Rooming List
A final room list together with the flight details or other relevant data should be submitted to Sales or
Reservations at least seventy-two hours (72 hours) prior to arrival date.
All reservations booked by Agency should be covered by a Company Booking Order and sent to the
Hotel’s Reservations/Sales Office. All occupants of the room should be booked by the Agency. 1A
EXPRESS HOTEL shall impose the Hotel’s 3 rd person charge to the person who is not
booked/pre-registered by the Agency.

A “No-Show” charge equivalent to one hundred (100%) of the total guaranteed number of rooms,
number of nights and meals arrangements shall be billed to the Agency for guest/s who did not check-
in on the night of the reservation date.
Cancellation for individual bookings shall be charged a fee equivalent to one hundred (100%) of
the total guaranteed rooms and meals arrangements in case the Agency fails to notify the Hotel seven
(7) days prior to the expected arrival of guest/s.
Cancellation for group bookings shall be charged a fee equivalent to a fifty percent (50%) of the
total guaranteed rooms and meals arrangements in case the Agency fails to notify the Hotel fifteen
(15) days prior to the expected arrival of guests.’
Cancellation made three (3) days prior to the expected arrival shall be charged a fee equivalent
to one hundred percent (100%) of the total guaranteed rooms and meals arrangement.
Full duration of stay mentioned in the Booking Order provided shall be charged to the Travel
Agent in cases where in the guest/s shorten their stay / check-out at an earlier date.
Should the guest/s extend his stay beyond the original reservation or booking made, the Hotel will
inform the Travel Agent of the guest’s extension request subject to the prevailing selling rate.
Travel Agent will have to send a Revised Booking Order indicating the new check-out date
During high occupancy and / or closed out dates, the Travel Agent shall be informed of the
selling rate or package available for such period, which will be commissionable at ten percent
(10%) upon receipt of a Revised Booking Order
Assignment of hotel rooms shall be at the discretion of the Hotel. However, if requests for rooms are
received with sufficient advance notice, all efforts shall be made to honor such request.
The Hotel shall inform the travel agency of any CLOSED-OUT dates. During this period, the travel agency
will have to contact the hotel for reservations availability.
Should the actual materialized booking be more than the minimum number of rooms stipulated, the engager
shall be billed for the actual number of rooms occupied.
All payments must be settled on or before the option date in cash, bank transfers, company and/or
manager’s cheque or credit card.
If payment is to be settled through fund transfer, please forward a copy of the deposit slip transmittal form
and cheque payment to the hotel or thru email [email protected] for our reference and proper
monitoring of deposits made. All cheque payments should be made payable in favor of 1A EXPRESS
HOTEL. For U.S. Dollar rates, please be informed that the exchange rate to be used, which is subject to
change without prior notice, will be based on the prevailing room posting rate.
For Agency holding office outside the Philippines, a bank draft or telegraphic transfer shall be required.
Bank charges incidental to the transfer shall be borne by the Agency.
CONFIRMATION VOUCHER
Please provide necessary hotel vouchers to facilitate guest/s check-in. All confirmed and arriving guests
must present hotel vouchers upon check-in. Please provide us a copy of your approved and valid hotel
vouchers.
CONFIDENTIALITY
All information contained in this agreement are private and confidential and may not be disclosed or
obligated to a third party for whatever reason or purpose.
NON-COMPLIANCE
If required deposits, guarantees, or payments are not received by the dates indicated, regrettably, the
reservations may be subject to cancellation without prior notice. Reinstatement of the reservation can only
be made upon receipt of payment and to the extent that rooms are then available.
EXCLUSION OF LIABILITY
The Hotel will not be held responsible for failure to execute obligations specified herein directly or
indirectly occasioned by or through or in consequence of war, change of statues of the Philippine
Government, strikes, riots and acts of God or conditions beyond the control of the Hotel.
In the event of non-performance due to the above reasons, the Hotel shall refund in full the deposits
received.
EXCLUSIVITY
Rates quoted shall apply only to FIT/GIT bookings. The Hotel reserves the right to revoke this agreement
should any of the above terms are disregarded.
IMAGE
All advertising and print mediums used by the travel agent to promote the hotel must have prior approval.
The hotel will endeavor to support activities to ensure that the hotels’ image is projected at required
standards and expectations.
E-COMMERCE
Rates are not valid for E-commerce promotions; prior approval is required and a separate contract will be
made and approved by both parties.
The standard check-in time starts at 3:00 pm. The standard check-out time is 12:00 noon. We collect
incidental deposit of P1,000.00 per room. Upon check-in, kindly present a valid I.D for all the guests staying in
the rooms. All rooms are non-smoking, A P4,000.00 cleaning fee will be charged for smoking inside the
room. No pets are allowed. Requests for early check-in and/or late check-out may be accommodated
depending on room availability and charges.
OTHER CONDITIONS
The Hotel shall not be liable for any loss or damage or injury to the person or property of the client or any
of its guests, sustained while in the Hotel premises and/or outside of the hotel for activities coordinated by
the hotel except when such loss, damage or injury is due to the willful act or gross negligence of the Hotel
or any of the employees.
The Hotel does not permit the staging of indecent, lewd and/or other shows or presentations that go against
normally acceptable moral norms or standards. Furthermore, Hotel Management shall have the right to stop
such acts if client conceals such intention from the Hotel.
