1.0 PURPOSE

Control of all records including its retention for quality system requirement.

2.0 SCOPE

All records generated in the scope of quality system which include Technical records such
as testing data, calibration and maintenance data, quality control records, Customer
records, training records, internal audits reports and management reviews as well as
corrective and preventive actions.

3.0 PROCEDURE

1) Identification:

All the Formats are identified by its format no. and Register are identified by its
serial no. Formats and Registers are identified as below:

Format is identified as XX/YY/LL/FM/ZZ, and Register is identified as


XX/YY/LL/RG/ZZ, XX = Company abbreviation, YY= Department abbreviation, LL-
Location Abbreviation, FM = abbreviation of format, RG= abbreviation of register, ZZ
= Format/Register serial no.

2) Collection:

All the records are collected by Technical Manager for its maintenance.

3) Indexing:

Records where generated in Formats are indexed in Files according to the day of
records generated.

4) Access:
All the records are accessible through concerned laboratory personnel.

5) Filing:
All the records generated in the form of Formats and stored in File and Files are
identified by the name of the records.
6) Storage:
All the records are stored in proper condition. Records are kept in File are stored in
proper cabinet, almirah etc. to prevent any deterioration of records.

7) Maintenance and Disposal:


All the records are identified and along with minimum retention period is
documented in Master List of Records [KCL/LAB/DGP/FM/07] Records retention is
informed to all concerned laboratory personnel ensure that no records are disposed
before the time of retention periods declared.
8) Retrievable:
All the records are legible and easily retrievable as per master list of records.
Technical Manager/Quality Manager stores the records in such way to get it easily.
9) Electronic Media Records:
Hard copy and back up of the records are maintained and entry in the records in
computer is restricted for authorized users only.

10) Technical Records:

Laboratory maintains all original observation on test / performance


check/maintenance data in the register. Staff training records are maintained by
Quality Manager. Copy of each test reports are maintained in separate file.
Records are retained up to the period defined in the master list of records.
All the records are easily traceable to person done it for specific task.
Mistakes in the records are corrected by crossed and maintaining the data alongside
with signature.
