MODULE 2: WORKING WITH MULTIMEDIA AND REHEARSING AND DELIVERING A


PRESENTATION

INTRODUCTION
You have learned in the previous topics on how to format our presentation, use
transition effects and animating texts and objects on a slide. At this point, you shall learn to work with
multimedia, rehearse and time the delivery of a presentation and running a slide show. These
functions are important especially when we are about to present what we have done and to know what
will be the do’s and don’ts during a presentation. What are the functions that we need to know so that
our presentation will run smoothly.

OBJECTIVES:
This module is designed for you to:
1. determine the steps on how to insert, change and remove audio to slides in the presentation:
2. create a draft layout of their PowerPoint presentation;
3. design their layout on PowerPoint slides applying all skills acquired from the
previous lessons; and
4. complete their layout by adding transitions and animation effects to their slides.

LESSON PROPER/DISCUSSION
In this lesson, you will learn how to insert and play audio and video files, as well as
sound tracks in your presentation. You will see how to manage your sound files and package all
linked files together with the presentation. In this manner, it will attract more viewers together
with the animation and transition of your presentation.

Inserting sounds from the clip organizer:


1. In normal view, select the slide that will have the sound.

2. Click the insert tab, and click the sound down arrow in the media
clips group.

3. Click sound from clip organizer.

4. Under search for on the clip art task pane, type the subject, such as
laugh, etc.

5. In the search in drop – down list box,, click the sources you want to
search.

6. In the results should be drop – down list box, sounds should


be selected.

7. Click go.
8. When the sound files are displayed in the preview of
thumbnails, click the drop – down arrow on the side of the
thumbnail and click preview/properties to hear the sound.

9. If you want to hear it again, click play button.

10. To insert the sound, on the clip art task pane, double click
the thumbnail of the sound file you want.

11. A message is displayed, asking how you want the sound to


start in the slide show.

12. A sound icon will appear on the slide.

Insert a sound from a file:


1. In normal view, select the slide that you want to have the
sound.

2. Click the insert tab, click the sound down arrow, and click sound from file.

3. The insert sound dialog box will


appear.

4. Find and select your sound file


and click ok.

5. Click automatically to have the sound


played whenever the slide is
displayed.

6. Click the when clicked to have the


sound played when you click
the mouse.

7. Drag it to an unnoticeable spot on


your slide.

Using video files in your presentation


Insert a video
1. Select the slide that will contain the video.

2. Click the insert tab, click the movie down arrow in the media clip group, and from the
pop – up menu, click the source of your
video.

3. Find your video file and insert into the


selected slide.

4. You will see a message asking how to start


a movie.

Change start or play times


1. You can delay the start of the video until a certain time after a slide has been displayed, or
after a certain time after a slide has been displayed, or after a certain sequence.

2. To display the custom animation task pane, click the animation tab, and click custom
animation on the animation group.

3. In the effects list of the task pane, select the paly effect for the video.
4. Open the effects menu by clicking the down arrow. Select timing, the effect option dialog box
is displayed with the timing tab open.

*Here are some of the video file formats that you can insert in your PowerPoint presentation.
• gif – Graphic Interchange Format

• mpg – Moving Picture Experts Group

• wmv – Windows Media Video

• avi – Audio Video Interleave

You can rehearse your presentation to make sure that it fits within a certain time frame, while you
rehearse, use the slide timing feature to record the time that you want/need to present each slide, and
then use the recorded time to advance the slides automatically when you give your presentation to
your actual audience.

Rehearse and time the delivery of a presentation


1. On the slide show tab, in the set up group, click rehearse timing.

2. While you time your presentation, do one or more of the following on the rehearsal toolbar.

3. After you set the time for the last slide, a message box will display the total time for
the presentation.

Turn the recorded slide timing off before you give a presentation:
1. On the slide show tab, in the set – up group, clear the use rehearsal timings check box.

2. To turn the slide timing on once again, select the use rehearsals timings check box.

*Rehearsal and timing your presentation is essential to make sure that it fits within a certain time
frame.

The next topic will help you to display the output of your PowerPoint presentation. In the beginning,
you have learned a few tips on how to display your presentation in full view. This time, you will learn
more than that.

To automate a slide show:


1. Open your presentation and click a slide to select it.
2. Click the animations tab, and then, in the transition to this slide group, click the automatically
after spinners to set the number of seconds.

3. In the transition to this slide group, click apply to all.

4. To allow the viewer to manipulate the slide show, click the slideshow tab, and click set up
slide show dialog box appears.

5. Click ok to close the set up show dialog box.

Navigating a slide show:


• Click the slide show icon to start at the current slide.

• Click the slide show tab, and click from beginning in the start slide show group to view the
presentation from the beginning.

• Press F5 to view the presentation from the beginning.

• Press shift+F5 to view the presentation from the current slide onwards.

FORMATIVE ASSESSMENT

Now, it is your turn to try these out! This 20-item formative assessment aims to help
you practice the skills you have acquired from the module. It will further help you master the
concepts and skills, thus prepares you for the summative assessment.

Slide Transitions 1. These are the animation – like effects that occur in slide show view
when you move from one slide to the next.

Action buttons 2. These can be inserted in the beginning of slide of a video to acts as
triggers for starting, pausing, and stopping the video.

More 4. You can click this button to see more transition effects in the quick
stylist list.

Automatically After 5. This applies when one slide will advance to another.

At this point, you are now ready to take the summative assessment for module 1. You can

2. Download video files from the internet.


3. Insert the video in your presentation to present the result of your research conducted.

4. Insert the necessary visual and audio effects to enhance the overall presentation.

5. Your project will be assessed based on the following criteria:


• Layout – 30%
• Contents and organization of ideas – 30%
• Audio and visual effects – 40%

6. Save your presentation. Name it as ‘Causes and effects (Last Name & Section)’
