Adoption of EHR in the healthcare organization

The management of healthcare information has currently shifted from paper to EHR

in the current world. In the USA, one is in the minority group if they have not adopted the

EHR system. A study done by HIT indicates that 86% of office-based doctors have already

embraced the EHR tool (Kroth et al., 2019). The high acceptance rate of EHR systems is

unsurprising given the numerous advantages of utilizing one. For example, the tool aids in

improved clinical documentation, creating digital archives of patient data, and the more

efficient monitoring of medical disorders and treatment progress. However, because of the

extensive use, more EHR systems and manufacturers are now on the market. When it comes

to choosing the proper tool for your healthcare professional, you'll have to analyze lots of

options based on functionality, cost, and installation options.

Since I have been assigned to convert a healthcare firm from paper to electronic, I will

adopt several application tools for effective management of the healthcare information,

including; “Greenway Health Prime Suite” provides EHR module features for healthcare

programs to enhance reporting and patient involvement. For example, charting is a dashboard

that allows users to view medical files and understand their clinical history easily. Order

entry is another tool that enables practices to gather laboratory test requirements and create e-

prescriptions. Prime Suite features are ideal for developing and huge medical offices

(Hammam et al., 2021). For example, its analytics dashboard can assist the cited practices in

better understanding improvement in a financial situation at their various locations.

InSync is a healthcare system that incorporates medical recordkeeping (EMR/EHR)

and time management skills into one package. The EHR module aids practices in recording

and organizing patient-related information like patient summary reports, therapeutic plans

notes, and e-prescriptions. Through practice management programs, health organizations can

readily access patients' schedules and accounting documents, including ledger balance,

accounts payable. InSync's vendor provides helps like a claim submission on behalf of a

practice and document processing through a virtue scribe. This makes it ideal for healthcare

professionals looking to outsource these administrative tasks.

Ipatients Care provides an EHR and health records module that enables medical

professionals to build patients schedules, create e-prescriptions, handle accounts receivable

and payable, and process claims. Additionally, it contains an analytical dashboard and native

app that enables understanding during patient's engagement ipatients is appropriate for large

health practices and growth where interoperability refers to capacity to communicate

information with third-party EHR solutions pharmacy system, exchange of medical

information, lab information, and immunization registries is a fundamental requirement. This

approach is also suitable for clinics willing to outsource health billing and coding services

and have their employees trained on healthcare quality standards. The vendor also provides

consultancy and revenue management solutions.

I will also adopt the use of liquid EHR, a health records management solution that

contains features like e-prescribing, patient record storage, billing management, reporting,

and document management. This tool also provides modules applicable in monitoring patient

interactions and a customer’s portal for arranging appointments. Liquid EHR has a basic

monthly fee price structure that is ideal for every healthcare organization seeking to cut costs

and get an economic system to manage their day-to-day operations

Praxis is an EMR/EHR system that incorporates medical data administration, e-

prescribing, a patient portal, and charting, among other capabilities. The tool's "idea

processing" feature aids in the creation of practitioners notes, patient instructions,

prescriptions, and lab orders for patients with the same or comparable circumstances. A

record management system and connectivity with payment solutions are among the additional

features. Praxis is vital in automating healthcare practices' charting and recordkeeping

demands. The approach could be a perfect tool for healthcare practices that are expanding

and need to capture patient information quickly.

Explain the importance of the role responsible for entering the data

Data entry is one of the most crucial activities for the growth of any organization.

Many individuals tend to underestimate the relevance of this role since they believe it has

little value to the organization. They couldn't be more wrong in thinking, so this is because

accurate data entry forms the backbone of every organization. Its time saving and special

skills allow organizations to keep up to date and correct records from invoices, contracts,

patient information, etc. there is various importance why this role is responsible for entering

data including; data entry ensure all essential organization data is kept in a single and proper

sequence for reference. Accessibility, duplication, time, and other factors all have significant

effects on time. When all information is in proper sequence and structures, it's simple to

reorganize and duplicate data as the organization grows. Data entry greatly impacts medical

staff productivity, which is an extra crucial aspect in successfully running an organization. If

critical data is missing or inaccessible, it may have a detrimental impact on the staff's general

performance.

