1. Introduction to Enterprise Systems

Question 1
High Retail Ltd is large retail chain of 200 stores located in major towns in Malaysia. It sells a variety
of household electrical goods directly to its customers. Customers can purchase these goods via two
main channels : visiting stores and online purchase. The company provides end-to-end services from
‘order to cash’. To ensure that the all the tasks are efficient and effective, High Retail took great effort
to set up its organisation chart. With this new organisation chart appropriate functional areas are put in
place in order to support the efficient performance of the tasks or activities.
Required:Identify and list FIVE (5) most important functional areas for ABC Ltd.

Functional Areas
1.Sales
2.Human Resources
3.Accounting
4.Purchasing
5.Warehouse

(a) For each of the functional areas (departments) which you have listed above, briefly describe
TWO (2) main tasks or functions. For each of the functional areas, identify and list ONE
suitable system you would recommend.

- Issue Goods - transfer goods between warehouses (internal)

Question 2
Hi Tech Ltd is a large global organization. It has its headquarters located in the US and about 30
branches in various countries in the world The Chief Executive Office (CEO) of Hi Tech Ltd has
heard of ‘enterprise systems’ but does not exactly understand what they are.
(a) By using THREE (3) unique characteristics, describe what an enterprise system is.

Characteristics
1.Single System - large, has many modules eg. ERP has : purchasing, accounting, warehouse
management, sales, HR systems.
2.Data integrated - data centralised, shared, reports for decision making
3.Support business process - automate : replace manpower, reduce manpower, reduce cost,
increase productivity

(b) Identify THREE (3) most popular enterprise systems used in organization. For EACH of the
enterprise systems you have identified, briefly describe ONE (1) way how the enterprise system
can be used to bring benefits to Hi Tech Ltd.

Benefits Enterprise System


1. ERP system - support business processes within organisation eg. automate and
coordinate processes
2. CRM system - market, sales and service. Attract new customers, enhance sales
activities of existing customers, and retain existing customers
3. SCM system - balance the demand and supply of goods for customers. Ensure right
goods are sent to right customer, at the right time, with right quantities and the
right price.

(a) Explain what business processes is. Give an example of a business process.

Business Processes
- Consists activities or tasks
- Example : order-to-cash, or procure-to-pay process
- Transforms input into output of value to customers (internal and external)
- products or services

(b) Describe the relationship of business processes to business performance.

A well designed business processes would lead to high business performance eg. reduce
redundant works or process takes shorter time, better response to customer, lower costs.
A poorly designed business process would lead poor efficiency and effectiveness of works
eg. lead to high costs, longer time means poor service to customers.

(c) Explain TWO (2) reasons which there is increasing popularity of enterprise systems.

1. Push Factor caused by Emergence of Internet and Web technology - lead


organisation to be more innovative eg. links and connection with suppliers and
customers, not just between departments.

2. Pull Factor caused by New business needs (to compete) and customer expectations
eg. higher levels of customer services, production needs faster and efficient product
development and response to market.
