FACTORS INFLUENCING FACULTY AND

STAFF RELATIONSHIP

INTRODUCTION:--

A good relationship of faculty and staff working in an institute is very necessary for sound
functioning of institute. There are some factors which influence this relation to a great extent,
by maintaining those factors any institute can able to achieve its goal effectively and easily.

TERMS FACULTY, STAFF AND FACULTY STAFF RELATIONSHIP:-

FACULTY----
An employee of the university who has instructional, advisory, evaluative, supervisory,
and/or other professional responsibilities. Faculty refers to the individuals who give direct
instruction to the students.

e.g. Fulltime Instructor, Assistant Professor, Associate Professor, Professor.

Part-Time:- Lecturer, Clinical Professor, Clinical Supervisor, Teaching Assistant.

STAFF--
Staff tends to refer to the office workers and support people on campus, non-teaching
employees of the college and all employee of the university other than faculty. Eg:- the
administrative staff (secretaries, assistants, deans, presidents, etc .

FACULTY STAFF RELATIONSHIP---


Faculty and staff formed a partnership to discuss ways in which to foster and sustain positive
faculty and staff relations through mutual trust, respect, and civility. Effective working
condition by proper interaction and communication for work collaboratively faculty staff
relationship.

ESSENTIALS OF FACULTY STAFF RELATIONSHIP:--

• Developing partnerships, which are keys to improved relations; and beginning the
discussion and developing procedures for working together.
• Best Practices that Encourage a Climate of Positive Communication and Cooperation
between Faculty and Staff,
• Best practices were assessed within the context and of the campus/department
environment where they were successfully implemented.
 Best practices are, to identify and to reinforce positive behaviour and partnership.
• Build awareness of the avenues available to faculty and staff to resolve conflicts through
meetings and orientation of the new employee.
• Foster open and inclusive communications at the department level among faculty and staff
members.
• Recognize that there are differences in roles, but that both faculty and staff bring value to
the University, and equally share responsibility for creating and sustaining a positive work
environment.
• Expand knowledge through training and development opportunities already available to
include discussions on faculty-staff relations.

Identifying campus ‘best practices” that encourage a climate of


positive communication and cooperation between faculty and staff. Identifying those “best
practices” most likely to transfer effectively and efficiently to other campuses.

PURPOSES FOR THE MAINTENANCE OF FACULTY STAFF RELATIONSHIPS:---

 Understanding the differing relationships between faculty and staff by better defining the
tasks, mission, and values; becoming knowledgeable of the avenues available.
 Identifying currently available training opportunities for those faculty and staff who have
taken on administrative roles, particularly in view of the decentralization of authority and
responsibility to the campuses and the resultant need to assure accountability.
 Evaluating the adequacy of the scope of opportunities available to meet current training
needs.
 Identifying currently available means, policies, and processes for resolving complaints
between staff and faculty and, if needed, outlining a plan to support access to and improve
dissemination of information about these matters to faculty and staff.

CHARACTERISTICS OF FACULTY STAFF RELATIONSHIP :--

 Treat each other with respect.


 Feel secure and comfortable.
 Are not violent with each other.
 Can resolve conflicts satisfactorily.
 Support one another.
 Can trust each other.
 Communicate clearly and openly Collaboration.

IMPORTANCE OF FACULTY STAFF RELATIONSHIP:--

Growth of the institute depends on its employees and harmonious relationship among the staff
members. It greatly influences the direction and control in the organization. The effectiveness
of other managerial functions depends on the effectiveness of staffing function. All the
members of any learned profession should have good interpersonal relationship which provides
a conducive environment to all so that they can work harmoniously. Good relationships always
enhance the productivity and growth of any institution in a positive manner. If faculty staff
relationship is not adequate then it will cause hindrance in growth of institute as well decrease
the learning of the students.
FACTORS AFFECTING FACULTY STAFF RELATIONSHIP:--

EXTERNAL FACTORS

DELEGATION OF WORK---
Delegation of work means the work is divided and particular tasks and roles are given to
different persons according to their skills. Work is predefined that which work they have to do,
kind of work, and duration of work is already explained to personnel. So delegation of work is
very much necessary and it is done by higher authority. If work is not divided properly then it
will lead to ineffective faculty staff relationship.

SUPERVISION: ---
Supervision is very much necessary to make effective staff relationship. After the delegation of
work it is very much necessary to evaluate their work that how they are performing their given
roles. If staff is facing some problems then assistance or guidelines should be provided to them
which can be beneficial for them which help them to workout.

AUTONOMY:--
Autonomy is the power to do work independently and assume the responsibility itself. When
the autonomy is not given to the personnel and if they do jobs under the restrictions imposed
by higher authority, they will always feel stressed which adversely affects the faculty staff
relationship

COOPERATION AND COORDINATION:--


Coordination is an active activity which is deliberately planned and executed whereas
cooperation is a passive activity which is assumed by personnel. But both the factors are
equally important to maintain the relationship and promoting the work efficiency. If faculty
does not cooperate with each other it will result in conflicts among them which ultimately
reduce the productivity of work.

LEADERSHIP:--
Leader is a person who leads or commands a group. Effective leadership is the ability to
successfully integrate and maximize available resources within the internal and external
environment for the attainment of institutional goals. On the whole we can say that effective
leadership promotes the coordination as well as effective faculty staff relationship.

SUPPORT:--
Support system is also one of the important factors which promote the faculty staff
relationship. Support should be provided to personnel if they do some work in a positive way.
Also if they put their efforts in teamwork, then should be encouraged more by providing good
support to them which will enhance the morale and confidence in them.

