SUMMARY

This report is based on the tasks undertaken as well as my opportunity to apply the theoretical
knowledge at the PEOPLE’S BANK OF ZANZIBAR LIMITED (PBZ LTD) acquired in
class at the UNIVERSITY OF DAR ES SALAAM (UDSM). It highlights different activities
that performed at the PBZ LTD in Customer’s Services Department and Operation’s Department
during my field training and the skills that I acquired when exercised various duties that were
assigned to me.

This report gives a full picture about introduction on the general information about the
organization, the type of an organization, major services, organization structures, number of
employees, organization activities, level of technology of the organization, customers to the
organization as well as the strategic direction.

Also this report explain about the activities performed, mainly indicating my placement in the
organization, description of the tasks and duties performed, working environment at the
organization and lessons learnt in the organization. Also problem faced in executing the task and
how problems were solved, things learnt as being part of the organization and the employment
prospects from the Organization.

All in all is conclusion and Recommendation that includes the recommendation concerning
improving the gaps in teaching theory and practice, also it includes the recommendation to
UNIVERSITY OF DAR ES SALAAM (UDSM) on handling gaps in the placement process
(suggestion to improve the program, in term of planning and operational logistic) . The last part
gives a look on references and appendix

CHAPTER ONE

1.0 INTRODUCTION
This chapter mainly explains about type of organization that field is undertaken, major
products/services that organization dealing with, organization structure, number of employees in
organization, activities of organization, level of technology, customers and strategic direction.

1.2 TYPES OF BUSINESS/ORGANIZATION


People’s Bank of Zanzibar Limited (PBZ LTD) is government organization located at CHAKE
CHAKE- PEMBA. It is the one among the branch with head office in Zanzibar. It provides
banking services like accepting deposit, advancement of loans, and provision of financial advice
as other banks do.

HISTORICAL BACKROUND OF PBZ LTD

PBZ LTD was founded in 1966 by the government of Zanzibar; it functions as retail banking,
serving individual, small and medium enterprise (SMEs) and large corporate clients. Initially, its
service area was limited to the island of Zanzibar (Unguja) and Pemba.
In April 2011, the bank opened a new branch dare salaam on the mainland. As of May 2012 it
planned new branches in Mwanza, Arusha, Mtwara and Mbeya. In December 2011, the bank
launched Islamic bank window in addition to the conventional banking service that it offers.

1.2 MAJOR PRODUCTS/SERVICES


The Peoples Bank of Zanzibar limited is service institution, the main services dealing with is
accepting deposit of different customers both low and high income earner, also PBZ LTD
provides loans to intended customer, foreign currency exchange, remittance of fund, ATM
services, mobile banking, check payment, overdraft and internet banking.

1.3 ORGANIZATION SRUCTURE


PBZ LTD has many branches around Tanzania. The branch structure of CHAKE CHAKE is
made up by Branch manager, Accountant and four departments. These departments include
Customers services department, Credit /Loans department, Cash department and Operation
department.

1.3.1 BRANCH MANAGER
Branch manager is the head of branch concerning with signing special document before being
processed such as money transfer form. Also the manager dealing with provision of training to
new members, coaching, motivation and sharing knowledge with other branches and head office
on effective practice and other related activities.

1.3.2 ACCOUNTANT
The accountant is the main supervisor of all supervisors in all departments and sometime
represents branch manager when he is absent. He is dealing with accounting works, verification
of signature, signing various documents, making interbank settlement and telegraphic transfer.

1.3.3 CUSROMERS SERVICES DEPARTMENT


This department is the face of institution that play important role of making customers relation. It
is concerning with many activities such as directing customers on different matters, account
opening, checking customers balance, filling, printing and photocopying, provision of bank
statement and other related activities. This department is headed by customer’s service officer
(SCSO).

1.3.4 LOAN/CREDIT DEPARTMENT


Tis department id headed by senior loan officer (SLO) and it is dealing with loans matters. It
provides guideline on all rules and condition to clients concerning with loans. In addition to that,
loan department also is responsible for making and verification of ATM card.

1.3.5 CASH DEPARTMENT


Cash department is dealing with the receiving deposit and payment of cash to clients. The
settlement is complete at the counter where the customers bring pay in slip or check document
for payment. The cashier complete the transaction if and only if the slip or check document is
valid and contain no mistakes. The cash department is headed by chief teller/cashier.

