ABSTRACT
Microfinance is not simply banking for the poor; it is a development approach with a social
mission and a private sector-based financial bottom line that uses tested and continually adjusted
sets of principles, practices and technologies. The key to successful microfinance lies in the
ability of the provider to cost-effectively reach a critical mass of clients with systems of delivery,
market responsiveness, risk management and control that can generate a profit to the institution.
Typically, this profit is ploughed back to ensure the long-term survival of the institution, i.e. the
continuous provision of services demanded by its clients. The two long-term goals of
microfinance are thus substantial outreach and sustainability.
This study focused at designing Microfinancing software, which would assist the
microfinance institution (Pride Microfinance Limited) to keep records of its clients which can be
accessed wherever and whenever needed. The LMS developed during the study, stores records in
a web database and also allows online update ofthe web application. An investigation was
carried out to establish how the existing system functions regarding the problems at hand in
addition to the way forward. To help in investigation, the interview and observation were used in
fact finding. The system design used the three-tier client server architecture to implement the
inference mechanism while database component was implemented using NIP programming
language and MySQL, a Relational Database Management System. The user interface was
implemented using HTML and PEP. The LMS helps users (loans officers) to store, read,
update,modify and delete loan data. The development used the Waterfall Model under the
System Development Life Cycle (SDLC).
Introduction
Web- based loan management system refers to a computerized application that runs over a
network specifically the internet, where one can store, retrieve, delete, update and make other
changes to that data which is stored in the database. All this is done over the internet in any
location where access is available. Responsibilities under this web-based loan management
system include creating a database that can be accessed by the administrators online, adding and
removing data, manipulation of data, update and storage. 1.1 Background of the study The Web-
base loan security management system as described above was once implemented in other Big
financial institutions in Uganda. Smaller financial institutions like pride microfinance have not
yet found such an opportunity to use this kind of a system. Given the numerous benefits that
come with computer based systems, there is need to design such a system for this small
institution. Pride Microfinance uses paper based loan management system, clients fill in forms
by pen and the information is stored on paper and sometimes on hard disks and other secondary
storage devices. This data is also hard to access unless one is on the premises of Pride
Microfinance and also keeping records is hard since it is only stored on hard disks, Compact
Disks and other secondary storage systems which get spoilt, crash and sometime stolen. Data is
therefore lost and cannot be retrieved. Hence the call for the design of a web-based loan
management system 1.1_i Web-based loan security Web- based loan management system refers

4.3 Data flow diagram (DFD)
This diagram represents a banking process, which maintains customer accounts. In this example,
customers can withdraw or deposit cash, request information about their account or update their
account details. The five different symbols used in this example represent the full set of symbols
required to draw any business process diagram.
External Entity
An external entity is a source or destination of a data flow which is outside the area of study.
Only those entities which originate or receive data are represented on a business process
diagram. The symbol used is an oval containing a meaningful and unique identifier.
Process
A process shows a transformation or manipulation of data flows within the system. The symbol
used is a rectangular box which contains 3 descriptive elements:
Firstly an identification number appears in the upper left hand corner. This is allocated arbitrarily
at the top level and serves as a unique reference.
Secondly, a location appears to the right of the identifier and describes where in the system the
process takes place. This may, for example, be a department or a piece of hardware. Finally, a
descriptive title is placed in the centre of the box. This should be a simple imperative sentence
with a specific verb, for example 'maintain customer records' or 'find driver'.
Data Flow
A data flow shows the flow of information from its source to its destination. A data flow is
represented by a line, with arrowheads showing the direction of flow. Information always flows
to or from a process and may be written, verbal or electronic. Each data flow may be referenced
by the processes or data stores at its head and tail, or by a description of its contents.

Resource Flow
A resource flow shows the flow of any physical material from its source to its destination. For
this reason they are sometimes referred to as physical flows.
The physical material in question should be given a meaningful name. Resource flows are
usually restricted to early, high-level diagrams and are used when a description of the physical
flow of materials is considered to be important to help the analysis.
