What is Business?
 Economic system in which goods and
services are exchanged for one another
or money on the basis of their perceived
worth.
What is Report?
 Information organized in a narrative, 
graphic, or tabular form, prepared on 
ad hoc, periodic, recurring, regular, or
as required basis.
What is a business report?

Business Report is a report covering


the company's situation and business
trend. In addition, the annual financial
statements are published and
explained in the business report.

Importance of a business report
As the business environment grows in its
complexity, the importance of skilful
communication becomes essential in the
pursuit of institutional goals. In addition to
the need to develop adequate statistical
skills, it is necessary to effectively
communicate to others the results of the
statistical studies and for this
communication business report is of great
importance.
Purpose of business report.
 Conveys information
 Business report is the medium.
 More traditional reports, such as
Business Plans, serve to communicate
the Business Concept, business
management model, commercial
objectives, operational procedures and
the perceived viability of the
enterprise.
Steps should be considered

 Determine the scope of the report.


 Consider the target audience.
 Gather and organise the supporting information.
 Analyse, and weigh the supporting information.
 Determine the solution, findings and/or
recommendations, and
 Determine the report format.

 To support organisational objectives,
strategies and decision making.
 The scope of the report is defined by
determining the factors which will be
studied.
Consider the target audience

 Always consider the business reports


alignment with the intended audience.
Audiences are basically of three
kinds
 Primary Audience
People who have to make decisions on the basis of the
business report.

 Secondary Audience
People who are affected by the actions the primary
audiences would take in response to the position of the
business report.

 Immediate Audience
People responsible for examining the business report,
weighing its viability and distributing the report to a broader
audience.
Gather and organizing supporting
documents
 Business research and analysis
provide information to facilitate
operational planning, production
planning, supply chain management,
etc.
Analyze and weigh the supporting
document
 To make reasoned sense of the
information that has been gathered.
 The findings of the analysis need to
be balanced, justifiable and where
possible quantifiable.
 A research plan is developed which
incorporates perceived target markets,
methodologies, cost and research
schedule.
Determine the solution findings and/or
recommendation.

 Based on the analysis, authors will be


ready to offer a solution (or solutions) to
the business problem they have been
studying.
Determining the report format
The format of the business report is decided by following
points:

 Provide identifying information (usually inclusive of To,


From, Date, Subject, Area).

 Define the project or problem (purpose of the report).

 Give the background.

 Give the supporting data.

 State your conclusions and recommendation .

information and accuracy of writing.
 The accuracy of writing depends on
accuracy in writing mechanic and
accuracy in writing style.
OBJECTIVE
Objectivity can be achieved through the
following technique.
 Make a distinction between facts and
opinions
 Limit the use of unsupported judgments
and inferences,
 Report all pertinent information - Present
both positive and negative aspects,
 Use bias-free language - Avoid emotional
terms, such as guaranteed, tremendous, etc.
 Uses of Graphics in Business Reports –
graphics for comparisons or projections
The importance of graphics

 Graphics today form part of any


standard business report. Since the goal
in a business report is to convey
information clearly to the reader, a
graphic can often be clearer than text.

Locating graphics

 ART to successful business reporting is being able to


communicate and sell the report, and accordingly graphics
must be located within the centre of the report and relative
the to key findings or statements.
Place the graphic within the text immediately after the
paragraph in which the graphic is first mentioned. Refer to
each graphic by its figure number, which must correspond
to the section of the report.

Therefore its very important to know
how to write a business report to be a
effective manager because it not only
helps a manager to understand the
business but also its strength weakness
and its performance year after year.