1.3.6 OPERATION DEPARTMENT


This department is responsible for daily operation activities at the bank. It is controlled by senior
operation officer (SOO). This department is concerning with internal transfer of fund from PBZ
LTD to PBZ LTD in the same or different branch and make checks clearance.
1.4 NUMBER OF EMPLOYEE IN AN ORGANIZATION
Currently PBZ LTD has employed approximately 607 employees as a whole but in this branch
there are only 39 employees from various departments. In this branch there are both men and
women employees but the number of women are very few compared with men.

1.5 ACTIVITIES OF THE PBZ LTD


PBZ LTD is the service institution, its activities is to provides banking services such as accepting
deposit, advancement of loans, remittance of fund, exchange foreign currency, provision of
internet banking, mobile banking, ATM services, check payment and overdraft.

1.6 LEVEL OF TECHNOLOGY OF PBZ LTD


Due to rapid growth of science and technology in the modern business world, PBZ LD has taken
number of measure toward automaton of its services. The most of its activities within the
organization done in computerized system. In addition the PBZ LTD also has modern cleaning
facilities, means of communications, security camera and so on. The technology that currently
applied in this organization includes internet banking, mobile banking and Xpress money
services.

1.6.1 INTERNET BANKING


PBZ LTD introduce internet banking system that enables its clients to make transaction
anywhere without physical going to the counter. Through this service the customer can access
wide range of banking services such as transfer of money, printing bank statement, checking
transaction that has taken place in their account and other services without physical going to
bank.

1.6.2 MOBILE BANKING


PBZ LTD also provides mobile banking services that enable its clients to make transaction
through telephone. Through these services the customers can transfer his/her money from his/her
bank account to his/her TIGO PESA, AIRTEL MONEY, M-PESA and other lines systems
without going to bank. Also through mobile banking the customer can access its bank account to
check balance and even transfer his/her fund from his/her account number to other account
number in the sane or other branches of PBZ LTD.
1.6.3 XPRESS MONEY SERVICES/INTERNATIONAL MONEY TRANSFER
PBZ LTD currently employed other system so called Xpress money/Western union. This system
enables PBZ LTD to make foreign currency payment to customer within and outside countries.
The bank also introduced the M-PESA and TIGO PESA Xpress services that assist clients to
deposit and withdraw money using mobile phones.

1.7 CUSTOMERS
The PBZ LTD has lot of customers within and outside the country. It is about 95% of its
customers is citizens of Tanzania and just 5% are non-citizens. The PBZ LTD launched lot of
customers because its services are provided at cheap price and also maintained different kind of
bank accounts such as SAVING account, CURRENT account, FIXED deposit account and
STARA account that help both low and high income earner to have account in PBZ LTD to save
their money. Furthermore the PBZ LTD advances loans to its clients at fair interest rate, this
motivated more people to have account in PBZ LTD.

1.8 STRATEGIC DIRECTION


The PBZ LTD has aimed to expand its services by introducing other branches and service
centers around Tanzania to serve people of remote area. This project now is in progress and yield
more employment opportunities to residence of Tanzania.

Also the PBZ LTD has intended to establish BOT department to facilitate and improve the
qualities of its services to clients and other banks like CRDB and NMB. The BOT department
will be dealing with different issues but the main objective is concerning with supplying foreign
currencies to other banks. This project also now is in progress and it has been implemented I
some branches of PBZ LTD such as MALINDI PBZ branch in Zanzibar.

CHAPTER TWO
ACTIVITIES PERFORMED

2.0 INTRODUCTION
This chapter generally explains on activities that were performed, my placement in the
organization (PBZ LTD), working environment in the organization during my practical training,
challenges and problems faced in executing the tasks and how I solved them, my expectation
before going for training, things that I have learned as being part of an organization, the gape in
teaching between theory and practice, the employment prospects and the relevant of attachment.
2.1 PLACEMENT IN THE ORGANIZATION
I was conducted my practical training in the People’s Bank of Zanzibar Limited (PBZ LTD) in
Customers service department and Operation department. For the first four weeks I was in
Customers service department and the rest four weeks in Operation department, although I was
getting one hour training from accountant in each day before going to placed department for
work.

