This report is based on ‘Organization Study’ conducted at Rentozo Private Ltd, Bhopal.
Organization is an association of various departments in the firm in which all work
collectively in attaining the goals and objectives of the company by rendering the
valuable services towards it by both employers and management

Service providers globally nowadays seek new or improved means for differentiating
themselves and for increasing their competitive advantage. The growing number of
service organisations makes services available to wide range of customers in a non-
traditional way, i.e. using the Internet impacts dramatically to services and can provide a
range of options for gaining and maintaining competitive advantage of different service
providers. Also, the recent history of Internet shows that it can be expected that many
new services will be available to consumers via this medium in the future. According to
The Internet Group (an on-line consulting company), the Internet is the medium for
delivering information-based value to the global.

The internet is challenging traditional distribution networks. The traditional distribution
channels relied more on human resources and employed manual operation to get goods and
services to market. However, the advent of the internet is compelling businesses to re-evaluate
their operational strategies and customer value propositions. Distributors play a crucial role in
physical distribution by “breaking bulk” and “mixing” channels. Breaking bulk allows for lower
channel transportation costs since volume shipments from the manufacturer to the distributor,
often less expensive per unit. Customers can choose the mix of items they require through such a
channel mediator, allowing producers to focus on their primary business activities.

Mixing allows volume shipments from manufacturers to original equipment


manufacturers (OEMs) and downstream business clients . The evolution and development of
internet-based technology have influenced business operations in dealing with distribution
networks. The traditional distribution process relied on information gathering through the manual
channels or use of human resources. The slow information gathering imposed many challenges
for the business operations. However, internet-based technology transfer has catalyzed the
access, sharing, and retrieval of many business or customer-related data. Furthermore, the use of
technology-based supply chain administration strategies has started to weaken the traditional
responsibilities served by the multiple representatives concerned in the supply chain.

possibilities and options. As customers make increasing use of Internet sites for different
purposes, the delivery of services via Internet becomes increasingly important.

REASON FOR THE PROJECT:-

The advancement in Information Technology and internet penetration has greatlyenhanced


various business processes and communication between companies(services provider)and their
customers of which car rental industry is not left out. This "E Car Rental System is developed to
provide the following services.
 Enhance Business Processes: To be able to use internet technology to project the rental
company to the global world instead of limiting their services to their local domain alone,
thus increase their return on investment.

 Online vehicle Reservation: A tools through which customers can reserve available cars
online prior to their expected pick-up date or time.

 Customer’s registration: A registration portal to hold customer’s details, monitor their


transaction and used same to offer better and improve services to them.

 Group bookings: Allows the customer to book space for a group in the case of weddings
or corporate meetings (Event management)

LITERATURE REVIEW

Hogg et al. (2003) conducted a study on the impact of the Internet on professionaL health-care
services. They found Internet to be a primarily an accessible information resource rather than a
distribution channel for health-care services, but as such it has the potential to fundamentally
change the way in which consumers interact with health-care service providers.

They stressed how the issue of quality of health-care information on the Internet is
acknowledged by health-care professionals as a major challenge in managing behaviour of
Internet-empowered customers. Finally, Grove et al. (2003) reported and analysed the insights of
ten leading service scholars regarding the future of services marketing.

Almost all the panel members highlighted the need to explore the growing interplay between
services and information technology, and particularly the Internet and the e-commerce it has
spawned. The experts outlined several related topics which need further detailed investigation:
the role which technology plays in the communication, delivery, sale and support of services, the
nature of the e-service encounter, the nature of service excellence. and the impact of high-
technology service dimensions on demand for services.

OBJECTIVE: –

 Participating in the intake process for new car rentals, including checking cars for damage,
taking inventory, and updating records.
 Assisting customers with car rentals and providing information about available vehicles and
rental policies.

 Helping to resolve customer complaints or issues.

 Assisting with the cleaning and maintenance of rental cars.

 Working with a team to manage the daily operations of the car rental service.

 To know the vision and mission of the company

 To do the SWOT analysis of organization to identify strengths, weakness and opportunities

SIGNIFICANCE OF THE STUDY:-

The organizational study conducted at Rentozo Private Ltd, helped to understand the various
departments of the company, functions and the relationship between them. It was a great

experience to gather first-hand information about the company. The actual working of the
organization and the professionalism which is required at the workplace has also been observed

SCOPE OF THE STUDY:-

1. The scope of the study included the tasks and responsibilities undertaken by the student
during the internship, as well as the skills and knowledge gained through the experience.

