Are you ready to organize a fitness event? As you become more involved in physical activities, you
can elevate your participation by joining events that promote health and fitness as well as address
health issues like diabetes, obesity, nutrition, smoking, and many more. By joining these events,
you can learn more about these health concerns, what is being done to handle them and at the
same time, you also get to increase your physical activity.

The usual objective of the organizers of these events is to raise funds for awareness about these health
issues. Depending on their advocacy, events may range from fun-filled activities that can engage entire
families, to more physically demanding ones. Participation in these events not only increases your activity but
also gives you an advocacy to work on. Your choice would depend on your interests and preferences. Here are
some viable options for you.

Dance events, competitions, or marathons

These events focus on dance as the main activity, whether as


competition (e.g. street dance, dance sport) or as recreation (e.g. aerobic dance
marathons, Zumba events). These may last for hours depending on the event
and variety of dances, intensity levels, and music usually used, thus, elevating
participation.

Other than fitness benefits, you can get a lot out from joining dance
competitions and marathons. If events are competition-based, usually cash
prizes, trophies, and freebies are the main incentives. However, if the events
are recreation-type, participant kits (e.g. event shirt, sponsor freebies) are the
usual takeaway. However, the enjoyment and fun of dancing are the main
attraction in these types of events.

Many people are getting into exercising because of the popularity of some aerobic forms of exercises
particularly Zumba. The attractiveness of physical activities like Zumba comes from the lively music and
instructors, colorful vibe, and relatively easy to follow dance routines. However, the most crucial effect that
popular exercises like Zumba have is the encouragement and support to participate in exercise, which in
effect, makes people more aware of their health and fitness. That is why some groups and organizations
choose Zumba at their event to promote awareness for their various causes. However, you can also engage in
other aerobic exercises in the form of dances such social dance, street dance, etc.
ORGANIZATION

Organization is the structural planning of roles to implement necessary FUNCTIONS. The total
development of an individual is centered on a philosophically sound program structure and activities.

MANAGEMENT
Management is a key factor to success in any physical and sports education programs. A sound
implementation is necessary to steer an essential well organized and valuable program. This involves
collaboration of the administering body, the participants of physical education class, and other sports
programs. Management involves long-term strategic plans and programs: resources, financial, legal and safety
management, public relations, and promotions

It deals with the tasks and accountabilities to accomplish the objectives through cooperation. It requires
harmonious effort amongst members to fulfil the target objective.

Importance of Management

1. Assist individuals to realize their objectives or goals.


2. Provides guidelines in the collaborative strengths of people.
3. Defines the group’s development, efficiency and accomplishment of goals.
4. Defines whether members within the group are contented, cooperating and productive.

Steps in planning and organizing fitness event
1. Set your goals for the event - Before you start organizing the event, set your goals. The function can have
more than one focal point, but you should have goals in mind that you want to achieve. This will help navigate
the planning process. Consider both objectives for your members as well as business goals. So, you may want
to increase membership sales but also educate the community on things like fitness and nutrition.

The proposed ZUMBA DANCE EVENT aims to dwell with the following objectives.

1. The goal of organizing the Zumba dance event is to persuade the citizens, especially the members of the
family/organization, to view this activity as a form of exercise that will improve one’s health in many aspects;
2. This event will provide a motivating support system that will keep you on track;
3. This event will help you build new friendship or relationship with other people; and
4. This event will give fun and entertaining moments for each and every one.

2. Determine Your Budget - Your budget is a pretty big factor in the event planning process. After all, it
dictates what you can and can’t afford to do. You will need to cover any extra time your employees need to
take to organize and attend the event. Think about event marketing, and any freebies you want to give away to
attendees. Whether it’s a branded t-shirt or class passes, you need to think about event funding.

3. Choose the Location - When it comes to location, you have various options. You can decide to host the
event in-house, which is ideal for things like challenges, competitions, and seminars if you have space. If you
want to take the event outside, you can use local parks for events like an outdoor obstacle course or group
picnic. The location you choose is dependent on the type of event you’re planning. Of course, if you want to
organize a fitness retreat, you will have to find a location that accommodates this and provides everything you
need.

4. Make a Checklist - Once you’ve chosen the type of event, determine your budget and location, you now
need to pull the whole thing together. Gather your events team and make a thorough checklist. This should
include everything you need to carry out before, during, and after the event. The list will also include items that
you need to get from gifts for attendees to marketing collateral.

5. Set a Realistic Timeline - Your timeline will be dependent on the type of event you're hosting. While
something like a weight loss challenge may take less time to prepare than a fitness workshop, you still need to
set a realistic timeline no matter the event. Your marketing strategy and budget will be tied to a timeline which
you will need to stick to.

6. Plan Marketing Strategies - Your event marketing strategy will play a significant role in spreading the word
and getting people through the door. It doesn’t matter if you’re throwing a massive launch event or a monthly
dance competition, you should still create a marketing strategy. You need to inform your community and
people outside of your gym that your event is taking place. Tell them why they should go to your event. Think
about using Facebook ads, word-of-mouth marketing, email, and push notifications to share the news.
Marketing is an important part of an individual’s everyday life. Consumers and educators take part in
the process. The principles of marketing will provide better understanding of the products, services, and
programs. These also enable individuals to become more experienced in delivering the demand for the better
health and fitness requirements.

7. Manage Logistics - There’s a lot going on before, during, and after an event that needs to be taken care of.
Manage the logistics so that there are no issues on the day. Consider parking arrangements, check-in, or
registration on the day, and make sure your studio is large enough to handle the number of people. If you have
a large number of people attending, think about the plan for entry and exit to avoid any chaos on-site during
the day.

8. Enjoy and Have Fun! - Don’t forget to enjoy yourself and have fun. Event planning can be time-consuming
and laborious work, but it doesn’t come without its rewards. Events are ideal for boosting engagement,
retention, and acquisition. Not to mention the benefits it can give to your members.
It’s a good idea to ask for feedback after every event. No matter how successful they are, you can
always learn and evolve. Try sending out quick feedback forms to all guests the day after. You want to find out
if guests enjoyed their time, if they would come again, and what would make them love it more.

HOW DANCE CAN HELP IN IMPROVING HEALTH


Dancing is one of the oldest and most popular forms of exercise. Several forms of dancing are
considered aerobic since they entail about an hour of “continuous exercises, choreographed to music” (Fine,
1981). According to Polly de Mille, an exercise physiologist at the Women’s Sports Medicine Center in New
York, the health benefits gained through dancing are similar to other forms of activities that involve sustained
effort in the target zone.

• Helps recover coordination and neuromuscular skills after injury

influencing others positively.
Role: Dance event organizer

Audience: The Honorable Mayor of Paombong, Bulacan

Situation: Mayor Mary Anne Marcos tasked you to lead and organize a dance event in the Municipality of
Paombong, Bulacan. The goal of organizing the dance event is to persuade the citizens, especially the
members of the family, to view dancing as a form of exercise that will improve one's health in many aspects.
Hence, the Honorable Mayor required you to submit a plan for the event.
