Southlands Elementary School PAC Meeting Minutes

Date: November 2, 2010; 7:00 PM - 8:30 PM

Location: Southlands Elementary School Library

Attendees: Michelle Kokan, Verlee Bromley (Co-Chairs), Heidi MacLean (Fundraising), John
Stekl (Treasurer), Krista Hilton (Recorder), Debra Nothstein (acting Principal), Daphne Beck
(Teacher), Jeanette Calderone, Heren Wu, Lina Li, Deb Grant, Jennifer Thornley, Tao Shang,
Rui Sun, Rainie Wu Min, Liping Wu, Amalia Cook, Averill Sadleir (Members at large).

1. Principal’s Report Debra Nothstein


Principal Kim Nemeth will be returning to the school this Thursday. Debra will shadow Kim
on Thursday and Friday to review any transition issues that need to be addressed.

Items worked on by the staff during the Pro-D day this past Monday: a) the staff essential
agreement for the IB program, b) drafting the assessment policy, c) allergies and the use of
Epi-pens, and d) a health and wellness consultant discussed stress involved with changes.

The Volleyball teams are set for this year, we have three teams, a junior & senior boys team,
and a senior girls team.

There was originally a lock down drill scheduled for October 20th, but given the recent
challenges in October they opted instead to do a fire drill....the lock down drill has been
postponed to another time.

The “Options 2011” leaflet has gone out to all parents of grade sevens, so they can
determine the best high school for their children. Debra believes this may also be available
online on the VSB site, for those parents planning ahead before grade seven.

Mr. Young is working on updating the Southland’s website.

2. Treasurer’s Report John Stekl


We’ve only seen one month of grocery certificates so far, and no real expenses have come
out yet, so nothing to report.

3. Fundraising Heidi MacLean


a. Subway Day’s are averaging about $200 per month in profit. Future Subway dates:
November 23rd, December 14th, and January 18th.

b. The Innisbrook Gift Wrap fundraiser is now closed. The online purchasing was easy for
parents, and easy administratively, so we will continue to do this fundraiser every two years.
We had sales of $3050 with a profit of $1047.

c. The “Direct Appeal” letter will go out to parents soon for anyone wishing to give an
optional donation to the school. Tax receipts will be issued in January if received in the office
by Monday, December 6th.

d. For the Purdy’s fundraiser, going out next week, we will accept either Visa or Mastercard
for orders over $50 or more. We get 20% profit on all sales for this event.
e. February 26th, 2011 we will have a Southlands Dinner & Dance for parents only at La
Notte Italian Restaurant, complete with full course meals, and a DJ...more details to follow.

f. The Winter Concert at Southlands is held every two years. This years event will be on
December 16th, with concerts at 1:15 PM and 6:30 PM. There will be choir and band
performances at both concerts. In years past we have done such things as : bake sales,
craft tables for the kids, santa arriving, class basket raffles... We will need parent volunteers
to help in the planning, so we look forward to any help.

4. Mandarin and Korean Liaison Volunteers Michelle Kokan


We are actively looking for both Mandarin and Korean parent liaison volunteers to assist our
community. We have volunteers for mandarin liaisons from Liping Wu, Rui Sun, Heren Wu,
and Tao Shang.

5. Other Business Michelle Kokan


a. Babysitting for PAC Meetings
We are looking for responsible babysitters for our PAC meetings. Ideally we need two
people, and we will pay our sitters $10 per meeting. This is generally a good job for grade
seven students. If anyone knows any interested parties to let us know.

b. Playground Equipment
Update from Chrystal Palaty:
“We asked Jeff Musson from Habitat Playground Systems to prepare a quote for a small piece of
playground equipment, as we need to spend gaming funds this year. He came to our playground
yesterday afternoon to see what kind of space was available. Because we have so much space available
in such a great location, he recommends that we think big and so he is going to prepare a "phased plan",
with multiple structures that can be added sequentially as our budget allows. He will have a draft to us in
the next few weeks”.

c. Southlands Blog
A reminder for parents that they can refer to our blog for calendar updates, to print forms
off, and to review PAC meeting minutes.

d. Master Email List


There are some emails currently missing from the master email broadcast list, and some are
incorrect. If parents are not receiving emails from the PAC Chair, please contact either
Michelle Kokan directly or Kim Roe in the office.

e. Microphones and Sound System


Our base sound system is working again, but we could really use some wireless
microphones. After the Halloween Assembly it was agreed by the staff that we must have
microphones available for all future assemblies.

f. New Families to Canada


We are looking to initiate some orientation nights for the new families to Canada, where we
can give them an introduction to the PAC, advise why we need to raise money for the school,
how to volunteer for the school, etc. It was suggested to invite student translators to the
meetings to assist the ESL families.

Debra Nothstein also noted there are multicultural workers available from the VSB who could
come in during the daytime to give parent orientations where needed.
g. Earthquake Kits
VSB employees Collette O’Reilly and Jane Morris have now taken charge of all earthquake
bins at the Vancouver schools, with a goal to create some consistencies across all schools.
They are currently looking to find a healthy noodle type soup that is suitable for a large
number of students. Two key issues: a) to control what is coming and going from the bins,
and b) to ascertain where is best to leave the comfort kits (ie. perhaps moving them out of
the bins and into classrooms is a better idea). As the current standard has not been decided
as yet, Debra Nothstein suggests that general housekeeping in our bin is a great idea for
now. Also for the emergency contact cards, to coordinate efforts with Kim Roe and Kim
Nemeth in the office.

In our bin we currently have a stove and a toilet...Deb Grant will go through the bin and get
a more up to date list. note: PAC canopies need to be moved out of the bin and into the
school, perhaps under the stage.

Last year Joanna Wood, Karen Appelton, and Daphne Beck all went through the emergency
training in the event of an earthquake.

h. School Safety
Tao Shang requested an update on school safety procedures at Southlands. Debra Nothstein
explained that the elementary school children are in direct contact with supervision aids,
teachers, and school support workers on a daily basis. If there is an incident at the school it
is reported to the principal and the teacher immediately, and the handling of it very much
depends on the age of the children involved.

The school actively supports the motto “care for yourself, care for others, care for this
place”. It is taught daily and reinforced frequently as our code of conduct.

i. IB Program
The IB program is being taught continuously in all classrooms. The IB language and the way
they are learning is a continuous thread that is running through the classroom activities, as a
way of thinking.
