Call for Application – Internship (CFA-Int-001/24)

Position Title: Finance and Administrative Intern


Position grade: Non-Remunerated but monthly subsistence allowance will be paid
for transportation and living expenses
Duty Station: IOM Country Office based in Gaborone, Botswana
Appointment Type: Internship, three months with possibility of extension
Deadline for application: 30 June 2024

Established in 1951, International Organization for Migration (IOM) is the leading UN agency in
the field of migration, works closely with governmental, intergovernmental and
nongovernmental partners. IOM is dedicated to promoting humane and orderly migration for the
benefit of all. It does so by providing services and advice to governments and migrants.

The Internship Programme targets young, talented students and graduates willing to gain
practical experience in a field relevant to the Organization through their involvement in daily
working activities in migration-related areas, support/administrative functions and/or different
thematic areas.

Context:
The successful candidate will work under the direct supervision of the Officer in Charge/Chief of
Mission and technical guidance of the Finance and Administrative Assistant, and in close
cooperation with other colleagues in the Mission and Sub-regional Office. S/he will pursue the
following duties:

Core Functions / Responsibilities:

1. Assist with Verification of invoices and ascertain that the equipment, supplies or services
they refer to were duly received or provided before proceeding with payment request;
2. Assist in routing/completing the signatures for Purchase Requisition form, Bids Analysis,
Payment Request form in coordination with the RMU.
3. Assist in disbursing money to the participants for Botswana mission events/programmes,
arrangement for workshops office meetings, maintenance of office minutes book and
arranging a meeting.
4. Assist with functions related to Human Resources Management including personnel filing,
preparation for interview, and assessments.
5. Assist with arrangement of accommodation, and transport for staff on TDY or STA.
6. Assist with close monitoring of cleaning and security services for the mission.
7. Assist with filling for the resource management unit for the Botswana mission
8. Assist with monitoring of delivery of office official documents and maintain letter record
book.
9. Assist with Preparing all requests for review by Chief of Mission and Resource
Management at the Regional Office before processing payments and ensure they are duly
completed, certified and authorized; and make sure that the necessary supporting
documents are provided before payment is made.
10. Assist in analysing and reconciling various Service Providers' Accounts such as phone
accounts, mobile phone bills, accommodation bills and IOM invoices to ensure that:
invoices are correct, projects are charged a true and fair cost of their usage, any private
usage is duly recovered /reimbursed
11. Provide general support to the Resource Management team in the absence of other
colleagues in the Unit.
12. Perform such other duties as may be assigned.

Required qualifications and Experience


Education

• BA Degree in Accounting, Business Management or Financial Management, or administrative


services with zero professional experience work experience in the Admin and Finance field.

Experience
• Sound knowledge of financial and administrative management and effective resource
management skills
• High level of computer literacy (MS Office Word, Excel and Outlook) in particular experience
in computerized accounting systems including SAP application
Skills

• Candidate should be highly motivated, with dynamic personality and the ability to work
under pressure to meet deadlines.
• Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities

Languages
Fluency in English is required for this position. Knowledge of local languages is an advantage.

Eligibility and Selection

In general, the Internship Programme aims at attracting talented students and graduates who:
• have a specific interest in, or whose studies have covered, areas relevant to IOM programmes and
activities,
• are holding a scholarship for internship placements in international organizations and/or for whom
internship is required to complete their studies,
• are sponsored by governmental/non-governmental institutions and/or academia to work in specific
areas relevant to both IOM and the sponsor,
• are enrolled in the final academic year of a first University Degree programme,
• are enrolled in a graduate school programme (second University Degree or equivalent, or higher);
• have graduated with a University Degree and, if selected, must commence the internship within
one year of graduation.