2.2 DESCRIPTION OF DUTIES AND TASKS PERFORMED


The activities that I have undertaken in these two departments together with that of accountancy
include, orientation, account opening, checking customers balance and other particulars,
preparation of bank statement, making transfer of fund, filling, scanning, printing and
photocopying, checks Clarence, writing checks and filling other forms.

2.2.1 ORIENTATION
This was done during the two days of the first week I arrived. I had a chance to be introduced to
other staffs in all departments and I was given the code of conduct, explanation regarding
working environment, authorization of duties and branch structure of PBZ LTD.

2.2.2 ACCOUNT OPENING


This is the one of the function I was undertaking during my field period. To open the account the
customer is given a form to fill in and attach all requirement, after that the customer return a
form to customers service department to put them in the system. The PBZ LTD offers various
accounts such as saving account, fixed deposit account, joint account, current account, minor
account and so on.

2.2.3 CHECKING CUSTOMER’S BALANCE AND OTHER PARTICULARS


Another activities I was undertaken is to check customers balance and other details. This happen
when customers get to know what is current balance and how much is able to withdraw from
their accounts before going to Teller or Cashier. Also the same system that is used to display
customers balance enables to see customer’s particulars such as signature, picture, address and
phone number of clients.

2.2.4 PREPARETION OF BANK STATEMENT


Bank statement is the printed record of balance in a bank account that have been paid into it and
withdrawn from it. It is issued to customer whenever they require it. The bank statement includes
bank name, depositor’s name, account number, date, beginning balance, amount paid into
account, amount withdrawal and ending balance of customers account.

2.2.5 MAKING TRANSFER OF MONEY


This is the transfer of fund from one account to another account. The PBZ LTD has three system
of money transfer; these are internal transfer (IT), telegraphic transfer (TT), and Tanzania
interbank settlement system (TISS).

2.2.5.1 INTERNAL TRANSFER (IT)


This is dealing with transfer of fund within the same bank from PBZ LTD to PBZ LTD in the
same or other branch of PBZ LTD.

2.2.5.2 TELEGRAPHIC TRANSFER (TT)


Telegraphic transfer is concerning with the transfer of fund from PBZ LTD to other bank at
abroad. This system is very important to foreigners and other traders who operate international
trade such as exporters and importers.

2.2.5.3 TANZANIA INTERBANK SETTLEMENT SYSTEM (TISS)


This system helps customer who can transfer his/her fund from PBZ LTD to other type of banks
around Tanzania such as NMB, CRDB, NBC and other banks.

2.2.6 FILLING, SCANNING, PRINTING AND PHOTOCOPYING


These were also daily works I was undertaking when it is needed to do so. The PBZ LTD is
dealing with many documents some of them include bank statement, checks list, forms of money
transfer, letters from customers and other documents such as form of opening accounts.

2.2.7 CHECKS CLEARENCE


This is the payment of checks to specified person as per order of account holder. The checks
cleared can be bulk checks (multiple checks) or single checks. The PBZ LTD has two different
systems to clear each type of check. The check is said to be valid and can be cleared if all
material contained are correct, example date, amount in figure and words, account number, name
of employee and official stump when necessary.
2.2.8 WRITING CHECKS AND FILLING OTHER FORMS
Another activity that I was undertaken is to direct customers to write a valid check and filling
other forms such as writing receipts and vouchers, filling form of opening account and form of
money transfer.

2.3 WORKING ENVIRONMENT


PBZ LTD is normally working as a team or family. In first two weeks I was undertaking
activities under close supervision and thereafter I worked as a normal employee under no
supervision, this freedom had given me a chance of being creativity and innovative in solving
various problems that might arise during the work hour.

At a time I was working in collaboration with my co-workers and other students who pursued
their practical training in PBZ LTD.

Generally PBZ LTD working environment is amazing and cooperative for all employees and
they are in trusting on practical training students as they treat them as an employed worker.

2.4 INTERST ON DUTIES/TASK PERFORMED


At a time that I was worked in PBZ LTD as trainee all duties and tasks were interesting and
enjoyable as they focused mostly to my career and enable me to put theory in practice and
knowing some of my weakness and strength. I had good experience at working during the whole
process of training.

