Writing Letters Workshop

This handout is meant to teach you how to write a
correct letters using correct phrases for suitable
occasions.

Remember

• Always fill in the subject line with a specific topic


that means something to your reader.

• Put your main point in the opening sentence


Never begin a message in a vague way . Always specify
what you're writing about.

• Don't use ALL CAPITALS (no shouting!), or all lower-


case letters either.

Option 1: Answering a Letter of Enquiry

An email to a new customer who has written to your


university asking for information about classes .
Ideas:
thank them for writing; give some general
information; highlight a few selling points; say that
you are attaching detailed information in another
document; say that they can contact you again if
they have any queries.

Option 2: Letter of Information
• A letter to an existing customer giving them
some news about improvements to one of
your products/services.
Ideas:
• choose one particular product/service and
think about an improvement in terms of
quality, or variety, or speed etc. How will the
customer benefit from this improvement?

Option 3: Letter of Enquiry

A letter to a language school (or university)


asking about details/arrangements of a
course.
Ideas:
ask about cost, dates, accommodation etc.

Option 4: Letter of Enquiry
• A letter to a hotel asking for more
information.
Ideas:
• how you found out about the hotel; questions
about their prices; tell them the dates you
want; tell them the kind of room; ask about
other facilities that you need.

Option 5: Email a Visiting Colleague

• A letter to a colleague from another country


who is coming to visit your office.
Ideas:
• you could give them some good/bad news
about some aspect of the trip; you could
request that they bring something with them;
you could offer help while they are in your
country.

• A letter to a colleague giving some news
about a project.
Ideas:
• progress of the project; problems and possible
solutions; any budget or staffing issues; likely
outcome.

Option 7 : Giving News
• A letter to a colleague giving some news
about a meeting.
Ideas:
• the date has been changed; the agenda has
been changed; there is some important new
information.

Option 8 : Email a Friend
• A Letter to a friend giving some personal
news.
Ideas:
• a new job; a new flat; a mutual friend who
you met;

Option 9 : Job application
• Write an email as a cover page for a part -time job
you wish to apply for.{position of your choice}
Ideas:
• Remember to use three paragraphs.
• 1.Reason for writing.
• 2.Your background and experience. The job itself
and why you want it.
• Refer to your CV as the final comment after your
signature and contact details.