2. The study focused on the operations of a specific car rental service, Rentozo, and the
experiences and insights gained may not be representative of the car rental industry as a
whole.

3. The scope of the study included observations and analysis of the processes and systems
used by Rentozo to manage its car rental service.

4. The study did not include a comprehensive analysis of the competitive landscape or
financial performance of the car rental industry.

5. The scope of the study was limited to the duration of the internship, which was six
months.

METHODOLOGY OF THE STUDY:-

The data is provided by the guide and other employees in company .The process is viewed and
checked manually, and the opinion of the company is also considered .Moreover, various
suggestions and cross-verification process is done through the search engine.

Also, the secondary data is used for the clear understanding of the primary source of data.

1. The primary method of data collection for the study was through first-hand experience
working at Rentozo.

2. The student participated in various tasks and responsibilities related to the car rental
service, such as assisting customers, managing inventory, and maintaining rental cars.

3. Observations and notes were taken throughout the internship to document the experience
and track progress.

4. Informal conversations with team members and management were also used to gather
additional insights and understanding of the car rental business.

5. Data analysis for the study included reflection on the tasks and responsibilities
undertaken during the internship, as well as the skills and knowledge gained through the
experience.

LIMITATIONS OF THE STUDY:-

During the internship program, I had to face constraint and problems while trying to make the
report presentable for my respected family members. Moreover, some of the latest data could
not be collected due to confidential reasons, but the other reasons are
as follows:-

 The findings need not to be conclusive but only inductive.

 Firm may not be able to disclose all the details as it is highly confidential.

 Time Span of this Project was very limited to collect all the information.

 There were difficulties in obtaining dates from Executives & managers due to their busy
work schedules.

 The reliability of data used for study is largely depends up on the companies report &the
information given by executives.

 Lack of information from various departments.

 The current economic conditions are not known.

FUNCTIONAL AND NON-FUNCTIONAL


REQUIREMENTS

Functional Requiremets :-

Requirement analysis is a software engineering technique that is composed of the various tasks
that determine the needs or conditions that are to be met for a new or altered product, taking into
consideration the possible conflicting requirements of the various users.
Functional requirements are those requirements that are used to illustrate the internal working
nature of the system, the description of the system, and explanation of each subsystem.
It consists of what task the system should perform ? the processes involved ,which data should
the system holds and the interfaces with the user. The functional requirements identified are:

 Customer’s registration: The system should allow new users to register online and
generate membership card.

 online reservation of cars: Customers should be able to use the system to make booking
and online reservation.

 Automatic update to database once reservation is made or new customer registered:

 Whenever there’s new reservation or new registration, the system should be able update
the database without any additional efforts from the admin.

 Feedbacks to customers: It should provide means for customers to leave feedback.

Non – functional Requirement :-

It describes aspects of the system that are concerned with how the system provides the functional
requirements ? They are:
a. Security: The subsystem should provide a high level of security and integrity of
the data held by the system, only authorized personnel of the company can gain
access to the company’s secured page on the system; and only users with valid
password and username can login to view user’s page.
b. Performance and Response time: The system should have high performance
rate when executing user’s input and should be able to provide feedback or
response within a short time span usually 50 seconds for highly complicated task
and 20 to 25 seconds for less complicated task ?
c. Error handling: Error should be considerably minimized and an appropriate
error message that guides the user to recover from an error should be provided.
Validation of user’s input is highly essential. Also the standard time taken to
recover from an error should be ;15 to 20 seconds.
d. Availability: This system should always be available for access at 24 hours, 7
days a week. Also in the occurrence of any major system malfunctioning, the
system should be available in ; 1 to 2 working days, so that the business process is
not severely affected.

e. Ease of use: Considered the level of knowledge possessed by the users of this
system ,a simple but quality user interface should be developed to make it easy to
understand and required less training

The launch of one-way intercity launch adds flexibility and options of peoples travel
plans. This provides whole new level of convenience for the 20 lakhs plus Rentozo
