Alumni Relations Coordinator - 66024


Description

JOB PURPOSE
Reporting to the Director of Alumni Relations, the Alumni Relations Coordinator works with alumni volunteers,
faculty, students, the Stanford Law School Office of External Relations, and other law school and University
colleagues to implement activities, programs, services, and communications that reach, serve, and engage
alumni. Implement and staff alumni programs.

CORE DUTIES

Provide excellent customer service to alumni and others in response to phone, email inquiries, and
requests for information.
Manage email and on-line event invitations, registration, attendance tracking, and post-event details for
law chapter events, affinity programs, annual Board of Visitors meeting and Alumni Weekend.
Assist with coordination of programs and event logistics.
Coordinate on-site registration for large external programs.
Produce and distribute promotional materials in print and online.
Work with alumni relations team to train volunteers on Groups Module.
Assist with tracking expenses, variance reporting, and submitting and paying all purchase requisitions and
invoices on a timely basis.
Use database to produce reports, name tags seating charts and guest lists for programs.
Compile and track data about alumni participation and volunteerism.
Provide program and administrative support to alumni relations team.
Recruit and oversee student workers and temporary/casual workers to assist with clerical tasks such as
data entry, errands, and mailings.
Partner with Assistant Director to develop and implement social media strategy.
Support the Assistant Director to create classbooks for reunion classes.
Other duties may also be assigned.

Qualifications

Bachelor’s Degree and one year of relevant experience or combination of education and relevant
experience.
Strong written and verbal communication skills.
Ability to work independently and as part of a team to meet expected deadlines and schedules.
Excellent customer service skills.
Ability to multi-task, prioritize work, and coordinate across departments and reporting lines.
Computer proficiency and the ability to learn new systems.
Detail oriented.
Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.
Valid California Non-commercial Class Driver’s License.

PHYSICAL REQUIREMENTS

Constantly perform desk-based tasks.


Frequently stand/walk, sit.
Occasionally grasp forcefully, use a telephone, lift/carry/push/pull objects that weigh up to 40 pounds.
Rarely writing by hand, sort/file paperwork or parts.
Ability to obtain and maintain a California Non-commercial Class license.

WORKING CONDITIONS
Occasional work on evenings and weekends.
May work outdoors.
Possible travel within the Bay Area.

University driving requirements.

ABOUT THE DEPARTMENT


The alumni relations team is part of the Office of External Relations, which includes development, stewardship,
and corporate and foundation relations. The alumni relations team works with faculty, staff, and volunteers to
develop programs to engage alumni, donors, parents, friends, and prospective donors in order to strengthen their
ties with Stanford Law School, one another, and enhance their willingness to provide financial support for the
school.
