1. ABSTRACT
The “Payroll and Attendance Management System” is designed to make the existing
manual system automatic with the help of computerised equipment and computer software,
fulfilling their requirements, so that their valuable data and information can be stored for a
longer period with easy access, manipulation and longer retention time of the same.
The required software is easily available and also easy to work with. This web application
which is developed using HTML, CSS, JavaScript, PHP, JQuery and MySQL can maintain
and view computerised records without getting redundant entries.
The project describes how to manage employee data for better performance and functioning
of the organisation which helps to provide better services for the clients.
Employees’ morale is affected by payroll administration and employee is the main resource
of any organization. Employees should be paid sufficiently to motivate employees.
2. INTRODUCTION
OVERVIEW:
The proposed project “Attendance and Payroll Management System” has been developed to
overcome the problems faced in the practicing of manual system. This software is built to
eliminate and in some cases reduce the hardships faced by the existing manual system.
Moreover this system is designed for particular need of the company to carry out its
operations in a smooth and effective manner. This web application is reduced as much as
possible to avoid errors while entering data. It also provides error message while entering
invalid data. It is user-friendly as no formal knowledge is required to use the system. Human
resource challenges are faced by every organization which has to be overcome by the
organization. Every organization has different employee and payroll management needs.
Therefore I have designed exclusive Payroll and Attendance Management System that are
adapted to the organization’s Managerial Requirements.
PURPOSE:
The purpose of this document is to describe the functionality and specifications of the design
of a web application for Managing Employees and their payroll. The expected audiences of
this document are the developers and the admin of the web application.
Now with the help of this system the administrator or the HR accountant has the information
on his/her finger tips and can easily prepare better records and reports based on their
requirements.
Finally, we can say that this system will not only automate the process but save the valuable
time of the manager or the admin, which can be well utilized by his company or organisation.
This will be an additional advantage and management of power based on their free time from
his/her normal duty.
ABOUT PHP:
PHP: Hypertext Preprocessor (or simply PHP) is a general-purpose programming

language originally designed for web development. It was originally created by Rasmus
Lerdorf in 1994; the PHP reference implementation is now produced by The PHP
Group. PHP originally stood for Personal Home Page, but it now stands for the recursive
initialism PHP: Hypertext Preprocessor.
PHP code may be executed with a command line interface (CLI), embedded
into HTML code, or it can be used in combination with various web template systems, web
content management systems, and web frameworks. PHP code is usually processed by a
PHP interpreter implemented as a module in a web server or as a Common Gateway
Interface (CGI) executable. The web server combines the results of the interpreted and
executed PHP code, which may be any type of data, including images, with the generated
web page.
3. WORKING OF THE PROJECT
 Admin has full control of the system. All the functions are to be performed from Admin
panel. From here, the admin can view attendance, add, edit, remove and list employees,
manage overtime, cash advance, schedules, deductions, positions, and list Payroll.
 The other feature is that the system automatically generates the attendance statistics in the
form of bar graph representing Number of On time and Late of each month and year.
While adding employees, he/she has to provide the First name, last name, address, birth
date, contact info, gender, position, and schedule and upload a photo.
 The user can also update his/her profile, change passwords and profile pictures anytime.
While managing Overtime of the employees the user has to provide Employee’s id with
date, number of hours, number of minutes and rate.
 Likewise while managing the record of Advance cash given to the employees, the admin
should provide Employee id with Amount. The other important functions include
Deductions, Positions, Payroll.
 While adding deductions he/she should provide description and amount to be deducted.
The system automatically generates Payroll with each employee’s net pay including all
their Gross, Deductions and Cash Advance.
 A clean and responsive dashboard is provided in the admin panel for the easy
management of the system.
 Attendance and Payroll Management system helps in easy management of the Company
for employee’s attendance and payroll. Design of this project is pretty and responsive so
that user won’t find it difficult to understand, use and navigate.
4. CONCLUSION
The project on Attendance and Payroll Management System under the organization Webmart
Soft Solutions helped me to gain in depth knowledge about how any web development
project is planned from its inception, its division of work, including the UI and all the
programming and technical aspects which is necessary in the backend.
The project also looked into theoretically studying the concepts of web development and how
they are being carried out by companies like Webmart Soft Solutions.
Also, error handling and checking is also an important part in any project, which helps in
improving the system and making it convenient for the customers to use it.