The role of data entry is very key to every firm. Lack of data entry role in an

organization may cost it a lot of money. An inaccuracy in the entry of data and loss of vital

information could lead to the loss of lots of money, important clients, and the organization's

reputation. To reduce or considerably limit the possibility of having such costly errors in the

firm, it's crucial to hire competent and dependable data entry operators who can assure a

flawless data entry process in the organization. Data entry aids organizations in minimizing

operational expenses. Because this operation requires a substantially smaller amount of space

to process the data, the act minimizes the infrastructure costs incurred by a company. Without

this data entry role, the firm would have incurred higher costs, ultimately reducing its profits.

The efficiency of a healthcare organization is determined by how well systematic and

organized it is. If you want to establish a good first impression as a firm, you must understand

that updating information on a detailed and timely basis and structuring documents in an

orderly manner are essential. This can only be achieved when the data entry role is run by

competent individuals ensuring there are no flaws. A systematic database input process into

computer systems assures secrecy, which is an advantage in the healthcare industry since

every patient wants privacy. (Moro & Morea,2019). Most patients' records are considered

sacred and should be kept out of public sight. With data entry, you may maintain the desired

level of confidentiality by preventing organization numbers from becoming public

information. Therefore, this role ensures important patients' data are not leaked out.

It's a fact that data entry prevents a company from making big mistakes, but it also

enables us to identify that data is prone to be lost or, or at the very least, changing with time.

It is critical to maintaining sensitive information in a secure location to maintain

competitiveness, and what better place to save it than the computer itself? One of the simplest

techniques for an organization to prosper is to measure data for correctness and efficiency on

a regular basis. Those days of keeping information on the handwritten notebook are long

gone. With all of the improvements in digital technology, we can now use a range of

technologies to convert our handwritten, documented information into a digital version. This

simplifies business since vital data can be easily accessed and updated for correctness if it is

stored digitally. The most significant disadvantage of text and paper documents is that they

can be mismanaged, get disorganized, or take a long time to sift through when looking for

anything specific. With proper data entry, an organization can obtain what they need with just

one slight touch and no effort.

Benefits of using PDSA (Plan-do-study-act)

PDSA model refers to a "trial-and-learning" structure for extensively assessing your

transformation ideas within a short period. Most ideas are subjected to a circular process of;

test planning, gathering data, assessing that information, testing the change, and then either

dropping the plan or utilizing the information to start a new cycle, therefore creating a

response loop of frequent learning and improvement. The PDSA model is consequently

beneficial in the following ways; It ensures continuous improvement of healthcare services;

The PDSA technique is based on the pursuit of continual learning. The PDSA cycle is

intended to be short, fast, and regular. The outcomes of one cycle are implemented to help

and guide the development of a great choice, which may then be examined in a subsequent

cycle. The practice is repeated until a satisfactory, long-term improvement is achieved.

It creates an interactive and change-oriented culture in healthcare; A common worry

among members of any QI group is that their proposals for change will be stifled by a

resistive culture that prefers the status quo. However, slight, non-threatening adjustment and

repeated PDSA cycles create a learning and change a culture. It's an effective and gentle

method for even the most resistant team to change. In addition, regular collaborative PDSA

cycles and bottom-up improvement initiatives help to build a collaborative workplace.

Empower healthcare staff; One of the inherent effects of a bottom-up technique is that

it engages frontline employees directly and puts the capacity to solve problems in their hands.

This can energize employees to become more involved. Staff on the front lines get the

strongest motivation to produce the best choices available because they are the ones who will

be affected the most by the modifications and decisions taken. It is also useful in

standardizing; since all projects are carried out in the same way (Plan-Study-Do-Act), making

it easy to compare and measure different initiatives and modify concepts. Because this

standardized improvement technique is available, it can be used by any department or

organization.