I also worked with friendly people who made me enjoy the profession and make it more
interesting since most of them were very competent and had positive idea to me. This situation
enables me to work very confidential at all the time I was with them in an organization.

2.5 DEGRE OF MEETING THE DEMAND OF ASSIGNED DUTIES


Most of task I was undertaking are concerning with dealing directly with customers and other
tasks I was assigned such as checks clearance, transfer of fund and scanning documents were
supposed to be completed at specified period of time and I managed to meet the demand of such
tasks before deadline. All in all the demand of assigned duties in the area of placement were met
to the extent of time and supervisor appreciated more my presence as more activities were
completed on time and more customers were served accordingly.
2.6 PROBLEMS FACED IN EXCUTING DUTIES/TASKS
During my practical training most of activities undertaken and general working environment
were good and interesting, although there are few problems and weakness in an organization
some of problems I tried to solve them and some of them were beyond of my power.

2.6.1 PROBLEMS OF INCOMPLETE INSTRUCTION FROM MY SUPERVISER


Sometime my supervisor gives me short and quick instruction that is not absolutely open, this
gives me hard time to think more on what he has instructed me but I think it was a part of
measuring my ability and understandings.

2.6.2 PROBLEM OF INSUFFICIENT OF COMPUTER SET


PBZ LTD has small number of computers that are fit and can operate properly as some of
computers had technical problem. Initially I was sharing one computer but after three weeks I
was given my own computer since two employees took an annual leave.

2.6.3 PROBLEM OF SMALL NUMBER OF EMPLOYEES


As compared with activities done and numbers of customers served, the PBZ LTD has shortage
of employees and this situation makes us to have less time for resting and sometime forced us to
work beyond working hours.

2.7 SOLUTIONS TO THE PROBLEMS FACED


From the problem of incomplete instruction given me from my supervisor, I tried to deal with it
myself by deep thinking on what I was instructed and when I fail to do what was intended to be
done I ask him to give me full instruction. This makes me to be more creative and confident on a
work.

On issues of shortage of computers and number of employees were not under my control,
although I gave an advice to my supervisor and branch manager on how to deal with them.

2.8 EXPECTATION BEFORE TRAINING


As it is normally known that, the people have an attendance of having imagination and lot of
expectation before entering into new environment, this also happen to students before starting
his/her practical training to any organization at any department. Before going for practical
training there were things that I as a student expect to face in the organization, some were met
and some were not.
I as a student of accounting most of task assigned to me was relevant. The tasks like transfer of
fund and check clearance were most relevant as I expected before. Also I expected workers in
this organization to be very friendly to me and it was the same as I expected.

Lastly but not definitely least to create new friends and familiarity to potential employees for the
future employment prospects and benefits in the future life was also among higher expectation
before I begin practical training. In fact the workers of PBZ LTD are cooperative and work
friendly and as a family.

2.9 NEW THINGS LEARNT FROM TRAINING/BEING IN THE


ORGANIZATATION
During a practical training a student had opportunity to capture number of new knowledge and
skill from his/her attachment place. These new things were learnt through computerized system
and manually respectively.

Ethical value

I had opportunity to study some important value such as to be competent, honesty and integrity
in dealing with different duties and tasks, commitment and motivation to the achievement of goal
and objectives. I also learned how working relation influence performance of organization and
managed to know the behavior of various people and how to interact with them.

Communication skill

Also I as a student I managed to learn how to communicate fairly with different kind of people
due to higher interaction I had with them.

2.10 GAPS IN THE TEACHING THEORY AND PRACTICE


The measure purpose of practical training program is to enhance student to apply the theoretical
knowledge obtained in the class into practical while in a field area. Therefore is the obvious
expected that student has knowledge and some expectation of how things are done infield even
before attached to field area. But because of differences in organization policies, internal control
system and existence of dynamic business or working environment a variation between theories
learned in class and real practical in the field area is inevitable.
During my practical training I came to notify that, it is very simple and easier to understand
trough practice rather than theory. It took me very little time to be aware of how things are done
compared to when I was taught theoretical in the class.

On the side that is concerning with accounting course, it seem that the course put more emphasis
on theory which is difficult to understand than using practical approach of learning.

