Domestic Relocation Policy & Procedure Version: 1.

This intent of this policy is to provide consistent provisions for individuals relocating, being mindful of the circumstances under which
Relocations occur. These circumstances are considered the drivers for relocation support & assistance provided by the Company.

Definition
There are four primary scenarios related to relocation, which are:
1. New Joiner Relocation
2. Company initiated relocation
3. Employee initiated relocation

Relocation Claim & Approval:


All approval decisions are to be taken in line with policy guidelines.
1. Relocation starts with a written authorization from the Human Resources Team at the Head Office confirming the assigned
relocation.
2. Company sponsored relocation expenses each require prior written approval from the Human Resources Team based in the Head
Office in Mumbai.
3. Within 30 days of the expenses being incurred, the employee submits all claims using the attached Relocation Claim Form along with
original supporting documents:
 Every expense requires a valid voucher/bill etc. Wherever proof cannot be produced for valid reasons, reimbursement
requires prior written approval from the Director.
4. If the employee is eligible for company sponsored goods relocation, the employee first submits three quotations from Packers &
Movers to the Human Resources Team at the Head Office for authorization.
 The quotation found to be the most cost effective and reasonable will be approved by the Human Resources Team at the
Head Office and communicated in writing.
 Eligible travel & lodging expense reimbursements require original hotel bills, train or airline tickets & boarding passes etc.
5. The employee submits all claims for Company sponsored relocation expenses at once. Once submitted; further expenses will not be
entertained.

General Guidelines
1. Employees should claim all relocation reimbursements, payments within 30 days from the date of relocation only ONCE. No payment
will be made for any claims post that.
2. All allowances will be based and approved upon the shortest road distance between the home location and the assignment location.
3. All Company sponsored relocation expenses stand recoverable in full if the employee leaves the employment of the Company on
his/her own within 12 months from the date of relocation.
4. Transfers from home to the point of boarding the medium of transport and to the place of transit stay will be covered as per the
guidelines.

 Movement of Goods includes
1. Packing and insured transportation of goods & the employee’s vehicle.

 Employee & Dependent Family Travel


1. One way trip for employee & dependent family members including spouse & children who are relocating with the
employee. Eligible expenses include mileage, accommodation & meals en route or airfare and ground transportation.

 Transit Stay
1. Reasonable cost of lodging as per the Company guidelines for an initial period of up to 7 days in the period where
employee’s new accommodation is not yet available.

 Relocation Leave
1. Employees may avail upto two working days leave within the first 15 days of relocation to set up accommodation in
the assigned location.

Employee Initiated Relocation


 In the event of an employee seeking permanent transfer to a new assignment location, employee will not be eligible for
any claim towards relocation.
 Where available & feasible, the Company on a need basis may decide to approve the transit stay facility to the employee &
dependent family members to assist in the relocation process.
