adviser •Perform the task(s) assigned to him promptly and satisfactorily •Takes an active role in his learning, using good judgment and maturity in all matters. Summary of Immersion The reflection paper that contains the summary of tasks and knowledge learned and unlearned by the student during his/her entire OJT program.
