Hotel Security Operations A–Z Roadmap


Introduction
This Roadmap is being issued along with the Security Policy Manual, Security Standards Manual, and the Hotel
Security Operations A–Z Manual. This Roadmap is a guide to completing the Hotel Security Operations A–Z and
achieving the key deliverables.
For experienced Security professionals, the Roadmap can be used to address gaps in Plan development and help
identify and hold accountable members of the Security Team who are tasked with completing the Plan. For less-
experienced Security professionals, the Roadmap will define the steps necessary to build a thorough and
compliant Hotel Security Operations A–Z Manual. These recommended plans are not just specific to a Security
Department, but contain topics that are relevant also to other Hotel Departments. Where similar plans do exist,
it is important for these to be consistent in their procedural content and not contain conflicting statements or
processes.

 Locate the MS Word file called “Hotel Security Operations A-Z TEMPLATE” in the Security Policy, Standards
and Guidelines Library section of the Security page on Hyatt Connect.
 Download the file to your computer/local drive.
 Use the “Save As” function in Microsoft Word; then follow the instructions below to name your plan.

For Reference: Each property should follow the formula below for naming the electronic version of their Hotel
Security Operations A–Z Manual.

Important Note about File Naming


Save a NEW copy of your Manual, using a new version number (V.2, etc.) and date when you change your
Manual. NEVER write over the existing plan: save as a NEW copy and rename it. You will need prior versions for
safekeeping and for reference.

Step One: Determine Who Will Write the


Manual
The Manual Owner should be a member of the Security Team. This person should be knowledgeable about the
Hotel property and have an understanding of common principles in security response and incident prevention.

Tasks for the Plan Owner


 Read the Security Standards and Security Policy Manuals available on the Security page of Hyatt Connect.
 Read and review this Manual template to understand the types of information to be assembled.
 Confirm Manual Owner is up to date on all Hyatt training in the areas of security and incident prevention.
 Determine adequate deadlines and a schedule for review and completion of the Manual.
 Consider budget needs to fill any gaps discovered in equipment and systems related to implementing the
Security Operations A–Z once completed.

Step Two: Complete Each Procedure of the


Manual
This Manual is organized with procedures listed alphabetically by topic. This structure is intended to make the
procedures easy to locate and follow.
For each topic, a standard policy, the purpose of the policy, and the procedures to follow are already written.
The Hotel Security Team should carefully review each procedure and align them with local protocols.
Be aware that all policies and procedures in the Hotel Security Operations A–Z must be in
conformance with the Security Standards and Security Policy Manuals provided by
Hyatt Global Security.

Step Three: Review and Finalize the Plan


 Establish a review schedule and deadlines with all members of the Security Team.
 Establish a review schedule with the Hotel owner.
 Establish a review schedule with Hotel professional resources such as legal counsel and financial advisors.
 Define the timeline and process for the Security Team to sign off on the completion of the Manual.

Step Four: Distribute the Plan

Your plan should exist in these places:

 Hotel-level shared drive/Intranet
 Security Office (printed)
 Hotel Departments (printed and communicated to each area where procedures are relevant)

*These places should be updated with a new Manual, with the version number and
date updated, every time you make a change or adjustment to your Manual.

Step Five: Train to the Plan


 Schedule training sessions for the Security Team and the Hotel (as relevant).
 Schedule periodic reviews to ensure operational compliance with procedures.

Schedule training to cover team members on all shifts.