Therefore, UDBS should teach module such as accounting packages as a course and other matter
that are likely to be met at working environment especially for student who taking accounting
course in order to make conducive environment for student when they are at working place.

2.11 EMPLOYMENT PROSPECT


The PBZ LTD is the service institution that renders its services in most area of Tanzania and it
planned to increase the number of branches and services center to whole Tanzania.

I as a student who have dream of working in one of the branch of PBZ LTD I would like to be
employed to this organization and I believe that the organization would not hesitate to have me
as employee for they really appreciated the level of cooperation, interaction, discipline and hard
work I displayed throughout my time with them. Although no formal promise for employment
was made but I got an advice from my supervisor and other staffs that I should apply for a job at
PBZ LTD as soon as I complete my study.

2.12 RELEVANT OF THE ATTACHMENT


During my practical training at PBZ LTD I was attached at relevant place and assigned duties
which were very much relate to my professional and interest. Moreover there were many things
which I was in need to know them for betterment of my career.

Thus during my practical training the attachment was relevant to what I was studying at class as
well as to what I will later need in my career.

Furthermore, being exposed to corporate environment and learning the corporate culture of PBZ
LTD were things of great relevance to me. Likewise the people I met, the connection I establish,
the good I created, the attitude and prospective that I now have as a result of attachment and
other seemingly little but actual very important skills I gained, particularly regarding human
relation are the further attest to the relevance of my attachment.
CHAPTER THREE
CONCLUTION AND RECOMMANDATION

3.0 CONCLUTION
Accordingly practical training is imperative and paramount to both students and to the University
as a whole. It enhance students to learn and understand many practical training program which
are not covered in classes and provide the ground for student to strengthen the theoretical
knowledge obtained in class into practice necessary for their career. Therefore student can
integrate their theory into practice.

The training exposes the students to new challenges and enables students to experience different
working environment before they actual employed upon completion of the studies.

The training also helps to be familiar with the organization environmental activities performed
and building good relationship with customers and co-workers. In fact I enjoyed working in PBZ
LTD simply because I managed to meet almost of my expectation.

Therefore practical training is essential and should be carried on for students to be competent by
obtaining new knowledge, integrating theory and practice, develop habit of rigorous thinking,
enhance attitude toward specialization in working place and get exposed to managerial
responsibilities. Furthermore during practical training firms are able to receive new idea, get
flexible and adoptable labor force that are eager to work well in team and do also building closer
link with collage and universities.

3.1 RECOMMENDATION
In fact practical training is the most interesting course to students because it is simple to grasp
things practically than by using theory itself. Therefore theoretical knowledge has to be
supplemented by practice to improve understanding of material learned in the class.

3.2 SUGGESTIONS CONCERNING IMPROVING THE GAPS IN TEACHING


THEORY AND PRACTICE
Firstly, I suggest the Extension of practical training period; the practical training for eight (8)
weeks is not enough to conduct the whole program, this is because there are many things to learn
during this period. Therefore I request to use the whole semester for practical training so as to get
chance of learning more activities and obtaining enough experience at work.

Secondly, I suggest the teaching of computer by practice; due to advancement of information and
technology the students should taught accounting package like tally, quick book and pasted
which are of great importance to student taking this course.

I am confident that many organizations will agree with this argument since students from
universities are proactive and perform well during practical training period and so add value to
organization.

3.3 RECOMMENDATION ON IMPROVING THE PROGRAM IN TERM OF


PLANNING AND OPERATIONAL LOGISTICS
To cope with gaps in placement process the following should be done

The student should be given guidance on what they are going to do and should be covered at
practical training place for the whole period. The guidance should insist freedom of students to
choose as to which particular section of organization they would like to be placed according to
the area of studying.

Still to now, many organization are reluctant on accepting students for practical training,
therefore the UDBS should prepares workshops, seminars and advertisement which will give
education to those organization about importance of practical training to both students and
organization itself. This will increase awareness of practical training to all enterprises around
Tanzania and make students acceptance at organization easily.

Lastly, I would like to appreciate the effort made by University of Dare salaam Business school
management and field coordinator team to oversee the crucial event which purify the working
force of future beside of the scarce of place for students field attachment and the large number of
students within the country from different institutions/universities who demand field attachment
but almost all students at the University were able to get through this course.
