ROLES, TASKS AND RESPONSIBILITIES OF THE IT

DEPARTMENT
The duties that the student has been undertaking are outlined as follows:
1) Management of Records
It involves the process of collecting all customer queries, quotations, invoices and job
records and file them into the archive room. It is also the students work to insure that the
records are arranged according to their year.
2) Maintenance of computers
It is the duty of the student to ensure that all the computers in the premises are in perfect
condition for most of the information stored in them are priceless and cannot be found
else if lost. Therefore the student installs the latest anti-virus software and also keeping it
updated. The student also physically cleans the computers to prevent dust.
3) Maintenance of the PABX( Private automatic branch exchange) and ISPBX
Having the ability to switch incoming calls from outside directly to extensions. Being digital
work we also have the ability to route not only speech calls but data, video, high quality
audio, and Group 4 Fax. These calls can also be connected internally from extension to
extension

services
5) Radio controlling

sending and receiving data with the required bandwidth instead inform the service
providers after resetting and diagnostics have failed.

OPPORTUNITIES, PROBLEMS, AND THE MEANS

ADOPTED FOR EXPLOITING AND OVERCOMING THE
PROBLEM.
Opportunities

The student had an opportunity to attend workshops held by the Steward bank and other
IT Steering committees to open wide his view of the Information Technology Industry.
Hence above all the student managed to gain exposure of the work related knowledge.
8

The writer comprehended that learning theoretically is not all that sufficient without
practical experiences of the real computing world.

Challenges faced

The student had also encountered problems in being assigned to some duties which were
over and above the student scope for instant the administrative duties of procurement or
acquisition of goods and services giving the student too much work load.
Some of the work done will not be directly linked to the field of learning like selling
electronic components.

Measures Adopted To Overcome These Problems

The student now works with the supervisor or tutor on certain duties which have not been
taught before. Although it is still a challenge that the system is offline the student was
given an external 1 terabyte hard drive that they use to back up all the documents from all
the computers so as to prevent data loss.

ORGANIZATIONAL CULTURE (I.E INDUSTRIAL

RELATIONS, NORMS, VALUES)
Student should know that punctuality is a virtue when coming for work, reporting is a must
because it gives feedback to the superior. For every institution there should be a conduct of good
public relations, Student should match with the organisations operational behaviours and be
sober always to fit in with the type of duties.
The Student should also comply with the IT Governance of the organisation and information
handling acts as the senior staff members of the organisation do to suit the public needs and not
to disclose some client companys secrets or information on security for example the CCTv
cameras which will be inserted on hidden positions
The institution did not set a rigid dress code rule as IT is not a white collar job always. When
going out for networking the student wears a company tshirt and a worksuit for flexible working.
On normal days the student is expected to dress in smart formal clothing and weekends smart
casual.

CONCLUSION
In summary, Juryfin Investments in not competition based and waits for its opportunities
to flow enabling it to perfect on the services it offer to its valued customers. Despite the
social-economic hardships prevailing nation-wide the company maintains its operations
and does not diversify into non IT related fields. Though facing such challenges, the
company is trying to increase effectiveness on its mission, vision and objectives. Even to
the extent of participating in student development through their educational curriculum
by engaging students to various departments of the organisation and imparting them with
relevant skills and knowledge towards real-life job environments and exposure which is
helpful and eye opening.
At the moment I have gained a lot of momentum on the professional handling of duties
and job scheduling, attaining some targets, coordinating different entities to job
completion through effective communication thus human relations and handling some
conflicts.
I have grown to be judgmental to the decisions I make when delegated authority t do
some work