APPRECIATION OF WORK:---
Good work should always be appreciated by others and rewards should be given for their good
jobs and efforts. If appreciation is given to personnel then will be more boosted which will also
enhance their morale. They will act as a source of inspiration to others and others will try to
take suggestions or guidelines from them which will maintain the good relationship in between
them.

RESPONSIBILITY: --
Delegation and responsibility are two important aspects to maintain the relationships.
Personnel should not shrunk work and should not thrust upon others. They should understand
the importance of delegation along with responsibility that the particular task or role they have
to perform they should not impose their own responsibilities on others.

COMMUNICATION:---
Communication is a key factor in maintaining all kind of relationships. Working environment is
always conducive if communication among personnel is good one. If one person is having more
knowledge and skills then he/she should communicate those skills to others which will promote
team work and their personal relationships.

PARTICIPATION:--
Participation is also necessary; they should involve themselves in various activities of others
also. They should do work as a teamwork which will resolve their conflicts and promote their
effective relationship.

SELF-ESTEEM:---
Self-esteem pertains to values, beliefs and attitudes. Person should always accepted their roles
in a positive manner. Example: If one person is having more knowledge than others then he
should impart his knowledge in others, he should not think like that other will gain more
knowledge in comparison to him. Also, if some person is on higher post but he is having less age
than you and you have to follow his commands then person should not think like that why he
will take permission from him and why he follows his instructions?

MUTUAL RESPECT:--
All faculty members should give respect to each other, they should keep in mind the
uniqueness of an each individual, and each person has its own potentials and skills according to
which he performs his work. We should respect all those potentials and skills of that person.

WORK OVERLOAD:--
Sometimes delegation of work is not proper and workload has been imposed on one person. In
that situation the person is not able to cooperate with others which adversely affect the
relationships and leads to internal conflicts.

ROLE AMBIGUITY:---
Sometimes roles are not clearly defined to person that which role he has to assume and
ambiguity is there, so person should know about his/her own roles so that according to which
they can perform their work and prevents the duplication of work.

INTERNAL FACTORS

STRESS:--
Stress is one of the major contributing factors for ineffective faculty staff relationship. If person
is having some sort of personal problems due to which he is under stress then he will be not
able to cooperate with others and will not try to become a part of team.
ANXIETY: ---
If a person is shy in nature and he feels hesitation from others to seek help of others or sharing
knowledge with others, then it will surely disturb their relationships.

INTROVERT PERSONALITY:---
Some persons are introvert, they do not like to talk to others and they do not get mix up early
with other ones. Such kind of people always find difficult to cooperate with others.

LIFE SATISFACTION:--
Persons who are happy in their life, they always think positive and work in a positive manner.
They always cooperate with others.

DECISION-MAKING SKILLS:---
Personality of a person depicts iob authority of a person. If a person is not able to take their
decisions own then others will not consider him as a responsible person and they do not involve
him in their activities which will further enhance their conflicts.

ENVIRONMENTAL FACTORS
SELF WORKING AREA---
Job satisfaction is also crucial factor in maintaining effective relationship. Person is satisfied
from job if he works in safe place where his health is promoted not deteriorated.

VENTILATION AND LIGHTING---


If ventilation and lightning is good in his working environment then he feels healthy not irritable
tries to maintain good relationship with his colleagues.

OTHERS ENVIRONMENTAL FACTORS---


It may include less noise pollution, optimum temperature and a pleasant looking surroundings.
Techniques for working together
• A team must have an agreed goal
• Every member should own the same vision and agree on some ground rules.
• Every member should be honest with each other.
• Every member should be open to suggestions from other team members
• Every member should have a will to adapt and try out new ideas
• Every member in the team should give the best to the team and try to improve
one’s own skills

Negotiation
Negotiation is to deal with some matter or affair that requires ability for its successful
handling. Negotiating is an act of discussing an issue between two or more parties with
competing interests with an aim of coming to an agreement.

It is a dialogue between two or more people in order to arrive at an agreement that meets
the needs of those involved without sacrificing anyone’s priorities.

Stages of Negotiation

• Preparation
• Opening
• Bargaining
• Closing

Being caring and empathetic

Empathy is defined as the ability to communicate and lead by understanding other’s


thoughts views and feelings.

Empathy and caring helps people to understand others from a position within
themselves.

With proper use of caring and empathetic skills understanding, co-operation and mutual
success can be improved to a great extent.
The success of working together largely depends on its level of performance. Leadership
is an important aspect of managing people. It is the art of dealing with people so that will
try to hard, happily and actively towards the achievement of group / organizational goals.

The qualities of a leader to improve interpersonal relations in a organization

The leader should essentially have vision, passion, self sacrifice, confidence, role
modelling in order to achieve the common goals. The leader has to motivate, plan, Co-
Ordinate, build the morale or confidence of his / her team, decide and interact.
Negotiation and time management, mentoring are the other factors which will enhance
the staff relationships and work collaborately.

Personality development is an important aspect in the modern society. It aims at an


overall positive expression of an individual for a very dynamic living in a society he/she
lives.

It is a self improvement mechanism wit goal setting, mental discipline, creative skills
and conflict resolving skills. Philosophers have asked one to know the self as the key to
wealth and happiness.

Summary Till now we have discussed about the factors to build up a relationship, skills
which influences the techniques of working together, learning to live together-
interpersonal abilities and techniques of working together.
Conclusion So our lives are profoundly affected by our relationships. During working
hours some of the techniques have to follow self esteem, confidence, time management,
positive thinking.
